Configuring Funding Accounts

Objective

After completing this lesson, you will be able to configure a funding account in Expense Pay.

Funding Account

In the Exploring the Overview and Benefits of Expense Pay lesson, you learned that Expense Pay uses partners to process reimbursements. Before you add your funding account, make sure you have all the information about your selected partner on hand, in case you need it for reference.

Funding accounts are company-owned bank accounts used to fund the reimbursements of expenses. You can have one or more funding accounts, based on several factors. You need a different funding account for each reimbursement currency and can use different funding accounts for different batches. For example, use one account for out-of-pocket expenses and another for card charges. You can also use different accounts for different business units. It is your responsibility to ensure you have all the funding accounts needed to meet your requirements.

Note

If you are using Invoice Pay, you can use the same bank accounts in Expense Pay. However, new funding accounts must be created and documents uploaded for Expense Pay.

How to Add an Funding Account

Steps

  1. Navigate to Home > Administration > Tools.

  2. Select Configure Batches under Payment Manager.

  3. Open the Funding Accounts tab and select New Global Account.

  4. Complete the Account Information section:

    • Reimbursement Currency
    • Account Country/Region
    • Account Display Name
    • Available For
    • Active Status
    • (Optional) Receive Daily Funding Email

  5. Complete the Contact Information section:

    • Primary contact information
    • Secondary contact information

  6. In the Payment Provider Details section, complete the payment provider information:

    • Provider
    • Managed Merchant
    • Funding Source Currency

  7. Select Next.

  8. The remaining steps depend on the selected payment provider. Always follow the instructions, documentation, and onboarding requirements supplied by the selected payment provider to ensure the funding account is configured correctly.

  9. Save the funding account and confirm that the account status is configured as intended before making it available for use.
