Source-to-Pay: Process Overview

The Source-to-Pay (S2P) process represents a comprehensive journey that organizations follow to manage their external procurement activities—from identifying and managing suppliers to the final payment for goods or services.
The journey begins with Suppliers & Risk Management, where organizations onboard potential suppliers, evaluate their performance, and manage any associated risks. This initial step ensures a reliable supplier base and helps mitigate risks that could impact business operations or compliance requirements.
Following this, the Plan to Optimize S2P stage focuses on strategic planning and continuous improvement of the source-to-pay cycle. Here, organizations analyze spend data, define sourcing strategies, and set procurement objectives to optimize costs, drive value, and ensure that procurement activities are aligned with organizational goals. This step involves leveraging analytics and planning tools to identify opportunities for better spend management and operational efficiencies.
The process then progresses to Source to Contract, where purchasing needs are formalized and sourcing events such as RFIs, RFPs, or RFQs are initiated—often using platforms like SAP Ariba. Suppliers respond with their proposals, which are evaluated to select the best-fit partners. Once a supplier is chosen, negotiations are finalized, and contracts are created, reviewed, and approved. Contract management ensures that agreed-upon terms, conditions, and SLAs are clearly documented and accessible for ongoing reference.
After contract finalization, the process moves into the Procure to Receipt phase. Here, employees raise purchase requisitions, which are routed for approval and converted into purchase orders. Upon supplier fulfillment, the goods or services are received, and receipts are recorded to confirm delivery.
The final phase, Invoice to Pay, covers the invoicing, verification, and payment activities. Suppliers submit invoices, which are matched against purchase orders and goods receipts for accuracy before approval and payment—typically supported by integrated systems like SAP S/4HANA Cloud and SAP Ariba.
This structured, stepwise approach ensures transparency, compliance, and efficiency across the entire external spend lifecycle. Note that the processes Suppliers & Risk Management, Plan to Optimize S2P,and Source to Contract are offered under the SAP Strategic Procurement package and are not covered in this course.
The processes Procure to Receipt and Invoice to Pay are the core procurement processes, collectively known as the Procure-to-Pay end-to-end business process. This course covers the Procure-to-Pay process and how the SAP Finance Base and SAP Finance Premium packages help execute them within the available SAP solutions.
Procure-to-Pay: Process Overview
Procurement is the process of acquiring goods or services from external sources.
In a business-to-business (B2B) environment, procurement involves the interaction between buyers and suppliers.
Procurement can be divided into two primary categories:
Direct procurement: Refers to the purchasing of raw materials, components, and finished products that are directly related to core business activities and the production of goods and services. For example, a car manufacturer purchases steel, tires, engines, and other parts from various suppliers to assemble their vehicles.
Indirect procurement: Encompasses the purchase of goods and services that are not directly linked to core business activities. These goods and services are vital for the smooth functioning and upkeep of the organization. Examples include office supplies, utilities, travel arrangements, and IT services. For instance, a car manufacturer purchases office furniture, stationery, cleaning services, and catering services for their employees and offices.
Broadly, the Procure-to-Pay end-to-end business process can be divided into two major subprocesses:
- Procure-to-Receipt: This subprocess covers the procurement steps from requirement identification to receiving the material from the supplier into the warehouse.
- Invoice-to-Pay: This subprocess follows Procure-to-Receipt and covers the steps from receiving the invoice from the supplier to the final payment.
