Explaining Specification Collaboration in SAP Integrated Product Development

Objective

After completing this lesson, you will be able to describe the end-to-end process of external specification collaboration within SAP Integrated Product Development to enhance product data management.

Specification Collaboration Overview

Specification Collaboration extends the processes for SAP Recipe Development to allow collaboration on specification data with external parties or other lines of businesses.

There are many reasons why a product developer might need information from a supplier about specifications. For example: change of regulations, modified or new product, tryout of sample, change of supplier, and so on. With the help of Collaborations, suppliers can provide data directly in the SAP system which reduces the effort to maintain specifications while, at the same time, reducing risks of errors due to manual re-entry of the data.

IPD Specification Collaboration can be implemented using two approaches depending on the customer’s setup:

1. Native (Pure IPD): Uses IPD Specification and IPD Collaboration independently, without requiring a connected SAP S/4HANA system.

In the hybrid process, two steps are added: Import values from S/4 object and Transfer Selected offer values to new/existing S/4 Specification.

Specification Collaboration

Stage 1 — Prepare the Specification (Product Developer)

In Hybrid mode, Administrator will configure and synchronize the data with S/4 HANA first.

In the Property Configurations tile, choose Load.
The Load Property Configurations pop-up.
Select a property tree.

Once the properties are synchronized from the S/4 HANA, Product Developer will load relevant values from the S/4 object, modify properties as required, and then save the changes.

From the Properties tab, choose Load Data.

In the pure cloud approach, properties are defined directly within the IPD tool for the first time or else product developer can keep the properties empty and share it with the supplier to fill the properties for the specification.

Stage 2 — Create Collaboration Space (Product Developer)

  • Product Developer will open "My Collaboration" and create one collaboration workspace per supplier.
  • The developer will invite the supplier, and collaboration is added in the specification.From the dropdown, select a role.
    From the dropdown, select an Assign To option.

  • This formally hands off responsibility to the supplier and Protects trade secrets and maintains organized communication.
  • The product developer will assign appropriate authorizations to each supplier using "Manage Authorization Context," defining which specification objects are accessible to each supplier.

Stage 3 — Supplier Maintenance (Supplier)

  • Supplier will create a copy of shared specification.In the Copy popup, add an ID and a Name.
  • The supplier enters their product values, assigns the updated copy to the same collaboration workspace, and marks the workflow task as complete.In the Manage Specifications page, the supplier updates the properties.
    In the Add popup, assign a supplier.
  • This signals back to the product developer.

Stage 4 — Evaluate & Select (Product Developer)

  • The product developer is notified of task completion.

  • The product developer validates the values and, if required, transfers the selected specification data into an existing specification in IPD.
  • The product developer can also update the values in the SAP S/4HANA system using an existing (external) specification or create a new specification in S/4HANA and copy the selected values into it.From the Transfer Data dropdown, you can select Existing Specification, Existing Specification (External), or New Specification (External).
    In the Transfer Data popup, choose a Target Specification and Properties.
    Finalize Existing Specifications and choose Transfer.
  • Original specification property values are updated as per supplier’s offer values
  • The product developer completes the final WF task to confirm supplier selection — ending the process and releases the Specification.The specification is released.
