Managing Travel Policy Rule Classes in new Concur Travel

Objective

After completing this lesson, you will be able to create and modify Rule classes for travel policies in Company Administration for new Concur Travel.

Working in Rule Class Administration

The new Travel Policy Administration boasts a modernized interface with enhanced capabilities. Its main tool, the Rule Class Administration, offers access to key information and actions.

1Rule Class NameView all rule classes within a company. Use the arrows below the Rule Class Name column to scroll through the pages or you can use the Search Rule Class field to locate a specific rule class.
2Travel ConfigurationView the travel configuration each rule class is assigned to.
3ApproverView the Approver workflow (Manager or Designated Approver) for each rule class.
4VersionView the Version, this column indicates whether the rule class was built in the new experience ("New Concur Travel") or the legacy experience ("Legacy"). Available actions depend on the version.
5Actions

For Rule Classes built in the new Travel Policy Administration, under Actions you can select the ellipses to:

  • Edit Rules for the selected Rule Class
  • Edit Approver for the selected Rule Class (will redirect to legacy Concur Travel)
  • Edit Rule Class (will redirect to legacy Concur Travel)
  • View Rule Class History.

From Rule Class Administration and within each Rule Class, you can easily perform various tasks including:

  • Create new rule classes and assign to Travel Configurations.
  • Create and Edit rules within a rule class.
  • View rules per rule class.
  • Filter rules by category (Air/ Car/ Hotel).

This user-friendly interface simplifies travel policy rule management.

Caution

Modifications to legacy rule classes must be performed in the legacy experience.

Creating a New Rule Class

In Concur Travel, the rule class allows companies to offer tailored travel options to different employee groups, while travel rules and actions help enforce company policies during booking.

A company can have more than one rule class, allowing the company to provide different travel-related options to different sets of employees. For example, the company may have a rule class specifically for executives, a different one for sales, and another for everyone else in the company.

To create a new rule class, follow the steps:

  1. From the Rule Class Administration tool, select Create Rule Class.

  2. Enter the preferred name of the new rule class in the Rule Class Name field and then select the Travel Configuration that is applicable to the rule class. Select Save and Create Rules to save the rule class and begin creating Travel Rules for this rule class.

Result

The new Rule Class is now visible in the Rule Class Administration tool. The next step is building specific rules for the rule class.
