Displaying Data and Setting Up the Initial Table in the SAP Analytics Cloud, Add-in for Microsoft Excel

Objective

After completing this lesson, you will be able to set up the initial table to display the data.

Work with Data

Watch this short demonstration to learn how you can display, sort, and filter data in your table using SAP Analytics Cloud, add-in for Microsoft Excel functionality. Explore various options to customize your table and view the data you need.

Designer Panel

As you discovered in the previous unit, the Designer panel allows you to configure your table. It appears on the right side of the Microsoft Excel interface when you use the add-in.

The Designer panel is highlighted in the ribbon, with the SAP Analytics Cloud Designer panel open on the right side of the screen.

Measures and Dimensions

Use the Rows and Columns areas in the Designer panel to add or remove dimensions and measures.

Select + Add Measures / Dimensions for either rows or columns, then choose the items you want to include in your analysis.

To quickly find dimensions and measures in models with many objects, use the search box at the top of the selection list. Type part of a name to filter the list for matching items.

Filters

You can restrict dimensions to specific members using the Filter area in the Designer panel.

Close or Reopen the Designer Panel

If you close the Designer panel, the ribbon commands become inactive, and you cannot modify the table.

To reopen the panel, select Designer and refresh the table to enable editing.

Properties

Using the add-in, you can add dimension properties to a table to add more information about a specific dimension.

Dimension Properties

To add a property of a dimension to your table, choose the context menu and Properties... on the respective dimension. Then select the properties you want to add in the Set Properties dialog.

Dimension Properties with the Set Properties dialog highlighted.

Dimension Members

To add dimension attributes to a table, choose + Add Measures / Dimensions in the Builder panel, expand the dimension, and choose the desired dimension member.

Hierarchical Display

A dimension can contain multiple hierarchies, organized as a tree structure. Hierarchies are defined either in the SAP source system or in the model itself.

Set Hierarchies

If a dimension has hierarchies, the Hierarchies option appears in the context menu when you right-click the dimension in the Builder.

From the Set Hierarchy dialog, choose the hierarchy you want to use. The Flat Presentation option removes any hierarchical display of the dimension members.

Note

The availability of the Flat Presentation option depends on the dimension. For dimensions that contain only hierarchies, the Flat Presentation option is not available (for example, the Account dimension). For dimensions defined with flat presentation only, the hierarchy selection combo-box does not appear in the filter dialog.

Expand and Collapse Nodes

You can expand or collapse a single hierarchy node using the triangle symbols to the left of the node cell.

You can select a node cell and choose Expand/Collapse from the context menu.

Expand/Collapse a hierarchy dropdown showing all expand and collapse options.

Refresh Data

Refreshing updates the table with the latest data from the data source.

Choose Refresh from the ribbon at any time. Using the dropdown, you can refresh only a specific data source on your worksheet or all data sources.

Refresh options as selected from the ribbon.

Reset Table

If you want to undo all changes made to a table since the last time the workbook was saved, you can use the Reset Table feature. To access it, from the Designer panel, open the More - Table Settings menu, and choose Reset Table.

reset the table from the More Settings Table menu.
  • If you added the table within the current session, resetting the table returns the table to its initial state.
  • If you opened a saved workbook and made changes, resetting the table returns to the navigation state that was saved with the workbook.

This is useful when exploring data and you want to start from a clean state without closing and reopening the workbook.

Set Up the Initial Table

Business Scenario: You have launched the SAP Analytics Cloud, add-in for Microsoft Excel, and are ready to set up the workbook for the forecast. You must insert the data source and set up the initial table, for example, add dimensions to rows and add an attribute.

Once you have set up the initial table, you want to view the actuals for the account and subaccounts you are responsible for before you start to compile your forecast numbers.

Task Flow: In this practice exercise, you will:

  • Set up the initial table
  • View actuals for accounts and subaccounts
  • Expand the hierarchy for the account

Summary

You should now be able to set up the initial table to display data.
