List of Cards

The following table contains a list of cards that are available on the app dashboard. You can find their business catalog role and the usage of the cards under the description.

List of Cards on the App Dashboard

  • Using the view switch, you can choose to view all open purchase requisition items. You can also view unsourced purchase requisition items: ones that don't yet have a source of supply, even though the delivery date is close.
  • Priority is sorted by item value and time to delivery date.
  • Selecting the header brings you to the Manage Purchase Requisition app, while selecting an item brings you to that item in the same app (filtered by the selected item).
Monitor Purchase Order ItemsSAP_MM_BC_PO_PROCESS_MC

SAP_MM_BC_PO_PROCESS

  • Using the view switch, you can view overdue items, items in approval, and items without confirmation.
  • Priority is sorted by overdue days and item value.
  • Selecting the header brings you the Manage Purchase Order app, while selecting an item brings you to that item in the Manage Contract app.
Purchasing SpendSAP_MM_BC_PUR_STRATEGY
  • Shows you the overall purchasing spend, calculated using the aggregated purchase order values.
  • You can switch the view between supplier, material group, and purchasing spend trend.
  • Selecting the header brings you to the Purchasing Spend KPI.
  • Purchasing Spend Trend shows you the trend of the overall purchasing spend over the last four quarters.
  • Shows Planned Spend of Schedule Line, Purchase Order Net Amount, and Expected Spend of Purchase Requisition for the upcoming quarters.
  • Selecting the header brings you to the Purchase Order Value KPI.
  • You can also click one of the quarterly data points to get more information.
  • The graph reflects what's in the global filter.
Non-Managed SpendSAP_MM_BC_PUR_STRATEGY
  • Shows you the total invoice spend where that spend isn't associated with a purchase order.
  • You can switch the view between supplier and material group.
  • The bar chart shows the spend amount as a percentage of the invoiced spend by material group (or supplier). The number shows the value of the non-managed spend.
  • Selecting the header or the chart brings you to the Purchasing Spend KPI.
Off-Contract SpendSAP_MM_BC_PUR_STRATEGY
  • Shows you the total invoice spend where that spend isn't associated with a contract.
  • You can switch the view between supplier and material group.

Supplier Performance Monitoring

  • Shows you a bubble chart of purchasing spend against the supplier performance.
  • Selecting the header or the chart brings you to the Supplier Evaluation KPI, grouped by supplier.
  • You can also see the Supplier Feedback Score.
  • The size of the bubbles doesn't depend on supplier's spend.

Supplier Evaluation Trend

  • Shows you the trend of the supplier performance aggregated for all suppliers.
  • Selecting the header or the chart brings you to the Supplier Evaluation KPI, grouped by supplier.
  • The graph reflects what's in the global filter.
Supplier Performance Monitoring Including Questionnaire ScoreSAP_BCR_MM_PUR_STRATEGY
  • Shows you a bubble chart indicating the performance of different suppliers, based on their operational and questionnaire scores. The bubble size reflects the total spend of each supplier.
  • Brings you to the KPI of the Overall Supplier Evaluation when you click on the header.
  • The bigger the size of a bubble, the higher the supplier’s spend.
Purchase Requisition Touch RateSAP_MM_BC_PUR_STRATEGY
  • Shows you the proportion of purchase requisition items which are processed automatically (no touch rate). Also shows the high touch rate, the percentage of all purchase requisition items or purchase orders that require manual intervention during processing, and the low touch rate, which is for those items that only require approval.
  • Selecting the header or the chart brings you to Purchase Requisition Touch Rate KPI, where you can sort the data as you like.
  • The Donut chart is divided based on touch type. You can select the divisions to see more information.
Purchase Requisition Item TypesSAP_MM_BC_PUR_STRATEGY
  • Shows you the different items types for purchase requisitions, such as catalog items, free-text items, and so on.
  • Selecting the header or the chart brings you to Purchase Requisition Item Types KPI, where you view more details.
  • The Donut chart is divided based on item type. You can select the divisions to see more information.
Monitor Open ActivitiesSAP_MM_BC_SUP_ACT_MGT_PC
  • Shows you the activities that are currently open in a card stack.
  • When you click the right side of the card, you see the open activities in an object stream.
  • Clicking the main body of the card brings you to the Manage Activities app.
Purchase Order Item by Delivery Schedule DateSAP_MM_BC_PRC_OVP_PC
  • Displays the purchase order items by their delivery schedule date.
  • Purchase order items are plotted against delivery dates (in weeks).
  • Navigate to the Monitor Purchase Order Items app by clicking the header of this tile.
Monitor Purchase Order Items Sorted by Overdue Dates and ValueSAP_MM_BC_PRC_OVP_PC
  • Displays the overdue purchase order items and purchase order items in approval.
  • Purchase order items are sorted by overdue days and value.
  • Navigate to the Monitor Purchase Order Items app by clicking the header or any item in this tile.
Order Confirmation Sorted by Delivery Date and PO Item ValueSAP_MM_BC_PRC_OVP_PC
  • Displays the supplier confirmations that are sorted by their delivery date and purchase order item value.
  • You can sort supplier confirmations using three options, such as missing confirmations, confirmations, delivery date variances, and quantity variance.
  • Navigate to the Monitor Supplier Confirmations app by clicking the header or any item in this tile.

Use Request for Price

Note

To execute this exercise, assign the business role BR_PURCHASER to your user. You can maintain roles for your user using the Default SpaceMaintain Business Users app.

You can add the tiles for the required apps for the exercises to your favorites on the launchpad using My HomeAppsAdd Apps. Alternatively, you can add them to theDefault Page using Default SpaceAdd Tile. When you open the app, for some apps, a link on the upper right corner of the screen is available so that you can add the corresponding tile to the desired page. For this, select the arrow icon to open the drop-down, choose ​Save as Tile​ , and select the ​Page​ to place the tile (E.g. ​, My Home to add to favorites).

Some steps of this exercise use the characters ### as a placeholder for the number in your user A010###. Whenever you see ### in the exercise step, replace it with your user number. You can check your user by displaying your user profile on the SAP Fiori launchpad. To do so, choose the Profile icon on the screen's upper right corner. The characters XXX is used as a place holder for Purchasing Group that you created in the first exercise. Whenever you see XXX in the exercise step, replace it with your purchasing group.

In this exercise, you will create a price request for internal sourcing, enter the quotations that are received from the suppliers, award the preferred supplier, and create the subsequent contract.

This exercise is a prerequisite for the Exercise Using Procurement Overview Page. You will use the contract that you create in this exercise in the Exercise Using Procurement Overview Page. You can skip this exercise if you have already completed it in one of the courses of this learning journey.

Steps

  1. Take the role of a Purchaser and create an RFQ (internal sourcing request) using the Manage RFQs SAP Fiori app. For your entries use the data in the following table. Make a note of the document number: ___________________

    1. Log on to the system to open the SAP Fiori launchpad.

    2. Start the Manage RFQs app.

    3. Choose Create and select Int. Sourcing Req.

    4. Enter Request for Price ### as RFQ Description.

    5. Enter today's date as Quotation Deadline.

    6. Enter your purchasing group XXX as Purchasing Group.

    7. Enter 1010 as Purchasing Organization.

    8. Enter 1010 as Company Code.

    9. Enter Quantity Contract (MK) as Follow-On Document Type.

    10. Select today's date as Validity Per. Start and today's date + 3 months as Validity Period End.

    11. On the Delivery and Payment Terms tab, enter 10000 as Target Value and EUR as Currency.

    12. On the Items tab, enter TG0012 as the Material, 1010 as the Plant for the RFQ item.

    13. Enter 300 as the Requested Quantity.

    14. On the Items tab, second item, enter TG0011 as the Material, 1010 as the Plant for the RFQ item.

    15. Enter 100 as the Requested Quantity.

    16. On the Bidders tab, choose Create and enter 10300001 as Supplier. Repeat the same and enter the Suppliers 10300002 and 10300003 as Bidders.

    17. Choose Create on the lower right corner of the screen. Ignore the warning about the email addresses and choose Close.

    18. System displays the newly created RFQ. Choose Publish on the right upper corner of the screen.

    19. The RFQ is sent for approval and it will be automatically approved.

    20. Note down the document number displayed in the top-left corner of the screen.

    21. Choose SAP to navigate back to the SAP Fiori launchpad.

  2. The suppliers have provided their quotations via e-mail. Now, in the role of a purchaser create the supplier quotations. Use the data in the following table for your entries.

    2. Search for the RFQ that you have created in the previous step using the document number that you noted down. Select the line and open the item.

    3. On the Bidders tab, select the radio button for Supplier 10300001 and choose Create Quotation on the upper right corner of the table.

    4. Enter today's date as the Quotation Submission Date.

    5. On the Items tab, enter 18 as Net Order Price for material TG0012 and 26 as Net Order Price for material TG0011.

    6. Choose Create.

    7. Choose Submit on the right upper corner of the screen.

    8. Choose Back. The system takes you back to the Bidders on the RFQ page.

    9. Repeat the steps and create and submit the quotations for the two other suppliers using the data in the table.

    10. System takes you back to the RFQ page. Choose the tab Quotations and view the created quotations.

    11. Choose SAP to navigate back to the SAP Fiori launchpad.

  3. In the role of a Purchaser, using the Compare Supplier Quotations SAP Fiori app, compare and award the best supplier quotations.

    1. Start the Compare Supplier Quotations app.

    2. Enter the RFQ number that you noted down as RFQ and select the document that you created in the first step, which is automatically displayed in the interactive input help.

    3. System displays the list of quotations and the chart for comparison of the bidders. Select all three supplier quotations using the checkbox and choose Compare on the upper right corner of the table.

    4. Scroll down to view the comparison for the items in detail. The bids for each material are shown on a tile for each supplier. The best bid for the material TG0012 is from Supplier 1030001 and for material TG0011 is 10300002.

    5. On Item 00010 for the material TG0012 the best bid with 18 EUR for Supplier 10300001 is shown in green. Change the number of pieces of theAwarded Quantity for the other two suppliers to 0.

    6. On Item 00020 for the material TG0011, again keep the Awarded Quantity for the best bid from the Supplier 10300002, which is shown in green, and set the others to 0.

    7. Choose Save.

    8. To view the Header, scroll up. Choose Award on the tile of the quotation with the best bid for the material TG0012 (i.e. Supplier 10300001).

    9. Choose Award on the tile of the quotation with the best bid for the material TG0011 (i.e. Supplier 10300002).

    10. The documents are sent for approval and they will be automatically approved. Choose SAP to navigate back to the SAP Fiori launchpad.

  4. Create the follow on documents for the awarded quotations using the Manage Supplier Quotations SAP Fiori app. Use the data in the following table for your entries. Note down the document number of the purchase contract that you create. You will use the purchase contract number in the Exercise 14 Use Procurement Overview Page __________________________.

    1. Start the Manage Supplier Quotations app.

    2. Enter RFQ document number that you noted down as RFQ and choose Go. The system displays the list of Supplier Quotations for your RFQ.

    3. Select the line item to open the quotation for Supplier Inlandslieferant DE 1 (10300001) which has the status awarded.

    4. Choose the Follow-On Document located on the right upper corner of the screen and select Create Purchase Contract.

    5. System displays the draft Purchase Contract already filled in with both materials. On the Items tab, select item 20 and choose Delete to delete the material TG0011 which has 0 as Target Quantity.

      You can ignore the warnings.

    6. Choose Create.

    7. System displays the newly created Purchase Contract. Note down the document number to use in Exercise 14 Use Procurement Overview Page. Choose Back .

    8. Choose Back again. The system takes you back to the list of Supplier Quotations for your RFQ.

    9. Select the line item to open the quotation for Supplier Inlandslieferant DE 2 (10300002) which has the status awarded.

    10. Choose the Follow-On Document located on the right upper corner of the screen and select Create Purchase Order.

    11. System displays the draft Purchase Order already filled in with the material TG0011. Choose Order located on the lower ribbon.

      You can ignore the warnings.

    12. System displays the newly created Purchase Order. Choose SAP to navigate back to the SAP Fiori launchpad.

Using Procurement Overview Page

Note

In this exercise, you will use the Procurement Overview Page and see how you can benefit from the available dashboards as a purchaser.

Prerequisites

You must complete the Exercise Use Request for Price as a prerequisite for this exercise. You will use the purchase contract that you have created in this exercise.

  1. Start the app Manage Purchase Requisitions - Professional and create a purchase requisition using the material TG0012. Use the data in the table and note down the document number of the purchase requisition.

    1. Open the SAP Fiori launchpad.

      Note

      The system may not allow you to select today's date as the delivery date as it is unrealistic. However, you can type today's date in the date field.
    9. On the Account Assignment tab, select the item and enter 10101101 as Cost Center.

    10. Choose Apply.

    11. Choose Apply again. The system takes you back to the new purchase requisition window.

    12. Choose Create.

    13. Ignore the warning about the delivery date and choose Create again.

    14. System displays the new purchase requisition created. Note down the document number __________________.

    15. Choose SAP to navigate back to the SAP Fiori launchpad.

  2. As a Purchaser, use the Procurement Overview Page and display the dashboards using the currency EUR and your purchasing group. Monitor the RFQs using the dashboard on the Procurement Overview.

    1. Open the Procurement Overview page.

    2. Enter EUR as the Display Currency.

    3. Enter your purchasing group XXX as Purchasing Group and choose Go.

    4. View the available dashboards.

    5. Choose the Profile icon on the screen's upper right corner and choose Manage Cards.

    6. To show the card Monitor RFQs, choose the button.

    7. Choose OK.

    8. System will add the Monitor RFQs dashboard on the overview page.

    9. Scroll down and locate the Monitor RFQs dashboard. The RFQs are sorted according to the quotation deadline. You will see the RFQ you created in the previous exercise on the dashboard.

    10. Scroll up again and do not close the page.

  3. Monitor the purchase requisition items using the dashboard on the Procurement Overview page. From the dashboard, navigate to the purchase requisition you created in step 1 of this exercise and assign the source of supply. Use the purchase contract number that you noted in the previous exercise.

    1. Locate the Monitor Purchase Requisition Items dashboard on the Procurement Overview. The dashboard displays the unsourced purchase requisition items sorted by delivery date and target value.

    2. Choose the purchase requisition item on the dashboard you created in step 1 of this exercise.

    3. . The system opens the Process Purchase Requisitions SAP Fiori app with the corresponding fields already filled in. Choose Go.

    4. System displays the purchase requisition. Choose Sources under Assigned Supplier and select the contract with the document number you noted in the previous exercise Request For Price.

    5. Choose Back. The system takes you back to Procurement Overview. You will see that the purchase requisition item has disappeared from the dashboard.

      Refresh the page if you cannot see the change.

    6. Choose SAP to navigate back to the SAP Fiori launchpad.

  4. Convert the purchase requisition you created to a purchase order using the Process Purchase Requisitions SAP Fiori app.

    1. Start the Process Purchase Requisitions app.

    2. In the header, enter XXX as Purchasing Group.

    3. In the search field, enter your purchase requisition number and choose Go.

    4. Convert purchase requisition to purchase order by selecting the item and choosing Create Purchase Order above the Purchase Requisitions table.

    5. Ignore the warning about the delivery date and close the dialog box.

    6. A new window opens. Keep Standard PO as the Purchase Order Type and choose Order to create the purchase order.

    7. A dialog box displays. Ignore the delivery date warning and choose OK.

    8. Choose SAP to go back to the SAP Fiori launchpad.

  5. Monitor the purchase contracts using the dashboard on the Procurement Overview page. Navigate to your contract and display the details. Describe why attention is required.

    1. Open the Procurement Overview page.

    2. Enter EUR as the Display Currency.

    3. Enter your purchasing group XXX as Purchasing Group and choose Go.

    4. Locate the Monitor Purchase Contracts dashboard on the Procurement Overview. The dashboard displays the purchase contracts sorted by consumption, valid to date, and target value.

    5. Identify the potential problem on your purchase contract.

      Result

      The consumption shows a red bar. Since you have converted the purchase requisition to a purchase order, the contract is almost 100% used.
    6. To navigate to the purchase contract details, choose the item.

    7. System opens the purchase contract. View the details to check if a new purchase contract is required.

    8. Choose SAP to go back to the SAP Fiori launchpad.
