Review Booklet Introduction

Overview

Review booklets are application-guided reports that answer many business questions using out-of-the-box prepared layouts. The prepared layouts can be adapted by users as needed.

Use the Group Financial Statements Review Booklet app to display, analyze, and validate group reporting data at various levels of detail. The app presents an aggregated view of financial statements by combining predefined business pages grouped under the main areas of:

  • Consolidated Balance Sheet
  • Profit & Loss Statement
  • Cash Flow Statement
  • Statement of Changes in Equity.

This collection of pages forms a review booklet, which can be used to carry out a comprehensive financial review.

Review Booklet Initial Setup

Initial Setup

To use the review booklet, check the following:

  • Global Parameters: Make sure that you’ve selected the appropriate global parameters in the Global Parameters app. The review booklet derives the default values for the global filters from what you've selected in the global parameters.
  • Check Hierarchies: You can use delivered or custom hierarchies. Regardless of which hierarchies you use, make sure that those hierarchies are activated before using them.
  • DEFAULT_HIERARCHY: By default, the consolidation unit hierarchy DEFAULT_HIERARCHY is used for the Consolidation Unit Hierarchy global filter in the review booklet. However, if you're not using the standard content delivered by SAP, you don't have DEFAULT_HIERARCHY in your system. In this case, you must do one of the following in the Manage Global Hierarchies app:
    1. Create a hierarchy called DEFAULT_HIERARCHY by copying your own custom hierarchy for this name.
    2. Replace DEFAULT_HIERARCHY with your own custom hierarchy using a different name.

Review Booklet Business Page Groups

The review booklet comes delivered with five business page groups. These business page groups are organized by the type of financial statement.

Each business page group has one or more pages with aggregated and detailed data. The Consolidated Balance Sheet page group is a financial statement that shows assets, liabilities and equity at the end of the fiscal period. The Consolidated Balance Sheet page group contains the following three detail pages where you can review the data:

  1. Overview: a basic overview of assets, liabilities, and equity.
  2. Assets: a detailed look at current and non-current assets.
  3. Liability & Equity: a detailed look at equity as well as current and non-current liabilities.

The following business pages use FS items:

Note

Business pages that use reporting items require Report Rule Variants.

Review Booklet Row Sets and Column Sets

You can adjust the columns and rows in the report to display your data in various ways. You can also select specific column structures that enable you to make comparisons with your data, such as Closing Period vs. Previous Period.

In the following image, you can use the dropdown next to the Rows set to select the most popular dimensions.

You can also add any other dimension in group reporting into the report. For example, you can right-click on FS item and select other dimensions to include in the output.

The structures in the columns can be changed by using the dropdown next to the Columns set.

Review Booklet Properties

You can use dimension properties to:

  1. Change how members are displayed.
  2. Change how members are sorted.
  3. Change hierarchy expansion level and position of nodes.

You can access the Properties for … dialog by right-click on the relevant dimension in the layout and choosing Dimension → Properties.

Note

There are similar properties for dimensions, measures and structures.

Dimension Properties for dimension Consolidation Unit

The image shows three tabs in the Properties for Consolidation Unit settings: Display, Sorting, and Hierarchies. Each tab contains various options for configuring the display, sorting, and hierarchical structure of the consolidation unit.

Review Booklet Filters

Global filters apply to all business pages in the app and underlying data providers. You define them in the filter bar. Use Adapt Filters to add to the global filters.

Note

Consolidation Unit Hierarchy must be added to the global filters and restricted to a hierarchy that is different than the default.

Page filters only apply to a specific business page and underlying data provider. Some variables for page filters are already derived based on your selection of global filters. You can display them in the side panel. In addition, you can apply page filters for specific dimensions in the report.

When the page filters are displayed, they show the default dimension filters. In the All view, you can Add additional dimensions to the filter or choose Clear to remove previously added dimensions.

Note

The filter for the Consolidated Balance Sheet - Overview page is different than the other pages because the filter has an Asset view and Liabilities & Equity view.

You can also filter a dimension via the context menu. For example, right-click FS ItemFilterEdit. You can then select a hierarchy node and choose OK.

Review Booklet Layout

You can access the report definition by going to the layout panel. The layout panel has the following components:

  • Builder Pane: Here you can see the information that you've selected under Available Objects. It's displayed in your statement, either as a row or as a column.
  • Available Objects: Here you choose which type of measure, structure, and dimension you want to display in your financial statement by selecting or deselecting it.

You can use drag and drop to change the rows and columns. You can use the ...More option to control:

  • Zero suppression: hide members if they have zero values.
  • Compact display: group dimension members hierarchically.
  • Set properties.
  • Edit filters.
  • Display unbooked members.
  • Control totals.
  • Control sorting.

Note

Structures are made up of multiple dimensions. For example Closing YTD 2025 includes the period mode, and time dimensions.

Questions and Predefined Answers are also available in the Group Financial Statements Review Booklet app.

Therefore the following dimensions can be added to the layout panel to provide additional information for analytical purposes:

  • Question, with the following display attributes:

    • Are Multiple Answers Allowed
    • Maximum Number of Allowed Answers
    • Minimum Number of Required Answers
    • Question Type
  • Predefined Answer .

On the SAP Business Accelerator Hub, the following APIs are provided to create, update, and delete questions and predefined answers:

  • API_CONSOLIDATIONQUESTION (Consolidation Question)
  • API_CNSLDTNQUESTIONTYPE (Consolidation Question Type)
  • API_CONSOLIDATIONANSWER (Consolidation Answer)
  • API_CNSLDTNREPORTEDANSWER (Consolidation Reported Answer).

In the Group Financial Statements Review Booklet app, the two dimensions are available on the following business pages:

  • Consolidated Balance Sheet
  • Profit & Loss (Nature of Expense)
  • Profit & Loss (Function of Expense)
  • Cashflow Statement.

Review Booklet Formatting

You can use the formatting option to:

  • Set a template
  • Select alternating rows and wrap text
  • Scale the UnitCurrency position
  • Select measures
  • Change scaling and formatting of the scaling
  • Set the number of decimal places
  • Change the sign display
  • Set up conditional formatting.

Formatting

Review Booklet Context Information

You can use the context option to display global filter values and jump to hierarchies.

Review Booklet Exports

If you need to evaluate the review booklet results in Microsoft Excel, you can download it.

Review Booklet Report Navigation

From your review booklet, you can navigate to other areas and apps of group reporting.

This navigation is context-sensitive: The booklet settings (for example, the global filters and page filters) are automatically applied in the group reporting app that you navigate to.

You can jump to the Manage Global Hierarchies app by selecting a hierarchy from the Context Information in the side panel.

You can also transfer the context (selections and filters) to the Display Group Journal Entries With Reporting Logic app. You do this by right-clicking a data cell in the table and choosing Navigate to → Display Group Journal Entries With Reporting Logic.

Review Booklet Views

After you apply filters and select the rows, columns, and dimensions that you want, you can then save the pages as a view. Saved views can then be selected to reload all the pages in the review booklet as you had saved them. Depending on your authorization, you may be able to save a view as Public so that other users can use it as well.

To save a view, choose the dropdown list of views and select Save As. When you save the view, you can also select Set as Default so that it appears by default every time you enter the app.

You can also manage views by selecting Manage from the dropdown list of views. Here, you can view the details of views, rename them, set them as default, and delete them.

Review Booklet Business Insights

Financial business insights quick actions combine drilldown and filter actions with Artificial Intelligence (AI) prompts. They automate navigation and provide users with explanations of the data. Business insights answer predefined business questions and offer detailed information to business users.

Business Insights for group financial statement booklet using generative AI:

  • Analyzes and summarizes tabular data on a review booklet page
  • Identifies and evaluates relevant business situations
  • Highlights findings within large datasets
  • Creates a management summary of group-level financial data
  • Includes comments and calculates KPIs
  • Allows easier and faster analysis and gives insights into group financial data for increased end user efficiency.

Review Booklet Commenting

Comments in review booklets allow users to create, display, rename, and search for comments for data cells and pages. It also enables adding tags, changing status, and filtering comments. Using tags you are able to filter your comments and change their status.

The different perspectives of the multidimensional reporting in a review booklet allow you to see comments for different aggregations and filters, i. e. you can see comments from different angles.

Analytical cell-based comments:

  • Ability to discuss numbers in certain cells
  • Categorize, tag, filter and edit
  • History of comments and contributions
  • Live cycle status for each comment.

Comments of all loaded cells:

  • Show all loaded comments on a page
  • Rename "Cell Comment Header"
  • Classify and filter comments.

Comments of Selected Cells:

  • Add and view comments via context menu
  • Click on comment to see detailed history.
The figure shows how to create a comment and when somebody is notified in the comment to check the data how to reply to the comment after having checked the data.

With the @Mention Feature you can Inform colleagues about comments via email and notifications. You as the receiver of such a notification can click the notification icon and then click the message. You can then check the data according to the comment and answer to the comment.

The figure shows the Editing functionality of a comment. It contains the creation and change of the title, the classification of a comment, the setting and changing of the status and the creation of a comment tag.

When you set up a comment you can classify it and you can also set and change the status of the comment, change the title and create a tag for the comment.

Using the Navigate to My Comments button gives you an overview about the titles of your comments, the status, the classification and t the comment tag you had defined.

In this exercise, when you see ##, replace the characters with your group number.

Task 1: Use the Balance Sheet Page

Steps

  1. Open the Group Financial Statements Review Booklet tile.

    1. Go to the Analytics for Group Reporting group.

    2. Choose the Group Financial Statements Review Booklet tile.

  2. Add the Consolidation Unit Hierarchy field to the global filter.

    1. On the Group Financial Statements page, choose Adapt Filters.

    2. In the Adapt Filters dialog select Consolidation Unit Hierarchy .

    3. Choose OK.

  3. Select CS17/ALL_CU_HIERARCHY - All Consolidation Units for the Consolidation Unit Hierarchy field in the global filter section.

    1. Open the Input Help of the Consolidation Unit Hierarchy drop-down in the global filter.

    2. In the field Display select ID and Description from the dropdown menu.

    3. In the Consolidation Unit Hierarchy dialog select the hierarchy provided in the exercise.

    4. Choose OK.

  4. Save the global filter as a view with the following settings:

  15. Change the FS Item properties to display all nine levels of the hierarchy.

    1. Right-click Consolidation FS Item.

    2. Choose DimensionProperties.

    3. In the Properties for Consolidation FS Item dialog, choose the Hierarchies tab.

    4. In the Nodes to show dropdown, choose From root to level 9.

    5. Choose OK.

    Result

    The FS Item hierarchy is now expanded to level 9 in the rows.
  16. Add Consolidation Unit into the rows to the left of FS Item.

    1. Right-click Consolidation FS Item.

    2. Choose Dimension+ Add Dimension.

    3. Select Consolidation Unit.

    4. Right-click Consolidation Unit.

    5. Choose DimensionMoveLeft.

    Result

Task 2: Use the Profit & Loss Page

Steps

  1. Switch to the Profit & Loss (Nature of Expense) - Overview page.

    1. Choose next to the Profit & Loss (Nature of Expense) page group.

    2. Select the Overview page.

      Result

      The Profit & Loss values by FS Item appear.
  2. OPTIONAL

    Choose the Business Insights icon to get informed about the following KPI results in 012.2025 :

    • EBIT - Earnings Before Interest and Taxes
    • Operating Income/Loss.
    1. Choose the (Business Insights) icon to the right of your screen.

    2. Expand > Recommended in the Business Insights section.

    3. Click the EBIT button.

      Result

      The figure shows the AI calculation results of the EBIT.
    4. In the Business Insights section to the right, choose <(Navigation-left-arrow) .

    5. Click the Operating Income/Loss button.

      Result

      The figure shows the AI calculation results of the Operating Income/Loss.

    3. Choose … (More)FilterEdit....

    4. In the Structure dialog choose Clear Selection.

    5. Select the three structures provided in the exercise.

    6. Choose OK.

    7. Choose the (Layout) icon to the right of your screen to close the Layout section.

      Result

      You should have values for 2025 but not for 2024. Now you know how to change columns in a report.
  6. Switch to the Profit & Loss (Nature of Expense) - Profit Margins - Waterfall View page.

    1. Choose next to the Profit & Loss (Nature of Expense) page group.

Steps

  1. Switch to the Cash Flow Statement - Overview page.

    1. Choose next to the Cash Flow Statement page group.

    2. Select the Overview page.

Task 4: Use the Comment Feature on the Cash Flow Statement - Overview Page

Steps

  1. Regarding the negative result for profit center PC 4 - Racing in December 2025 enter the following cell comment for PC4/Amount in Group Crcy: Why do we have such a negative financial result?

    1. Right-click in the data cell for PC4/Amount in Group Crcy.

    2. Choose Comment → + Create Comment.

    3. In the Comments section to the right enter the comment provided in the exercise.

    4. Choose Add in the Comments section.

      Result

      The user who created the comment is added to the comment. The comment is in parallel also saved as comment title.
  2. Change the comment title to the following: Analysis of Financial Results. Classify the comment as Critical and create the tag ToCheck for this comment.

    1. In the Comments section to the right, next to Why do we have such a negative financial result? choose (Additional Options)Edit.

    2. In the Edit dialog enter the title provided in the exercise.

      Result

      In the Edit dialog you will see that initial Status of the comment is Open.
    3. Open the Classification dropdown in the Edit dialog and select Critical.

    4. In the Tags field of the Edit dialog type ToCheck .

    5. Choose Save.

  3. In order to ask a colleague - in this scenario you are also the colleague - to do further analysis, enhance the comment by choosing the @(Mention) icon after the comment. After @ enter the first letter of your training system user. A pop-up will come up. Select your own user.

    Finally, add the following comment after your user in the Edit Comment dialog: Please review the data as soon as possible.

    1. To the right of the comment choose (More)Edit .

    2. Put the cursor in the first empty row after the comment.

    3. Choose @(Mention) .

    4. Enter the first letter of your training system user.

      Result

      A list of training system users comes up.
    5. Select your training system user.

    6. To the right of your training user name enter the comment provided in the exercise.

    7. Choose Save.

  4. Check if you received a notification with a similar text: … mentioned you in a comment in the Group Financial Statement app . Don't click the notification hyperlink.

    Note

    A real colleague would have clicked the notification hyperlink in order to jump to the dedicated comment.
    1. In the upper right of your screen open the (1 Notifications) icon.

      Result

      You should get a similar result:
    2. Don't click the notification hyperlink.

  5. Reply to the comment with the following answer: After analyzing the data, we found out that the data on this profit center is OK. and update the status to resolved.

    1. Enter the answer provided in the exercise by choosing the Reply button in the Comments section.

    2. Choose Add.

    3. Right to Why do we have such a negative financial result? in the Comments section choose (Additional Options)Edit.

    4. In the Edit dialog open the Status dropdown and select Resolved.

    5. Choose Save.

      Result

      The figure shows the configuration of cell comments in the Comments section of the Review Booklet.
      The (Resolved) icon shows that the status is resolved.
  6. Navigate to the My Comments tile and check your comments. Finally, return to the Group Financial Statements web page.

    1. In the Comments section, right to the Search field and Setting icon, choose (Additional Options)Navigate to My Comments.

      Result

      The figure shows the My Comments tile. It contains the comment and the review comment.
    2. Choose <(Back).

      Result

      You should now be on the Group Financial Statements web page and see your Review Booklet.
  7. Re-save the global filter as a view with the following settings:
