Process View - Issuing of Personal and Functional Equipment

The Planning phase defines the authorized equipment and assignment to Force Elements. The Issue phase involves issuing equipment to authorized persons, creating and printing issue documents, and issuing additional equipment. The Reporting/Service Activities phase includes monitoring issued/returned equipment, expiration date monitoring, and equipment status tracking. The Return phase covers returning issued equipment based on reason codes, creating a return document, and scheduled posting of consumed items.
The image depicts a process for issuing materials, where the list of materials can be filled in manually by entering or scanning the material number and quantity, automatically based on the entitlement definition, or by transferring items from an inventory overview. The issued equipment is loaned to the individual to perform their role, with the expectation that it will be returned by the planned return date. BADIs are available for customer-specific implementation.

Equipment can be issued to persons irrespective of whether they are assigned to a position or force element.

The list of materials can be pre-populated with reference to authorized quantities of a persons which can be customized using available BAdIs. You can also use this option to transfer equipment from a built-in stock overview as well as manually select items for issue.

When the equipment / materials are issued to a person they are actually transfer-posted from unrestricted-use stock to project stock. Therefore, the material in question cannot be used / considered for other purposes such as MRP runs or maintenance orders.

The mandatory fields in this screen include Force Element or Personnel number (with BADI available for barcode), Position Start/End Date, Issuing Plant, Issuing Storage Location, WBS Element, Issue Date, and Return Date. The positions start/end date selection enables evaluating equipment authorizations for future position postings, such as issuing rank slides for promotions. It is also possible to evaluate authorizations for specific usage types like Operations or Exercises.

In addition, the user can limit their selection either by entering Personnel Number or Force Elements. Both of these can be entered as a from-and-to range.

The user must also specify the following:

  • Issuing Plant: The plant form which the functional equipment will be issued.
  • Issuing Storage Location: The storage location from where the functional equipment will be issued.
  • WBS Element: The WBS element to which the stock of the functional equipments will be posted.
  • Issue Date: The date of the goods issue. This would normally be today’s date.
  • Return Date: The date we expect to receive the functional equipment back from the person.

Additional data that can be specified:

  • Authorized Equipment: By selecting this check box, you will get a list of the Functional Equipments that you are authorized to have.
  • Delivery: Selecting the Delivery check box will result in the creation of a Delivery note. The goods issue must be carried out through the processing of the delivery note.

A BAdI is available to support barcode scanning of materials into this screen.

Issuing functional equipment can also support non-mission processes such as issuing a laptop or a projector to an individual who is held accountable for it.

Default values are recommended to be setup for the logisticians and clothing store persons who operate the system.

The mass issue applications allows us to issue a number of materials for multiple persons.

Note that the same materials will be issued to the persons selected. The mass issue is based on the selection of more than one person. This can be done by specifying a range of personnel numbers, or more likely by force element number - for example, all personnel or selection of personnel of a platoon.
