Working with Organizational Measures

Objective

After completing this lesson, you will be able to describe Organizational Measures

Organizational Measures

This figure shows an example with Measure Type, Measure Areas, and Measure Subareas.

Extended functionality with Organizational Measures:

  • Activity file (Case Management):

    • Contains all the information about the organizational measure, including organizational instructions and changes
    • Dynamic process route
    • Approval process can be carried out for each measure area
    • Implementation using the SAP Case Management solution
  • Workflow (SAP NetWeaver):

    • Creation of the organizational measure and transition to the In Process status for notifying the person responsible for the area
    • Within a measure area for notifying the agents concerned
    • For status changes to objects, the standard SAP workflows are triggered, which can be used by the customer for any actions and additional notifications

In comparison to Individual Measures, Organizational Measures make use of process routes for Organizational Measure (top level) and every subordinate measure area. SAP Workflow uses tasks to notify users in their SAP Inbox to carry out the next step in working order.

Both of the options above are provided for the purpose of forwarding information/organizational measures electronically.

Note

*Verify current license terms for Case Management solution in your organization.

The RMS ID defines the Defense and Security specific view in the Case Management solution.

Context options depend on the selected entry in the hierarchy view. Individual Measures can also be created from the Case Management app instead of the Manage Measures app.

This figure illustrates the setup in the system.

The following properties of the individual measure correspond to those of the organizational measure:

  • Header
  • Case ID
  • Measure Type
  • Object Type
  • Header Element
  • Effectiveness
  • Change Data
  • Related Objects
  • Notes
  • Log
  • Change Documents

The following properties are specific to the individual measure:

Person Responsible
The user, position, or organizational unit responsible for this individual measure. The person responsible for an individual measure is also the sole current user. You can forward an individual measure to a different person responsible/user. The individual measure is available in the Structures Workbench only to the person responsible.
Process Route
The process route is not used to determine the user for individual measures. Instead, you can use a process route to specify which user is to be informed when data is changed by the individual measure in question.
Status
The possible statuses of an individual measure are identical to those of a measure area.

This figure illustrates the steps to set this up. Enter the required properties for the organizational measure. Note the following special features:

  • The system specifies the current user as the person responsible. You can replace this entry with a different user, a position, or an organizational unit.
  • The organizational measure is automatically assigned the status In Preparation.
  • This status indicates that the organizational measure has not yet been completely created and that you cannot start implementing the data changes.
  • The status cannot be set to In Process until all the required properties have been assigned.
  • If necessary, enter a note. To do so, choose Notes. Enter the required text and choose Copy.
  • Specify the persons responsible for the relevant area by choosing Process RouteInsert Sequentially and enter a user, position, or organizational unit, as well as the required processing conditions.
  • You can then specify additional processors that are to perform tasks sequentially or in parallel. The sequence of processors defined here determines how the relevant workflow work items are triggered, with the requirement of defining the measure areas in more detail.
  • If necessary, you can also assign an organizational measure documents, transactions, and elements. You define the availability of such elements using the functions of the Case Management Modeler.

This figure illustrates the steps to define a process route.

For example, define different users for maintenance of the Force Element structure, review, and approval.

Measure Areas

Measure Areas that are not needed can be withdrawn before the Organizational Measure goes further into the process.

As Measure Areas are subordinate to the Organizational measure, one can navigate up and down between both of these levels.

Status Switching

This figure illustrates the possibility tof switching the Status.

The screenshot in the figure, After Status Switch, shows the Process Route and Status for the overall Organizational Measure. To start the process route of the subordinated Measure Areas, their status must also be set to In Process.

Inbox

In the Inbox, the user has to click once on Open Task to get the task into their own work in progress. The details of the Measure Area with additional documentation is shown. Afterward, this Organizational Measure can be processed in the Manage Measures app or in the Manage Force Elements app.

When the Measure Area is closed (after having performed the Open Task from Inbox) the screen to finish the task appears. Choose Complete Work Item to change the status of work item from In ProgressExecuted. You can choose Cancel and reopen the task if the task is needed for a longer period of time.

This figure illustrates the result of status checks.

This figure illustrates the result of a status change in the Measure Area.

This figure illustrates the interaction between Measure Area and Organizational Measure, part 1.

This figure illustrates the interaction between Measure Area and Organizational Measure, part 2.

Organizational Measure Activities: Cancel, Reject, Delete

Facts about Organizational Measure Activities:

  • Possible if status is not (partially) active
  • Check routines that prevent deletion
  • Active measure areas can be reset by another organizational measure only
  • The 3 options are as follows:
    • Reset organizational measures: Status of organizational measure is In Process
    • Reset organizational measures: Status of organizational measure is Reset
    • Delete organizational measures: Organizational measure is completely deleted
  • The dependent measure areas are notified and subsequent processes are triggered.

The circumstances surrounding the rejection, cancellation, or deletion of an organizational measure are more complicated. For this purpose, additional check modules that ensure data consistency have to be defined. These are:

  • Resetting Changes
  • Use

You can reset changes by doing the following:

  • Resetting an organizational measure
  • Changing a measure area to status In Process (Resubmission)
  • Resetting a measure area
  • Reset an organizational measure

If the status of an organizational measure is not yet set to Partially Active, you can reset the organizational measure.

Use Measures in Defense and Security

Note

In this simulation, you are in Practice Mode. The Practice Mode is covering the same steps, but the participants have to execute all the steps (or just force the next steps in the top menu of the simulation).

Business Scenario

As an Organizational Planner, you are responsible for maintaining the Force Element attributes. You are required to rename an existing Force Element.

You will learn how to do the following:

  • Maintain the Force Element attributes
  • Rename an existing Force Element
