Managing a player’s medical incident involves two key phases. The first phase is focused on the immediate handling of the injury and accurate documentation, ensuring that all relevant details are captured right from the start. The second phase is dedicated to taking the necessary steps to support recovery and facilitate an optimal Return to Play process. Together, these phases ensure effective management of the player’s health, from injury to full performance.
The journey back to peak performance begins the moment an injury occurs. Immediate, accurate management of the incident is crucial. On the day of the injury, the priority is to quickly and correctly document the incident, providing medical staff and coaches with the necessary information for informed decision-making. SAP Sports One offers the tools to record these details in real-time, whether through mobile or web interfaces, ensuring transparency and consistency across the team.
When a medical incident occurs during training or a match, the immediate priority is the treatment of the player, not documentation. To support this, SAP Sports One allows the creation of Ad Hoc Incidents via the SAP Player Fitness app. Using Ad Hoc Incidents allows you to quickly document a brief description of the injury as it happens, while more detailed information can be added later. In addition, a precise diagnosis can’t be made on the field right away, as further examinations are needed. This method ensures that only the essential details are captured initially, making them available for later stages of the process when required.
Note
Currently, the SAP Player Fitness app is only available for iOS and is not yet available for Android.
Now, let’s take a look at how to log an ad hoc incident directly on the go using the SAP Player Fitness app. First, ensure that the app is properly installed and that you have the latest version on your mobile device. When you open the app for the first time, you’ll be prompted to log in. Enter your SAP Sports One server address (e.g., sap-united.eu10.sportsone.cloud.sap), then log in with your email address and password.

After logging in, start by selecting the player’s team. You will see all teams for which you have permissions and where at least one player has a current active team assignment. Once you click on the team, an overview of all players will be displayed, including their availability status. Use the filter button at the top to sort players by medical status or position.
Note
More detailed information on player status will be provided in the next unit, where we will focus on the Return to Play process of a player.

Select the player for whom you want to create a new medical incident. In this overview, you will immediately see the player’s past medical incidents, and you can also update their medical history from here. To create a new medical incident, click the + sign and choose for example Injury. You will notice that you can also create Sicknesses, Preventive Actions, Treatments, Medical Notes, and more directly from the mobile app. These medical documentation options will be also highlighted during this course.

Let’s assume a player gets injured during a training session. If the situation is urgent and the exact details are not yet known - for example, if the physio only knows the player will be out for a few days - you can toggle the Ad Hoc button. This option allows you to quickly record the incident without specifying a precise diagnosis at this time.
After activation, you can still add a header and description for the injury. You don’t need to select an injury from the injury catalog immediately, which we will cover later in this course. You will also see the body map, where pain points can be recorded. The player’s status and the duration of the ad hoc injury are automatically set until Tomorrow. This means the player is marked as Exempted for today and will not be available for further training sessions or events.
Note
Marking an incident as Ad Hoc automatically notifies the responsible medical staff in SAP Sports One.

As you have seen, it is very easy to create an ad hoc injury for a player using SAP Player Fitness, even when further injury details are not yet clear and can only be added after a proper examination.
