Initiating of Person Profile

Documentation of Master Data for Persons

First, the person's profile provides an overview of the person's general information. This includes the person's profile picture and their first and last name. The Person Info is further divided into sections such as personal info, educational background, physical info and portal information.

At the top of the person profile, you can also manage duplicates. Detailed instructions on Duplicate Management are covered in the unit Managing SAP Sports One Users and User on-and offboarding.

Additionally, you can access the User Data And Permissions interface via the button on the right to manage user data and activation settings. Moreover, most person information can be adjusted using the button on the left. All data can be adjusted, except for the userID, which must be updated in the SAP Identity Authentication Service. Please refer to the lesson Managing SAP Sports One Users in SAP Identity Authentication Service for further guidance.

Please note that you may not want certain adjustments to be applied, such as updates from the data provider Heimspiel. To prevent a field from being updated automatically by the data provider, you can simply select the lock icon.

Documentation of Additional Personal Attributes

In addition to documenting the master data of persons, SAP Sports One allows you to add additional personal attributes. These attributes can include any relevant details you want to record for a person, such as membership numbers, further educational backgrounds, financial information, sponsoring details and many more person information related to team management.

The following video provides a step-by-step guide on how to manage additional personal attributes in the Admin section of SAP Sports One and how they appear in a person's profile.

Documentation of Assignments

In the person profile, you can also manage a person's team assignments. These team assignments determine to which team the person is assigned to in the team overview for the selected time frame or season. If the person has an active team assignment for multiple teams during the chosen time frame, the person will appear on each of those teams.

Note

Maintaining accurate team assignments is crucial for ensuring that a person can be selected for their team in other areas of SAP Sports One, such as when creating appointments or other calendar types.

In more detail, you can document the player's assigned start and end dates, their area and role as well as the jersey number. Additionally, like in the general information section, you can lock these details to prevent updates from the data provider.

Beyond managing player team assignments, you can also oversee assignments for staff members, club roles, external contacts and loan players. As mentioned earlier, the options in SAP Sports One vary slightly depending on the role and profile of each person. Feel free to explore the other assignment options yourself.

Documentation of Communication & Address data

Another key aspect of team management is handling communication and address data. You can document various communication details, including email addresses, phone numbers, and social media accounts. Within each category, you also have the option to designate a primary contact method.

Additionally, you can manage communication room assignments and check the status of SAP Team One. More details on communication rooms and SAP Team One are covered in the unit Preparing Season. Beyond communication data, you can also store personal address information for each person.

To be able to manage communication and address data in the person profile, you need as an example the role of Administrator or Team Manager and the permissions for the corresponding groups at Personal Data. SAP Team One Self-Service

SAP Sports One offers a self-service feature that allows persons to update their personal profiles, communication and address details as well as the additional personal attributes available. Persons can easily adjust their data directly in the SAP Team One mobile app. Any changes made from the person are automatically applied and synchronized with the SAP Sports One system.

Documentation of Contract Data

Managing player contracts is crucial for maintaining a clear overview of contract conditions and payment obligations. That's why we are working intensively on introducing a new and improved contract management mechanism in SAP Sports One.

While it is already possible to document contracts within the system, an upcoming update will provide significant added value. As soon as the new contract management feature is available, you will find a comprehensive video on SAP Sports One Media Share.

Contract Management Analysis

The extensive contract management capabilities in SAP Sports One enable a wide range of contract management analysis. One example is an analysis of a player's monthly salary payouts, including bonuses and other incentives. This analysis is also part of the SAP Reference Content.

Documentation of ID Documents and Licenses

With SAP Sports One, you can not only manage contract information and personal details of players and staff, but also document and maintain their ID documents. You can select the document type and enter key details such as the document number, issue and expiry dates, issuing authority, visa information, and more, ensuring all essential information is well-documented.

Note

To be able to document a person’s ID documents in the person profile, you need as an example the role of Administrator or Team Manager and the permissions for the corresponding groups at Confidential Personal Data. An overview of all SAP Sports One user roles and permissions is available on the SAP Help Portal (User Roles | SAP Help Portal)​.

For staff members, such as your coaches, you can also document their licenses. You can specify the license type, record the validity period, and designate a license as the main one.

As with other areas in SAP Sports One, you can customize the available licenses to suit your needs. To do this, you must have Administrator role. Simply navigate to AdminSettingsCategories and select Licenses from the drop down menu. Here, you can view all currently available licenses and add new ones if needed.

ID Document Management Analysis

Like the contract management analysis, we are also providing insights into the validity of ID documents within the SAP Reference Content. In this analysis, we focus on analyzing the validity of players’ passports and visa documents. As shown below, you can quickly see which players on a specific team have long-term valid ID documents, which documents are approaching expiration, and which might already be expired. This enables you to immediately identify where urgent action is needed and where players still hold valid documents for the long term

Personal Data Report and Player Tags

In the player profile, you have the option to download a personal data report for your player. Please assign a meaningful name for the report. Afterward, you can select up to three sections from the player profile to include in the export. This export functionality is also used for the NADA Report, among other purposes.

To be able to download a personal data report of the player, you need as an example the role of Administrator or Team Manager and the permissions for the corresponding groups at Confidential Personal Data. You can also create a tag for the player. This tag can be used to label documents, videos or other items in your media library for easy access later. We recommend using the suggested tag that appears when you click on Edit Tag.
