Introducing SAP Sports One Media Library

Introduction SAP Sports One Media Library

Effective management of all medias, files, info packages and other documents is essential for professional team management and performance optimization. The SAP Sports One media library serves as a central storage space where, for example, player contracts and other important documents can be stored. However, a key function of the media library is, of course, the storage of whole match videos and highlight video clips, which are analyzed to optimize performance.

The following lessons provide a brief overview of all features and capabilities of the media library in SAP Sports One. Special attention is given to the different views of the content, depending on permissions and the media library sharing concept.

Please note that documents are stored directly in SAP Sports One, while videos are stored via Amazon Web Services (AWS). You can configure the storage settings in the admin section of SAP Sports One. Overview of All Club Media

In SAP Sports One, you can easily access a comprehensive overview of all the files, links, info packages and folders you have permission to view by navigating to MediaAll. To add new content, simply click the Add button in the top-right corner. From there, you can create new folders and info packages or upload files directly from your local desktop into the media library. You can also customize the sorting of your items in the top left corner, allowing you to sort by name or by date.

Newly added items in the media library will, by default, grant the creator both read and write access. Initially, these items will not be publicly accessible. In an upcoming lesson of this unit, we will explain how to manage permissions.

At All Club Media you'll find all media files organized at the club level. Additionally, there are dedicated media sections for individual teams or players. You can access these by navigating to a specific team or player and selecting the Attachments. Here, you're able to upload files, entire folders, or information packages at the team or player level. All the features available at the club level are also available for teams and players.

Additionally, you can customize the display of the club media overview. You have the option to show all items without thumbnails, display them with thumbnails, or view them in a gallery format. Simply use the three options located at the top right of the page to choose your preferred view.

Overview of Media Library Items

Item Overview

When you click on a newly created folder, you'll immediately see details like its name, description, assigned tags, type, path, permissions, and more. Tags are particularly important, so we'll take a closer look at them in a separate lesson later in this unit.

In addition to providing an overview, there are many other operations you can perform with items such as folders, info packages or files. To manage these items, you can use the options located at the top right, next to the Add button. Here, you can edit or delete items as needed.

Clone, Copy and Move Items

Additionally, you can preview information packages and videos by using the navigation options in the top right corner. By clicking on the three dots, you also have the option to clone the item, copy it, or move it.

Here are the characteristics of these three options:

  • Clone: A copy will be created in the same path. The new item will share the same properties, such as description and tags. However, the permissions for the cloned item will be adjusted to reflect that I, as the user, created it. In this context, I will have moderate ownership and will possess read/write permissions.
  • Copy to: A copy is being created. Here, you can choose the path and location for the item, whether in all club media or in other areas, such as the player profile. The properties and permissions for the item will remain intact.
  • Move to: Instead of creating a copy, the item will be moved along with all its properties and permissions.

Favorites

You can easily add items to your favorites directly from the item overview menu. Simply click the three dots at the top and select Add to Favorites. Additionally, the left sidebar features a Favorites tab where you can view all your marked items. We recommend doing this for items you use frequently or that are particularly relevant to you. Each user has their own unique favorites. In this favorites section, you can also filter for specific items and edit them, just like in all club media.

Handle Media Library Item Permissions

As mentioned earlier, you can manage item permissions by clicking on the three dots. Here, you can set permissions for the item (read and write) and add persons or person groups. More information on person groups in SAP Sports One at lesson Person Groups.

Note

Please note that read permissions allow user to open media, folders or links, but not edit them. Write permissions allow users to edit media, folders or links. Write permissions for a folder allow user to also create sub folders, media and links in the main folder.

When managing permissions, there are two additional options available to enhance flexibility. First, you can notify affected persons via a notification that the permissions for this item have changed, potentially granting them access to new media library information.

Second, you can decide whether the changes should also apply to sub folders and files within the parent folder. This is particularly useful in scenarios where, for example, you have a folder for each player, but certain staff members should only have access to specific sub folders, such as player videos, while being restricted from accessing folders like contracts or medical records.

This allows you to tailor your folder structure and permissions to suit your specific use case, ensuring that permissions are inherited by sub folders only where appropriate.

Share Media Library Items

In addition to managing permissions, you can share media library items directly using various options:

  • Share Folder: Selecting this option allows you to share a folder with a specific person or group. You can define the permissions (read or write) for the recipient and specify whether the sharing settings should also apply to sub folders and files. Shared items will then appear in the Shared With Me section on the left ribbon.
  • Send to SAP Team One: You can send items and media packages directly to SAP Team One, making it easy to access information on the go and quickly share it with others in a simple and efficient way.
  • Send to SAP Team One as a Link: Share a direct link to the media item without creating a duplicate. Please be mindful of the item's permissions, as the link provides direct access to it. Alternatively, you can copy the link to your clipboard if you'd like to share it through another method.
  • Create a QR Code: Finally, you can generate a QR code for the media library item, making it easy to access with a quick scan. This feature is particularly useful for sharing information efficiently with a larger audience, such as players in a locker room setting.

Tag Management

The SAP Sports One media library offers a key feature that simplifies organization: the ability to assign tags to items. This makes it easy and efficient to find and manage entries. You can add tags directly by typing them into the tag search box. However, tag boards provide an even more streamlined tagging experience, as they can be customized to fit your unique needs. Simply click the icon on the right side of the tag box to access an overview of your tag boards. Additionally, you can use the top menu bar to filter by keywords or tags, allowing you to quickly find all items associated with a specific tag.

Customize Tag Boards

As previously mentioned, you have the option to customize your tag boards in SAP Sports One. To get started, simply navigate to MediaTag Boards. We recommend creating tag boards designed for specific use cases, such as Training, Scouting, Match Analysis or for structuring the media library. Here’s an example of what a customized tag board for the area of player scouting might look like:

Please note that you can only view the tag boards for which you have the appropriate permissions. To manage these permissions, click on the Edit Permissions icon for the tag board. The following permissions are available: read, write, and manage.

If you're unsure who has read or manage permissions for a particular tag board, persons with the role of Individual Permissions Admin can use the Individual Object Permissions feature to grant access to specific persons. We will highlight how to use these Individual Object Permissions in more detail in the unit Working with Individual Object Permissions of this course.

Tag Management

Sometimes, you may accidentally make a typo or assign the wrong tag to items in the media library. In SAP Sports One, you have the option to correct this and manage your tags effectively. To do so, navigate to MediaTag Management.

Here, you'll overview all the tags used in your SAP Sports One system, also allowing you to create new tags and search for existing ones. You'll also get detailed information on how often tags have been assigned, when they were created or modified, by whom, and which team or player they are linked to. By clicking on a specific tag, you can edit the tag and, if needed, merge tags that are already in use.

As soon as a tag is modified and merged, the changes will be applied system-wide and affect all users. Therefore, please proceed with great caution.
