Introducing Usage of Calendar in SAP Sports One

Creation of Calendar Events

We’ve already explored how to use the calendar in SAP Sports One. In this lesson, we’ll focus on creating new calendar entries. SAP Sports One offers various event types that you can add when creating a new calendar entry.

Note

To be able to create and manage calendar entries, you need for example the role of administrator or team manager and the corresponding permissions for creating e.g., team activities. An overview of all SAP Sports One user roles and the corresponding permissions is available on the SAP Help Portal (User Roles | SAP Help Portal).

If you have the required roles and permissions, you're all set to create new calendar entries. The following video will guide you through the process.

Consuming Calendar Events via Event List in SAP Team One

The SAP Sports One calendar provides a major advantage with its mobile version, available through the SAP Team One app. This app allows players and staff members to access the calendar anytime, anywhere - whether at training, on their way to a match, or during a treatment - keeping important dates and information always within reach.

The event list in the SAP Team One app shows all appointments a user is authorized to view, including team events like training and matches, private appointments, performance tests or activities like training camps - everything visible in the web calendar is displayed here as well.

By clicking the icon in the top left corner, users can easily adjust their filter settings. These filters can be applied to personal calendar templates that were created earlier in the web version. In the middle section, users can filter by teams, displaying only those teams they are authorized to access. The lower section allows filtering by categories, such as training sessions or matches.

Clicking on an event, like a gym workout session, will open the details, including the event name, date, time, and additional information such as the location and any required or booked resources.

With the SAP Team One app, you can easily make a variety of adjustments and edits directly from your mobile device. For example, when it comes to a training session, you can flexibly modify training details, manage participants, adjust exercises, enter player ratings, and more. SAP Team One also provides an overview of questionnaire results as well as performance data related to each event. Please note that questionnaires are only visible to users in SAP Team One if the creator has explicitly shared them.

Furthermore, SAP Team One is not limited to staff members for calendar event adjustments. Players can also use the app to update their training participation status, thereby notifying coaches in case of absence. Please ensure that the training participation settings in SAP Sports One are properly configured. If you have any questions on this, please reach out to your SAP contact person.

In addition to viewing calendar entries, players can also create their own events in SAP Team One as a form of self-service. To do so, simply click on the plus button in the top right corner and select Create Training. This feature can, for example, be used by players to create individual training sessions, like gym workouts, to be reflected in the calendar.

Please note that any adjustments made in SAP Team One are automatically synchronized with SAP Sports One in the web browser. Copy Calendar Events

One of the key benefits of SAP Sports One is the ability to copy entire calendar entries or even full weeks. This feature significantly streamlines planning, especially for tasks like scheduling training sessions. For instance, if you want to repeat a full week of training, you can do so with just a few clicks, saving valuable time.

Analysis of Availability of Resources

The SAP Sports One Calendar offers a valuable feature for viewing resource availability. This allows you to check whether a resource is available, when it can be used, and for how long. With this functionality, you can optimize resource management by planning and coordinating usage more efficiently.

To display resource availability in the calendar, simply search for the desired resource and add it to your calendar view. The calendar will then indicate when the resource is in use and for how long. The example below illustrates this feature by showing the availability of a playing field.

The calendar can display the availability of all created resources. The process of creating resource types and individual resources will be covered in the lesson Initiating Resource Management.

As you may already know, if a resource is marked as Exclusive and is already booked for a specific time, an alert will notify you that the booking is not possible. More details on resource exclusivity can also be found in the mentioned lesson. The same principle applies to the resource availability.
