Introducing Car Search Options

Objective

After completing this lesson, you will be able to configure Car Search Options on the Travel Configuration Page.

Introduction to Car Search Options

The Car Search Options on the Travel Configuration page control how rental car searches and bookings work for travelers. To access Car Search Options, use CTRL+ F to locate the setting as shown in the following graphic.

These settings align car bookings with company policy and streamline the traveler experience.

Use the settings in the Car Search Options section to set allowed and default options, decide whether to allow automatic reservations, enforce payment rules, manage supplier handling, and define search behavior. To learn more, review the following labeled graphic and corresponding table.

1. Allow automatic reservations of...Travelers can select company compliant cars and allowable car types. If available, the selected car will automatically be added to the reservation, bypassing he following options are available in the dropdown menu: the car results page and saving time for the traveler. Dropdown menu:
  • Do not allow
  • Cars that are in policy
  • Preferred cars that are in policy
2. Allowable Car TypesSelect the specific car types that are allowed when booking. Note the following for hybrids and specialized vehicles:

Hybrids:

  • Worldspan is not yet supported
  • This feature applies only to car results from the GDS, not from car direct connect

Specialized Vehicles:

  • This feature applies only to Sabre GDS - Thrifty and Hertz
  • This feature applies only to mining-equipped vehicles
3. Default Car TypeSelect the default car type when the traveler uses the "Automatically reserve this car" feature in the Travel Wizard.
4. Default Car TransmissionThe following options are available in the dropdown menu:
  • Don't care
  • Automatic
  • Manual

The user can change this option in their profile; this setting simply sets the default. If a user already has a default set in their profile, this setting will not override it.

5. Hide the Ski Rack option on the Profile page and in searchesSelect to enable this setting if you do not want "Ski Rack" to appear as an option:
  • In the Car Rental Preferences section of the user's profile
  • In the Car booking options section of the search results page in the Travel Wizard
6. Require credit card for car reservationsWhen enabled, travelers can use a credit card other than the one stored in their profile to reserve cars. If you allow travelers to use a ghost card to reserve cars, you should select this option.

Otherwise, Concur Travel will send credit card information only when selected by the vendor, which will likely require travelers to present a card when picking up the car.

Note

This is required for Hertz E-Receipts functionality.
7. Don't send card information to HertzWhen enabled, this setting stops Concur Travel from sending credit card information to Hertz, which would otherwise happen as a requirement for Hertz e-receipts or if "Require card for car rental" was enabled. If the company uses direct billing with Hertz, you should enable this option and you will not receive e-receipts, but your central bill process will work smoothly.

Note

If your company uses direct bill with Hertz and you use e-receipts or require a card for reservations, you should enable this option. It will stop Concur Travel from sending credit card information to Hertz, which would otherwise happen as a requirement for Hertz e-receipts or if "Require card for car rental" was enabled. You will not receive Hertz e-receipts, but your central bill process will work smoothly.
8. Allow Car PromosSelect to enable travelers to enter promo codes when searching for cars.

Note

This setting applies to Sabre only.
9. Run a General Shop Request for Car SearchesThe following options are available in the dropdown menu:
  • Never
  • Always
  • Fallback

If enabled, the tool will search all car rental vendors when searching for cars, not just preferred cars (added in the discount area).

If not enabled, the tool will only search for preferred cars (added in the discount area). If no preferred cars were added, no car results will be shown to the travelers.

Note

You can also use create a rule in Travel Policy to encourage users to book preferred vendors and flag them as out of policy if they select non-preferred.

Summary

  • Enable automatic car reservations for in-policy or preferred cars to auto-add and speed up the booking process
  • Select allowable car types; hybrids and specialized vehicles have limitations by system and provider
  • Set default car type and transmission; user profile settings can override and be changed
  • Configure payment rules: require a credit card; disable sending card to Hertz when using direct billing
  • Choose General Shop Request setting to search all vendors or only preferred vendors, based on policy
