Working with Air Options

Managing Churn and Duplicate Options

Objective

After completing this lesson, you will be able to configure Churn and Duplicate Options on the Travel Configuration Page.

Introduction to Managing Churn and Duplicate Options

In this lesson, you will learn about the following options on the Travel Configuration page:

  • Enable Churn Detection
  • Airlines on which to track and prevent churning
  • Enable Duplicate Detection
  • Airlines on which to prevent duplicate booking on the same date

To access these settings on the Travel Configuration page, use CTRL+ F to search for each of them as depicted in the following graphic.

Hint

If you enter "detection" in the search field, it will pull up both settings as this is the only location on the page that the term detection appears.

Enable Churn Detection

Churning is defined on airline websites as canceling and rebooking the same itinerary in the same or different classes of service across one or more PNRs.

When you enable the Enable Churn Detection setting, Concur Travel will evaluate all flights booked for the same user over the last 31 days when making the "churning" determination. Review the following scenarios to learn more about the setting and its behavior:

  • The third time the user tries to book the same flight in the same class of service; Concur Travel warns the user that this is the last opportunity to book it
  • The fourth time the user tries to book the same flight in the same class of service; Concur Travel prevents the user from doing so
  • The fourth time the user tries to book the same flight regardless of class of service; Concur Travel warns the user that this is the last opportunity to book it
  • The fifth time the user tries to book the same flight regardless of class of service; Concur Travel prevents the user from doing so

Note

This functionality is not applicable to Instant Purchase Carriers.

In the Airlines on which to track and prevent churning field, you can add one of the following options:

  • A comma-separated list of airlines (up to 10; example: AA, BB, CC)
  • ALL to enable it for all airlines

Enable Duplicate Detection

The Enable Duplicate Detection setting turns on system checks that look for overlapping or duplicate reservations already held by a traveler (air, hotel, car) when they try to make a new booking. When enabled, Concur Travel compares the new itinerary against the traveler’s existing trips (from the Trip Library and agency/GDS PNRs synced to Concur) and does the following:

  • Flags potential duplicates (for example, a second flight on the same dates, a hotel covering the same nights, or a car rental overlapping the same period)
  • Displays a warning (and depending on your configuration, may require an override reason or block the booking altogether)

This helps prevent unintended double bookings, agency debit memos, and additional costs.

Caution

Detection relies on reservations being visible to Concur. If an external booking hasn't been imported/synced, it may not be caught.

In theAirlines on which to prevent duplicate booking on the same date field you can add one of the following options:

  • A comma-separated list of airlines (up to 10; example: AA, BB, CC)
  • ALL to enable it for all airlines

Note

It is common practice to enter ALL to prevent duplicate booking for all carriers.

Summary

  • Churn Detection: 31-day lookback; warns on third same-class; blocks fourth; warns fourth any class; blocks fifth; excludes Instant Purchase Carriers
  • Duplicate Detection compares new trips to Trip Library and synced agency trips; flags overlaps; warns, requires override, or blocks
  • Airline scope: enter up to 10 airline codes or ALL; common practice uses ALL for duplicates
  • Detection depends on visible reservations; unsynced external bookings may not be caught
