Working with Form of Payment Options

Managing Invoicing and Form of Payment

Objective

After completing this lesson, you will be able to manage Agency-related Invoicing and Form of Payment Options on the Travel Configuration Page.

Introduction to Invoicing and Form of Payment

In the world of travel management, accurate and efficient invoicing processes are essential for smooth financial operations. Configuring the right invoicing and payment settings ensures compliance with agency policies, enables correct billing for different types of travel services, and streamlines the traveler’s experience.

In this lesson, you will learn how to:

  • Locate invoicing and payment settings on the Travel Configuration page
  • Manage invoicing options for agency-related transactions
  • Enable the use of agency invoices for GDS Air bookings
  • Apply agency invoices specifically for government-only airfare

Mastering these configurations is crucial for ensuring financial accuracy, policy adherence, and operational efficiency within your travel program.

To access the Invoicing section of the Travel Configuration page, use CTRL+ F to search for the setting as depicted in the following graphic.

Screenshot shows the Travel Configuration page focused on the Invoicing section. A find bar at the top shows the search term “invoicing” with result 5/11. A yellow-highlighted panel includes a drop-down labeled “Send Invoice to Agency for Concur FEE” and a note directing changes to Concur Finance at CB-Billing@concur.com. Below are Form of Payment Options with checkboxes for Use agency invoice for GDS Air, Use agency invoice for government-only air, and Credit Card for Air/Rail Required in Profile. A Government-only Airfare Ghost Card area provides fields for Card Type (set to “No travel config ghost card”), Card number, and Expiration (MM/YYYY) optional. Blue navigation links such as back to top, Wizard Options, Email Options, profile sync, invoicing, ghost card, Project Billing, Finishing, and Other appear around the section.

Enabling agency invoice for GDS air allows all travel charges to be billed directly to the travel agency. The agency typically compiles these charges on a monthly or quarterly basis and then invoices the customer for all travel during that period.

In the Form of Payment Options section of Invoicing, you have the following options available:

OptionsDescriptions
Use agency invoice for GDS AirWhen this setting is enabled, travelers that are associated with this travel configuration will not have access to a credit card for their airline tickets.

Note

Guest bookings are not supported with agency invoice, therefore a credit card needs to be used for those reservations.
Use agency invoice for government only airfareWhen this setting is enabled, the Government-only Airfare Ghost Card section is not displayed.

Access to Agency Fares

In the Access to Agency Fares section, you can use thePassenger Type Code Modifier field to select the lowest available fare, either Published or Net, during the reservation process. This field is also commonly used to access agency fares based on pseudo city codes when no other discounts, such as SNAP (for Sabre) or passenger type discounts, are available.

To access the Access To Agency Fares section of the Travel Configuration page, use CTRL+ F to search for the setting as depicted in the following graphic.

Screenshot shows the Travel Configuration page showing a find bar with the term “passenger” (3/3). The page includes options such as Maximum air contracts/prefs to combine in a search set to 1, Worldspan Only: Default Air Ticketing Line Format, and Sabre Maximum Direct Flights Schedule Drain set to 36. A yellow-highlighted section labeled Access to Agency Fares displays a blank field for Passenger Type Code Modifier.

Enter the appropriate code to enable the Net Fare, such as "NEG" for Sabre.

Caution

This option is no longer supported and will be removed in a future release.

Summary

  • Enable agency invoice for GDS air to bill charges to the agency and remove traveler credit card access
  • Recognize guest bookings require credit cards; agency invoice does not support guests
  • Use agency invoice for government-only airfare; hides Government-only Airfare Ghost Card section
  • Passenger Type Code Modifier enables net agency fares like NEG; note this option is deprecated
