Defining the Records Management Capabilities

Objective

After completing this lesson, you will be able to explain how OpenText xECM can enhance SAP's native attachment capabilities.

Defining Records Management Capabilities

Records management refers to the systematic control of documents and attachments throughout the procurement lifecycle. In public sector procurement, this ensures compliance, transparency, and efficient access to all relevant files.

SAP's native attachment handling can be enhanced or substituted by the partner solution OpenText xECM. When connected, xECM automatically organizes, synchronizes, and transfers documents across SAP procurement processes, and creates structured workspaces that group all relevant files and correspondence in one place throughout the document lifecycle.

You can use an OpenText xECM Business Workspace at the Header and Item level of each of the following:

  • Purchase Requisition
  • Sourcing Project
  • Quotation
  • Purchase Contract
  • Purchase Order
Two SAP screenshots showing the Business Workspace feature at both the header level and item level of a Purchase Order, with folder structures and linked workspace entries visible in each view.

Review the following table to learn more about the key features supported:

FeaturePurpose
Automatic Workspace Template AssignmentWorkspace templates are determined automatically based on SAP data such as:
  • Document Types
  • Company Codes
  • Comoodities, etc.
Seamless Authorization ManagementSAP authorizations are automatically inherited by the Business Workspace, simplifying access control.
Late Workspace LinkingEnable early collaboration by creating Business Workspaces before SAP processes begin; once the SAP process starts, existing workspaces can be linked to SAP documents for a smooth continuation.
Content Handover ControlDefine which content is automatically transferred between preceding and follow-on SAP documents at item level within workspaces.
Automated Workspace LockingThe Business Workspace can be locked automatically based on the status of the linked SAP document.
  • During SAP workflow execution, the workspace can be restricted to prevent changes.
  • Once the SAP document is closed, the associated Business Workspace is automatically finalized as well.
Flexible AccessAccess Business Workspaces both within and outside SAP, leveraging the full capabilities of xECM also directly
Modern Integration ApproachModern OData-based integration with OpenText xECM supporting connectivity to any deployment model—on-premise, cloud, or sovereign cloud environments. No separate ABAP add-on installation on top of SAP S/4HANA is required.

Note

Please consider release decencies between OpenText xECM and SAP.
