Managing Your SAP Signavio Collaboration Hub

Objective

SAP Signavio Process Collaboration Hub Settings

Unlocking the full potential of SAP Signavio Process Collaboration Hub.

The Collaboration Hub provides an intuitive interface for users to view and comment on diagrams. Reporting and publishing are also accessible directly from the Collaboration Hub. You can configure the Collaboration Hub to adjust its layout to your preference and select available attributes and visualization layers.

According to your corporate identity the appearance of the Collaboration Hub can be adjusted and you can choose between several layout and display options. 

To access your settings, go to the Collaboration Hub and click on settings. Here, you can change among other things the settings:

  • Audience
  • Theme
  • Home page
  • Comments
  • Attribute management
  • Audience management
  • Read confirmation
  • Rating a process

In this video, you'll learn how to personalize the homepage for different audiences, including customizing the theme, modifying the homepage layout, updating the title header, and setting a welcome message. Audience Management

You are probably wondering why you need different audiences? Well, in international companies it is useful to separate the process viewers into different groups. This helps when you want to show a specific process to the appropriate people.

For example, viewers from Japan have a different entry point to the company's value chain. They even have a customized theme for their Hub (specific logo or color). This is when audience management is useful.

To be able to add more audiences, you first must add user groups to your workspace. Adding users and groups was covered in the previous section, so refer to it if you need additional information. 

General Audience

The General Audience includes all users who aren't part of a specific audience. For users that belong to more than one user group, the setting for the General Audience is applied. 

Watch the following video to see how to add and delete an audience. In the previous lesson, we added our user groups to our workspace. Now, that we have these user groups, they show under the Audience tab when we go to add an audience.

Attribute Management

Setting Attributes and Overlays Visibility

In the Process Collaboration Hub settings, in the "Visibility" section, you can set up which attributes (additional information) are shown on a diagram or element level, and if they are structured in groups. Grouping attributes helps create a clearer overview of the available information in a certain level.

In the same settings tab, we can set up how to visualize overlays, which are displayed as icons in the process diagrams indicating that further information is available. This can be defined by the Collaboration Hub users. If all overlays are active by default, a workspace administrator defines it in the Collaboration Hub Settings.

Now that we’ve covered the settings for attribute and overlays visibility, let’s see how it works in practice.

Returning to the RACI use case, the following video will show you how to configure these attributes' and overlays' visibility in SAP Signavio Process Collaboration Hub. This ensures that process viewers can see the RACI roles assigned to tasks by process modelers, enhancing transparency and collaboration in process management.

Featured Attributes

In the diagram page settings, you can define Featured attributes, which highlight an attribute group for each diagram type in the Process Collaboration Hub. To enable this, check the Show on page option. In the image below, the featured attribute group is IT related information and is visible on the Business Process Diagram (BPMN 2.0) level. You can drag and drop sections in the list to specify where they should appear on the diagram page. In the following image, we’ve set this as the first section of the page, so it appears as the header of the diagram page.

Header Attributes

You can select the attributes that are shown at the top of the Diagram page. If necessary, this can also be set for each audience individually.

The following attributes are available to enable:

  • Process level

    The process level can start counting from level 1 or level 0. When you disable this attribute, users will not see the process level pyramid.

  • Revision number
  • Last updated/published
  • Last author
In the Diagram page, the following header attributes are highlighted: Process level, Revision number, Last published, Last author.

Setting up the Header Attributes

To set the visibility of header attributes, follow these steps: 

  1. Go to SAP Signavio Process Collaboration Hub Settings - Attribute Visibility.
  2. Select an audience (or set it up directly for your general audience).
  3. Uncheck the boxes if you do not want to display some of the available attributes.
  4. If the level is displayed, choose to count levels from Level 1 or Level 0.
  5. Remember to  Save to apply the changes.

Managing Process Governance Settings

Configurations for Process Read Confirmation

Read confirmations ensure that others are notified of diagrams and any changes made to them. Ensure that other users or user groups are informed about the latest changes in a diagram. By enabling "Read Confirmation," users with write access can request read confirmations for diagrams directly from the Hub diagram page.

Configurations for Process Rating

Process rating enables your audience to provide feedback on your process by rating it according to specific criteria you select. These ratings give you measurable and quantifiable insights into how your process is perceived. Keep in mind, each audience member can only rate a process once per revision.

If you enable "Results" user are also able to see ratings of a process in the Collaboration Hub.
