In this scenario, you will see how to request, upload and manage a legal contract. SAP S4HANA for Enterprise Contract Management will help you to simplify contract lifecycle management with improved efficiency, transparency and automation. In this video, an account executive wants to request the creation of a non-disclosure agreement. Before the process starts, a context for non-disclosure agreements is created in the system. This serves as a template on how this type of document is managed. This video starts when an account executive requests the NDA, then the contract manager checks his dashboard for outstanding activities and starts processing the request. First, the requested agreement is uploaded and then the approval workflow is started. Once the account executive has approved the NDA, the contract manager starts the e-signing process. When all parties have signed the contract, the NDA is valid and the status is automatically updated. First, the account executive creates a request by using the Request Legal Contract app. The title for the agreement is entered and the context NDA for customer is selected. The account executive is now asked to enter all information relevant for the NDA. In step 3, the customer as well as the names of the internal and external contacts are entered. Experience Intelligence with SAP S4 HANA for Enterprise Contract Management. SAP S4 HANA for Enterprise Contract Management is based on the experience of SAP's internal solution CMS. In 2010, our team department built a solution for the legal department to manage all contracts in one place. We first deployed it for sales contracts, then procurement contracts, partner contracts, and then other legal documents. After several years of enhancing the solution, we wanted to digitalize our contracts further. We then decided to redevelop it on the latest technology in Esfahana so that we were ready for the future. In 2017, we launched the first version of the new product, which was then called Legal Content Management. And in 2019, we changed the name to SAP S4 HANA for Enterprise Contract Management. Enterprise Contract Management is the tool to manage legal content such as contracts, MDAs, policies, patents, etc. as a core capability of S4 HANA, whether they're on-prem or cloud, to seamlessly integrate into core business processes and storing legal content in one central repository. So with that in place, companies can benefit from full transparency into legal contracts. They can simplify their processes for contract management. It's easy and fast to search legal documents. They can analyze them. In the end, they will have more speed, efficiency, and agility in contract management processes. Our solution supports the contract lifecycle management capabilities crossing the core departments, procurement, sales, finance, marketing, R&D, production, etc. We offer apps which enable the company to define per contracting scenario how they want to manage it in the system. Enterprise contract management manages all types of contracts efficiently. The context is a template for the management of legal content that can be created by business by our users for example. The legal transaction is the central object for the lifecycle management of any legal content. Document versions can be managed in the document object and there are several possibilities for internal collaboration. Since the solution is so flexible you can think of many many different contract types. Here's just some examples of use cases. The more obvious one in procurement are of course master agreements, purchase contracts, lease contracts, rental agreements, maintenance agreements, support agreements. In sales you can also think of master agreements, sales contracts, reference letters, lease contracts as well if you're on the other side. And then in legal you can think of NDAs, lawsuits, but also intellectual property documents, GTCs, permits, licenses, policies, merger agreements, privacy statements and then you can think of many many more. Enterprise content management offers the following capabilities. Contract templates, contract type management templates. In contract management you can create your own templates to define how a contract type is managed in the system, in the so-called context. We offer a self-service online request tool for users to request a new contract and we offer workflows, the management of the entire lifecycle of the document, so the storage of a document of a contract document is always in S4HANA. For each signature we offer a standard integration to DocuSign which is a partner product for which separate licenses are required, but if your company has a different e-signature provider, we offer APIs to connect them. You can track and analyze contracts and management, you can auto-renewal, use auto-renewal, you can search and retrieve documents, and it's open to be connected to any solution. So, advice contract management, which is in as Farhana, as mentioned before, can be integrated very easily to other solutions or other transactions. This is a high-level process overview. In the preparation phase, legal experts provide contract templates and release them for usage. Business owners can create a context as contract management template to define per contract type or scenario, which roles, which documents, workflows and information is required. Then the process can start to manage a contract lifecycle. Employees can request the creation of a legal document with a self-service application. Legal transactions, which are automatically created upon the submission of a request, are the central object in which the life cycle of all types of contracts are managed throughout the entire life cycle, including versioning, status allocation of contracts and linkage to other S4HANA objects or even external objects. Contracts can be either uploaded when they are created outside the system or automatically created based on a proof template in integration with Isertis. With categories as metadata, they can classify the legal documents. With the dashboard, it is easy to track and analyze legal transactions and documents that need processing. With the workflow feature, it is easy to define tasks and approvals for legal transactions. And last but not least, the S4HANA Enterprise Search tool enables display of all transactions in Esfahana, including legal transactions and documents.
