Collaborating with Suppliers for Spend Compliance

Success in today's dynamic economy relies on the ability to connect critical processes with suppliers, partners, and service providers outside the four walls of your organization. With SAP Business Network, you and your trading partners can collaborate to increase business resiliency, sustainability, and innovation. SAP Network is the largest global business to business network. It is where nearly $5 trillion of commerce, is transacted annually between buyers and suppliers across 190 countries. In this video, we will demonstrate how SAP Business Network for Procurement helps you collaborate digitally with your suppliers to increase efficiency, enhance spend transparency, and improve compliance. To support indirect procurement, SAP Business Network automates the transmission of purchase orders straight from your ERP to your suppliers, and enables real-time collaboration on order confirmations and shipment notifications. Meet Jacob. As a buyer at Best Run Media, he views the status of his order on his dashboard in SAP Business Network. He also sees all his purchase orders in one list. Jacob clicks on a purchase order to drill down and review the details of the order. At his fingertips, he has the shipping details needed to help ensure the shipment will arrive on time. Meet Mariah, Oblako Industries Procurement Manager. She receives a new purchase order from Best Run Media. Jacob created the purchase order from his company's ERP and digitally transmitted it to Mariah through the SAP Business Network Commerce Automation solution. Mariah receives an email notification, as well as an alert on her supplier mobile app. When she logs into SAP Business Network, the order is refined. on her dashboard, along with all of the existing orders Oblako Industries has received. Mariah reviews the purchase order details, including quantity, price, payment terms, and expected delivery date. From her dashboard and SAP Business Network, Mariah can confirm orders and update order details, including line items and estimated delivery date. She can communicate any potential issues in real time, such as backordered products. Mariah clicks on the checkbox to confirm the order. Mariah clicks on the items to ship tile and selects the order to ship it out. After reviewing the purchase order details, she clicks on the Create Ship Notice tile to document the relevant information and submit the form. Jacob receives the shipping notice and begins to track the shipment. Once the shipment is received, Jacob creates a goods receipt notice that lets Mariah know that she can invoice Best Run Media. Back at Oblako, Mariah generates an invoice by flipping purchase order details into an invoice, eliminating the risk of billing errors. From the supplier workbench, she clicks on the orders to invoice tile. All the information from the purchase order is copied into the invoice, which is then sent back digitally through SAP Business Network and into Best Run Media's ERP. Best of all, Best Run Media's accounts payable team does not need to reenter any data. Configurable business rules on SAP Business Network help ensure that invoice data is compliant and error-free, validating the invoice before it reaches the accounts payable department. For example, Mariah is not authorized to backdate an invoice, or change item quantities or prices outside of configured tolerances. Validated invoes are then digitally transmitted to Best Run Media and matched to best run medio, and matched to the purchase order and goods receipt in Best Run Media's ERP. Ready to be approved for payment. Mariah can view the status of her invoices in the portal, reducing the need to call Best Run Media's accounts payable department for information and status. Suppliers not transacting with Best Run Media through SAP Business Network can also look up a single invoice and review the status by entering the invoice number using the invoice status portal feature. Or they can create an account and log in to review the status of their invoices in one dashboard. They can review rejected invoices to quickly find the error, correct it, and re-submit. Furthermore, overdue payments can be tracked so that they can easily follow up with their customers. Intuitive and self-service, SAP Business Network enables Best Run Media's trading partners to see invoice and payments. updates. And for Best Run Media, this means fewer calls to its accounts-payable department, more efficient use of its resources, and improved relationships with its suppliers and customers. So let's quickly summarize the capabilities of
