Auto-Creation of Standard Flexible Assessment Scales

Overview & Use Case

The Use Flexible Skills and Certification configuration element is now automatically enabled for all companies (both new and existing). Previously, Administrators had to manually enable the configuration and create Assessment Scales, which often led to inconsistencies and increased effort.

This configuration introduces ready-to-use, standardized assessment tools, removing the need for manual setup. A standard 2-Point Flex Scale (Yes/No) and 5-Point Flex Scale (Beginner, Novice, Intermediate, Advanced, and Expert) will now be the default scales, reducing manual setup efforts.

This short video provides an overview of the standard 2-point and 5-point flexible assessment scales that are now available.

UI Impact & Workflow Changes

When creating or editing a Qualification, Flexible and Certification will now be the only options for Assessment Scale.

The new standard Flexible Assessment Scales (2-Point Flex Scale (Yes/No) and 5- Point Flex Scale (Beginner, Novice, Intermediate, Advanced, and Expert) will be available in the UI by default.

Qualifications that are created with Flexible as the Assessment Scale type can be associated with the default or custom Flexible Assessment Scales. Existing Qualifications using legacy scales will remain fully functional.

Configuration Steps

This feature is automatically "on" for all customers.

When the Use Flexible Skills and Certification configuration is enabled, only Flexible and Certification assessment scales can be created by default.

Default Assessment Scales can be partially edited: Only the main description and level descriptions can be modified. The scale name, number of levels, and level labels cannot be changed.

Custom Flexible Scales can still be created based on the customer's needs.

Refresh Rate Components for Job Posting Distribution

Overview & Use Case

Many Buyers rely on Rate Components that vary based on Supplier, Worker Pay Type, Location, or other custom factors. Previously, selecting Job Posting as the rate source prevented these component values from refreshing, leading to inconsistencies when Buyers expected Rate Components to reflect current Lookup configurations.

This new enhancement allows buyers to gain precise control over Rate Component updates by choosing between dynamic Lookup-based values or stable, predefined Job Posting values, aligning with their rate strategy. This also prevents inconsistencies by ensuring that rates reflect the most current configurations, particularly when using Supplier-specific or context-specific data from lookups.

In this video, you'll learn about Refresh Rate Components for Job Posting Distribution introduced as part of the SAP Fieldglass 2026.05 release.

UI Impact & Workflow Changes

When the "When Job Posting is distributed to Suppliers, use rate values from" rule is set to Job Posting, a new sub-rule called "Refresh Rate components from lookup" becomes available, defining how Rate Component values are determined for Suppliers during Job Posting distribution and Job Seeker submission.

The Accounting section for job posting with options for handling rate values when job posting is distributed to suppliers. Users can choose between Rates Lookup and Job Posting (which is selected), with an additional option to Refresh rate components from lookup set to Yes.

When enabled or set to Yes, Rate Components refresh at two key points: Supplier distribution and Job Seeker submission. The system checks for changes in the Rate Component Group structure, such as shifting between Pay Rate Based and Bill Rate Based configurations. If changes are detected, both Base Rate and Rate Component values are refreshed from the Lookup data, impacting the calculated rates.

If no match is found in the Lookup, default Job Posting values are used. And if the functionality is not configured or set to No, Rate Components remain as originally entered in the Job Posting.

Configuration Steps

Rates 2.0 must be enabled and in use for the buyer for this new functionality to apply.

The Refresh rate components from lookup sub-rule should not be hidden or locked on the Contingent Type > Form & Details page.

Users editing the Job Posting must have the Financial > View Rates During Creation permission enabled, as this setting controls visibility of the new sub-rule.

The default value of the Refresh rate components from lookup sub-rule is set to No for all existing Job Postings

The new sub-rule is editable in Job Postings only when it's not hidden or locked on the Contingent Type.

If the Lookup does not contain a matching row, Suppliers receive values from the Job Posting, even when the sub-rule is enabled.

When copying a Job Posting, the system copies the new sub-rule along with its saved value.

The Job Posting Upload connector has been updated to support this functionality as well.

Miscellaneous Invoice Revisions

Overview & Use Case

Contingent Worker Miscellaneous Invoices can now be revised using the standard SAP Fieldglass reverse/revise functionality. This enhancement aligns Miscellaneous Invoice Revisions with existing Time Sheet and Expense Sheet workflows, allowing Users to correct errors efficiently and maintain a clear Audit Trail, thereby addressing the previous issue of manual corrections without traceability.

This improved and standardized workflow will reduce manual errors by automating invoice reversal and revision, eliminating the need for manual cancellation and providing a full level of complete visibility and transparency to buyers.

This short video outlines how Contingent Worker Miscellaneous Invoices can now be revised using the standard SAP Fieldglass reverse/revise functionality.

UI Impact & Workflow Changes

When viewing a Miscellaneous Invoice, Supplier Users with the relevant permissions can now see a Revise option on the Actions menu.

Suppliers then can select a Reason from the available options, enter new values on applicable line items (such as Revised Miscellaneous Invoice Code) and then submit.

The system generates a reversed document and a revised document, and links them to the original document. The revised Miscellaneous Invoice is submitted and goes through the same approval process as the original Miscellaneous Invoice. Once approved, the original, reversed, and revised documents remain linked for audit and traceability purposes.

Configuration Steps & Considerations

The standard Miscellaneous Invoice company configuration must be enabled for the associated Buyer company.

Only standard Contingent Worker Miscellaneous Invoices are eligible for revision; SOW Workers are out of scope.

Revisions aren't supported for Miscellaneous Invoices that contain accruals, whether Buyer- or Supplier-created.

Supplier-side custom fields are editable on the reversed Miscellaneous Invoice.

Buyer-side custom fields are editable on the reversed and revised Miscellaneous Invoices only during approval.

The Miscellaneous Invoice Upload connector has been updated to support this functionality.

Reason Codes must be configured by the Buyer for the Miscellaneous Invoice Revision module.

Suppliers must select a Reason when creating a revision.

Supplier users must have the new Miscellaneous Invoice Revise User Role permission enabled to revise a Miscellaneous Invoice.

Enhanced Worker Absence Management

Overview and Use Case

The Absence module is enhanced with a unified Absence List view, a comprehensive role-based Absence Details page, configurable approval workflows, support for rejection reasons, improved visibility of absences within the Time & Expense tabs, and notifications and work items for key absence-related workflow events.

This update improves visibility, control, and efficiency across absence management. It also enables faster review and better decision-making.

Approval Groups are configurable, ensuring the Absence is directed to the correct User for review, and Reasons have been expanded to include Rejected, allowing for standardization.

The Absence List View includes new Absence ID and Status columns:

The Absence Details Page is introduced to provide Buyers, Suppliers, and Workers with a clear, role-based view of complete absence information.

  • Buyers can access three tabs: Details, Approval / Audit Trail, and Related.
  • Suppliers can access the Details and Related tabs.
  • Workers can access only the Details tab.

Buyers and Suppliers can now review worker Absences directly within the Time & Expense tab.

  • Absence is now available as an Approval Group module

    Note: Absence approvals operate independently of time sheet approvals, allowing time sheets to be approved regardless of pending absences

  • Reporting fields have been added to support the Absence module
  • Notifications and Work Items have been introduced for the Absence module
  • Contextual Help is available for View Activity, supporting the Absence module. These messages can be configured for both Buyer and Suppliers.

Configuration Steps

Job Posting Templates need to have the following rule(s) set to Yes for an Absence to be submitted:

  • Supplier can submit an Absence
  • Worker can submit an Absence

At the very bottom of that list are the fields Supplier can submit an Absence and Worker can submit an Absence, both of which are selected.

Workers with Absence allowed will see the Submit Absence card in their Worker account.

Submitted Absences are allowed to be Edited and Removed by the Worker.

Reasons must be created for Absence to be Submitted, Rejected, or Removed:

Reason List page includes filter options for Module (set to Absence), Type (set to All), and a Name field with an Enter Criteria placeholder. The results section displays a table containing four columns: Module, Type, Name, and Rating. Seven visible rows are shown: four Absence reasons — Remove/PTO, Remove/Sick Day, Submit/PTO, and Submit/Sick Day — followed by three Cost Center reasons. All Name values are displayed as blue hyperlinks and all Rating values are shown as dashes.

New Keys for the Distribution List Custom Lookup

Overview & Use Case

This feature lets buyers set additional conditions when defining and assigning a distribution list in SAP Fieldglass.

This change helps to create more granular, rules-based logic for routing Job Postings to Suppliers. This increases accuracy and automation, reduces compliance risks, and helps to eliminate manual approvals, delays, and incorrect assignments.

In this short video, you will learn about five new keys that are now available to create a Distribution List Custom Lookup.

UI Impact & Workflow Changes

Within the Custom Lookup admin item, new Keys are now available for selection for the Lookup Type – Distribution List. Buyer Users now have five new keys to create a Distribution List Custom Lookup: Location Code, Country/Region Code, Job Posting Template ID, Currency, and Custom Field.

Previously, only five Keys: Business Unit Code, Job Code, Labor Type, Legal Entity, Site Code, and one Value: Supplier Code, were available.

Configuration Steps

No general prerequisites or configurations are required for this change to become effective.

A buyer user will navigate to Custom Lookups from the admin menu. They select New, then choose Lookup Type Distribution List. New keys, such as Currency, Job Posting Template ID, and Location Code, are now available in the Type dropdown menu.

Note: Keys cannot be added to an existing Custom Lookup; the Lookup will need to be deleted and recreated to add additional keys/data points
