Various New Features for Service Orders

Release of Service Orders and Service Order Templates

In releases before SAP S/4HANA Cloud Private Edition 2025, you could only set the status of a service order or a service order template to Released in edit mode and then save your changes manually.

Since release 2025, you can release a service order or a service order template in display mode by choosing Release in the service order or the service order template.

For a service order, the Release button is only active when the following conditions are met:

  • The service order is in display mode.
  • The service order header has status Open or In Process.
  • The service order has not yet been archived.

By choosing the corresponding button, you can release the service order (or the service order template) along with its items in one go, which is less time-consuming.

For a service order template, the Release button is only active when the following conditions are met:

  • The service order template is in display mode.
  • The service order template header has status Open or In Process.
  • The service order template has not yet been archived.

Derivation of the Activity Type in a Service Process

In releases before SAP S/4HANA Cloud Private Edition 2025, the configuration expert first needed to replicate the characteristics of service processes to be used for Controlling, such as item categories, service types, and valuation types. The derivation of the activity type could then be defined based on these replicated data, This also worked when item-based accounting was active.

Since release 2025, with the introduction of the Customizing activity Define Derivation of Activity Type, the data of service processes does not need to be replicated to Controlling before the derivation of the activity type can be defined when item-based accounting is active.

Moreover, the Customizing activity is easier to maintain as only relevant fields are available: You can now define the derivation of the activity type from the item type, the service type, and the valuation type for service product items in service transactions. All without first having to replicate data.

Note that you can only use this functionality for service product items, if item-based accounting is active.

Note

If you are using item-based accounting already, the report CRMS4_XPRA_COPY_CATS_CO copies existing data from table CRMC_CATS_CO to the newly introduced table CRMS4C_CATS_CO.

Harmonized Document Management for Attachments in Service Orders

SAP Harmonized Document Management (SAP HDM) is a framework within SAP S/4HANA designed to standardize and unify document handling across various applications. It aims to replace inconsistent SAP Fiori apps and ensure consistent, cross-system document integration. It provides a central solution for managing attachments, regardless of the specific application or business object involved.

Advantages of HDM:

  • It seeks to provide a consistent user interface and experience for handling attachments, regardless of the underlying application.
  • HDM facilitates the integration of documents across different SAP systems and applications.
  • HDM leverages the Attachment Service to handle the actual storage and management of attachments.
  • SAP delivers configuration content for HDM, and users can customize it to activate or deactivate HDM for specific business applications or document types.
  • HDM is designed to integrate with and support various business processes, ensuring that documents are readily available and managed within the relevant context.

Up until SAP S/4 Cloud Private Edition 2023 FPS03, service orders supported CRM Content Management, which was used in the SAP CRM application, and also Generic Object Services (GOS). Starting with SAP S/4HANA Cloud Private Edition 2025, HDM is supported in the service order.

Internally, applications leveraging HDM can utilize either the Document Management System (DMS) or Generic Object Services (GOS) for attachment management, depending on the specific application and its requirements.

The configuration settings are available in Customizing for Service via ABAP PlatformApplication ServerBasic ServiceActivate HDM for Attachment Object Type.

There is one entry for each document framework, service order header type and item type, used in the service order. Here DMS and GOS services are activated and set up.

Both GOS and DMS as attachment services via HDM are shown and highlighted in a screenshot of a service order.

As displayed in the example, both GOS and DMS can serve as attachment services via HDM.

You can see that DMS supports renaming files, whereas GOS does not.

Small Improvements for Service Orders

A service contract number is shown and highlighted in a screenshot of a service confirmation item.

The following minor improvement related to service confirmations was introduced with SAP S/4HANA Cloud Private Edition 2025 FPS0: Service contract information is displayed in the service confirmation items where relevant.

Displaying service contract information in service confirmation items is especially useful for unplanned items with a service contract assigned in the service confirmation.

The assignment block Output Control is shown in a screenshot of a service order. A photo of a man working with a document and a drawing of an envelope with a letter sticking out of it are shown for illustrative purposes.

The following minor improvement related to service documents was introduced with SAP S/4HANA Cloud Private Edition 2025 FPS0: The Output Control assignment block is now editable.

Via this feature, other output channels are now supported. You can edit fields under Output Control in service orders, service quotations, service contracts, and solution quotations.

This feature allows you to configure output settings for service transactions to meet specific needs. An example would be to edit the output queue or to add additional output channels.
