Onboarding Communication Journey

After signing the SAP S/4HANA Cloud contract, the signer (CTO, CIO, or similar) will receive a purchase-order confirmation e-mail with the purchase details and next steps. On the contract start date, the signer will receive a separate "Welcome" e-mail with detailed information about beginning the implementation project. If an IT Contact (customer system admin) wasn't specified at the time the contract was signed, only the signer receives this "Welcome" e-mail, but the person who will be the system admin should also be aware of the information in this e-mail. Because this e-mail is only sent once and can't be re-sent, we've documented all the information from the welcome e-mail in a Web site called the Customer Onboarding Resource Center. We strongly recommend the core members of the customer project team attend one of the onboarding webinars to get an overview of the resources available to help them succeed and what the next steps are.

Note

In addition to the SAP S/4HANA Cloud welcome e-mail, an SAP Business Technology Platform welcome e-mail will also be sent.

If the IT Contact role was not assigned to the correct person, this can be resolved by creating a support case in SAP for MeServices & Support dashboard with the following information:

  • Subject: Request update to the Contact Person IT
  • Description: Please change the IT Contact to <NAME>, <EMAIL ADDRESS>
  • Component: XX-S4C-OPR-SRV

Note

Only one person is assigned as the IT Contact. The IT Contact is the customer system admin and will receive all system provisioning notifications and other communication about the systems. While only one person can be assigned as the IT Contact, multiple people can be assigned as a Communication Contact to enable them to receive general communications related to the systems.

The customer IT Contact triggers provisioning of the following system from SAP for MeSystems & Provisioning dashboard:

Note

During the provisioning of SAP Cloud ALM, you have a choice of selecting an existing SAP Cloud Identity Service to connect to the new systems. For brand-new customers, there won't be an existing SAP Cloud Identity Service available, so a new one will be automatically created in the region of the customer's choosing. The IT Contact will receive several e-mail notifications with login information for the provisioned systems. Regardless of the order in which the e-mail notifications are received, the SAP Cloud Identity Authentication Service (IAS) must be activated first. From within the IAS, users can be created and assigned permission to access SAP Cloud ALM.

Provisioning of the following systems is automatic and doesn't need to be triggered by the IT Contact via SAP for Me:

  • SAP Signavio Process Manager
  • SAP Signavio Process Collaboration Hub
  • SAP Business Technology Platform

For a new implementation, the SAP S/4HANA Cloud Private Edition systems are provisioned at a later point in the implementation. For a system conversion, no SAP S/4HANA Cloud Private Edition systems are provisioned, because each system is generated through the Software Update Manager tool that converts the ECC system to SAP S/4HANA.

Additional Storage Requirements

Approach 1: Combined System Conversion to SAP S/4HANA and Transition to Cloud

A system is migrated using export/import or using Software Update Manager approaches DMOVE2S4 or DMO with System Move. In both cases, the source database is exported using SAP tools and imported into the SAP S/4HANA Cloud Private Edition system. For this approach, the following additional storage needs to be contracted:

  • Storage needed for the export dump on the Migration Server. This needs to be analyzed and calculated depending on the source systems database size. As the Migration Server will be reused for every system (Development, Quality Assurance, Production...) it should be calculated for the biggest source database.
  • Storage needed on the SAP HANA database server for backups. There should be additional storage twice the SAP HANA database size calculated. This storage will allow the Migration Team to trigger local backups (at least two, therefore twice the HANA database size) at milestones during the migration/conversion.

Approach 2: System Copy and Transition to Cloud

If the SAP-recommended approach of system copy and transition to cloud (SAP HANA Tenant Copy or Move) isn't applicable, as shown by the RISE with SAP system transition workbench, additional storage would be required to run the fallback approach of SAP HANA backup and recovery.

For this approach the following additional storage needs to be contracted:

Storage is needed on the SAP HANA database server for the backup transferred. There should be additional storage one time the SAP HANA database size calculated. To this storage, the transferred backup will be moved and the Software Provisioning Manager (SWPM) can trigger the restore.
