Creating 360 Templates

Objective

After completing this lesson, you will be able to create a 360 Template.

The 360 Review Form Template

Form templates are the basis for all forms in SAP SuccessFactors. Multiple products use forms in SAP SuccessFactors, so form templates are not exclusive to Performance Management or 360 Reviews. A 360 Review form template is a shell that contains the structure (layout) of the 360 evaluation. From this, the forms used by employees to complete their 360 evaluations are created. 360 form templates contain the layout and sections for each form.

The 360 Review form template that your company is using was uploaded for you when SAP SuccessFactors was implemented. You may edit many features of the form template from Manage Templates and Form Template Settings, but you may need to submit a Support Ticket for specific permission requests that can only be made in the back end. To maintain any back end work your implementation consultant completed to prepare your first form, it is best practice to copy that template and then make any necessary adjustments for the following process.

Upload New Template

Administrators can upload new XML templates, update existing ones, download templates for offline editing, and view template revisions from Manage Templates, with the required permission. To upload a new template, select the 360 Multi Rater tab, and then select the Upload New Template button.

Administrators need the following Role-Based permission (found in Manage Permission Roles): Administrator PermissionsManage TemplatesUpload and Update XML Templates in Admin Center.

Caution

As a best practice, we recommend having your SAP SuccessFactors consultant complete all template updates. Changes to templates can have a critical impact on your system performance and should be thoroughly tested. More details about this functionality for consultants can be found in the SuccessFactors Performance and Goals Academy (THR82).

360 Reviews - Form Template Versions

SAP Fiori Version is the current version in 360 Reviews. However, you will find in Manage Templates some legacy templates that were created while the system was using the Legacy version of 360 Reviews, also known as 360 V11. In the next steps, you will learn about the process of converting legacy templates to make them compatible with 360 Reviews - SAP Fiori Version.

This is not a mandatory step, and not all the legacy templates should be converted. Only convert those that you require to use to create and launch 360 Review forms based on that template.

Conversion of Existing 360 Templates to 360 Reviews – SAP Fiori Version

Converting your existing templates (if needed), to the new 360 Reviews - SAP Fiori Version, is only required for form templates you want to use for future launches. Those templates still not converted will display a warning icon. When hovering over, the following message displays: This template must be updated for compatibility with 360 Reviews – SAP Fiori Version.

The conversion process is easy. As a first step, you select the template to convert and choose Validate and Approve for 360 Reviews – SAP Fiori Version to review the six steps to validate and approve your template. The original template will be set to Disabled but will remain available for further cloning and editing. Simply deselect Show Active Templates Only in the Manage Templates form template list page to see disabled templates.

Business Example

In the following exercise, you validate and approve one of your existing legacy 360 Reviews form templates to be compatible with the current SAP Fiori Version

Steps

  1. Navigate to Manage Templates from the action search or the Admin Center.

  2. Choose the 360 Multi Rater tab.

  3. Unselect the option Show Active Templates Only to display inactive templates as well.

  4. Locate the 360 Degree / Multi-Rater Review template, and select Active to activate it.

  5. Select Show Active Templates Only to display only the templates with active status.

  6. Choose the 360 Degree / Multi-Rater Review template to open the details.

  7. To review the summary of the steps required to convert your template, choose Validate and Approve for 360 Reviews – SAP Fiori Version.

  8. To verify which changes will be updated for compatibility with 360 Reviews - SAP Fiori Version, choose Print list of changes. You can close the popup window without printing.

  9. Choose Update and Edit.

  10. To name the new 360 form template, enter 360 Reviews – SAP Fiori Version. You can also add a description if you want.

  11. Review General Settings, but do not make any changes.

  12. Choose Edit Fields and Sections to review, but do not make changes.

  13. To return to the summary of steps, choose Validate and Approve for 360 Reviews – SAP Fiori Version again.

  14. To complete the upgrade, choose Approve for Launch. To confirm the changes, on the popup message, choose OK.

  15. Navigate back to Manage Templates, select the 360 Multi Rater tab, and verify that the template has been converted.

Addition of New 360 Review Templates from the SuccessStore

When you decide to begin using feedback about an employee from their peers, external project partners, or direct reports for the next performance review cycle, you may choose to add a new template from the SuccessStore. To do this, find Manage Templates from the Action Search or the Admin Center, and click on the 360 Multi Rater tab. This is one of the few remaining areas within Admin Center where 360 Reviews are identified as 360 Multi Rater.

Click the green plus icon to Add SuccessStore Template.

Select the PE 360 Multi-rater form from the available options and choose Add to my Instance.

Note

The newly added template will already be on 360 Reviews - SAP Fiori Version because your instance is now using this UI.

Process to Copy an Existing 360 Review Template

You may also choose to copy an existing template to repurpose a template used in a previous 360 review cycle with minimal updates for the next one. To do this, select a template and then choose Save As with your new title.

Copy an Existing 360 Review Template

Business Example

In this exercise, you copy the form template you added in a previous exercise.

Steps

  1. Navigate to Manage Templates from the Action Search or the Admin Center.

  2. Choose 360 Multi Rater tab.

  3. Select the template you converted to SAP Fiori Version in the previous exercise.

  4. Choose Save As.

  5. For the new name, enter 360 Review [Your Initials]. For example, 360 Review JD.

  6. Enter a description.

  7. Choose Save.
