Managing the 360 Reviews cycle as an end user

Objective

After completing this lesson, you will be able to manage the 360 Reviews cycle as an end user.

Modify Stage: Nomination and Approval of Participants

Typically, the 360 Reviews process will start with the subject (Employee), nominating participants to evaluate 360 Reviews, rate competencies and/or goals, and provide feedback.

The employee will send the 360 Reviews form to the manager, who will review and approve the list of participants, or send the 360 Reviews form back to the employee if any changes are required.

The Review Dates tab is displayed on the section, ANONYM - 360 Reviews for Brooke Brown.

The possible actions during the modify stage (nomination and approval) are:

Note

Some of the actions below might be available or not, depending on the 360 Reviews form template configuration.
  • Review the Rater List. Some of the participants (Self, Manager, Peers, Direct Report(s) will be auto-populated.
  • Add/remove internal and/or external participants as needed. Some participants might not be removable.
  • Determine which competencies/goals will be rated by each participant (Show Assignments).
  • Determine which competencies/goals will be non-removable by each participant.
  • Add/remove goals and or competencies from the 360 Reviews form.
  • Add additional approvers to receive the 360 Reviews form during the modify stage.

Depending on the configuration for minimum and maximum number of participants and participants per category, the error/warning messages will be displayed when attempting to send the form to the next step, enforcing the user to make adjustments to the rater list, or as a warning message only.

Evaluation: Participants complete 360 Reviews

Once the 360 Reviews form has been approved, which means that the Modify stage is finalized, the process owner will distribute a copy of the 360 Reviews form to all the participants.

Each internal participant will be able to access the 360 Reviews in any of these ways:

  • A Complete 360 Evaluation engagement card will be visible in the Home Page, under the For You Today section, and the participant can select Go to Form to start the evaluation.
  • From the Home menu, navigate to Performance to locate the 360 Reviews form in the Inbox.
  • From the Action Search, type View 360 Reviews Forms to navigate to the Inbox.
The Competency Feedback tab on the ANONYM - 360 Reviews for Brooke Brown section is displayed in detail.

External participants will receive an email notification, where they can accept or decline to participate. If accepting, they will be accessing the copy 360 Reviews form using the instructions provided, and they will be able to complete the evaluation.

In the Evaluation Stage, participants will be able to perform the following actions (depending on the form template configuration).

  • Rate and comment on each competency/goal.
  • Add/remove competencies.
  • Review ratings in the Summary section and the calculated overall rating.
  • Rate the manual overall form rating.
  • Decline to participate.
  • Recall the 360 Review form to resubmit their evaluation (if the process is still ongoing).

The Process Owner will be also able, during the Evaluation Stage, to access a Summary View where they can take several actions.

  • View the status of participants' evaluations, including the overall rating provided by each participant.
  • View participants by category or status.
  • Add / remove participants.

    Note

    When adding back deleted participants during the Evaluation stage, their original category information is retained and pre-filled in the Add Participants dialog.
  • Send back evaluations to participants.
  • Send reminders to some/all participants to complete their evaluations.
  • Access the rater list in an anonymous 360 reviews (while the participant list in the Summary still displays in randomized order).
  • Access the 360 Detailed Report link.

Use of AI-Assisted Writing capabilities in 360 Reviews

The specific Generate Comments and Improve My Feedback options for the AI-Assisted Writing, available on the latest experience of Performance Management forms, can also be used in 360 Reviews, where participants can comment on Competencies and Skills during the 360 Evaluation stage:

The following are some examples on how end users can enhance their comments in 360 Reviews forms using AI technology:

Enhance Content with AI-Assisted Writing

In this example, Mya Cooper is completing the self-evaluation in the 360 Reviews form. One of the competencies in the section has been rated, but Mya would like to generate comments using AI.

  1. Mya selects the comment box, and a menu dialog appears with three icons, but only one is available: Use AI Capabilities. Mya selects this option.Comment box to begin to use AI capabilities is highlighted.
  2. From the possible options, only Generate Comments is visible, since the comment box is empty and there's no existing text.AI Capabilities menu shown and Generate Comments option is highlighted.
  3. Mya receives 6 possible inputs to select from the Generate Comments option. Mya chooses the input I own my mistakes and use them as opportunities for learning and development.Select an input option dropdown highlighted.
  4. The suggested text based on this input is not displayed in a popup dialog. Mya can then decide whether to enhance it further with AI capabilities, Apply the suggested text or Discard changes.Example of suggested text shown.

Improve My Feedback with AI-Assisted Writing

Mya would like to improve her own feedback using AI Capabilities. This is also a unique option in 360 Reviews and Performance Management forms on the latest experience.

  1. Mya selects the text from the comments generated previously to enhanced the suggested text that was populated into the comment box. Select text to enhance further with Generative AI option shown.
  2. On the Use AI Capabilities icon, Mya chooses the option Improve My Feedback. The new suggested text generated by AI is displayed. Mya decides to use the suggestion and selects Apply.Improve my Feedback option shown.
  3. In this final step, the comment is changed with the suggested text from AI, and the comment looks improved.AI-Assisted Writing Comment - Change Tone option shown.

My Forms Inbox

Users can access all 360 Reviews and Performance Reviews forms in the My Forms Inbox. Navigate to the Performance Management menu from HomePerformance, which is referred to as My Forms page.

The following actions can be completed from this page:

  • Access their in-progress forms from their Inbox whenever an action is required from their end at the Current Step of the form.
  • View their in-progress forms in the En Route folder, which may be in a different step of the route map, and the action was already taken in a previous step.
  • Access their Completed folder, to see all those completed forms.
  • Create folders to organize their completed forms from the Manage Folders link on the bottom left of the screen next to the wheel icon.
  • Select which search filters to display.
  • Customize which standard and custom filters are available to end users via Role-Based Permissions (RBP).
  • Create New Forms individually - select the Create Form button. This option requires the Permission to Create Forms granted in Role-Based Permissions and located in the General User Permission category. The options available to create a form might depend on:
    • Which templates are selected under the Permission to Create Forms RBP permission.
    • The Default Targets set in Form Template Settings for each template. For example, a manager might be able to create a new form for their direct reports and themselves with one form template, but for another, they might be restricted to creating a form only for themselves.
    • The option Allow form creator to select anyone as a subject in Form Template Settings will allow searching beyond the reports and selecting anyone in the organization as the form subject. This permission is dependent on the target population granted for the User Search permission in RBP.

  • Usually, the 360 Reviews process starts with the subject (Employee), nominating participants to evaluate 360 Reviews, rate competencies and/or goals, and provide feedback.
