Utilizing Joule in SAP SuccessFactors

Objective

After completing this lesson, you will be able to utilize Joule in SAP SuccessFactors.

SAP SuccessFactors Joule, your AI Co-Pilot

What is Joule?

Joule is the AI copilot that truly understands your business. Joule revolutionizes how you interact with your SAP business systems, making every touchpoint count and every task simpler.

Joule offers conversational interactions between humans and computers to simplify access to information and automate business processes.

Joule supports three conversational patterns in SAP SuccessFactors:

  1. Navigational: Helps users navigate to the functionality they're looking for without having to go through multiple links to reach a destination page.
  2. Transactional: Assists users in efficient completion of their tasks on the conversational user interface, saving their time from going to corresponding pages to do the tasks.
  3. Informational: Helps users retrieve the information from existing documents without having to ask HR for assistance.

Note

There are several prerequisites before enabling Joule, such as an SAP AI Units license, and an SAP BTP enterprise global account. Customers should contact their Account Executive for additional information about all the licensing requirements, including Generative AI message allocation, one of the key capabilities of the AI Assistant. Check the Joule home page in the SAP Help Portal to find out more details.

How do you utilize Joule in SAP SuccessFactors Employee Central?

Leveraging its generative AI capabilities, Joule aims to understand your requests, retrieve information, and complete your tasks in a conversational way. For example, instead of manually navigating to a feature or page buried deep, you can describe the current task to Joule, who will help automate tasks or take you to places where you can find desired data. By using Joule, you can easily interact with the system and increase your productivity.

Launch Joule to ask for your cost center.

Joule elevates the employee experience by simplifying tasks and making it easier to find information and get answers to your questions. Here are a few scenarios where you can use Joule in Employee Central:

  • Quick answers on salary and employment information.
  • Simplified navigation, instead of looking at the organization chart to find a manager's direct report, you can ask Joule about who is sitting where in the organization.
  • Save time and maintain data accuracy when updating personal information, such as pronouns.
  • Reduce potential errors and get guided process to initiate promotion of direct reports Launch Joule to initiate a promotion

Important Notes and Considerations

Here are some of the few notes to consider before you start using Joule in SAP SuccessFactors system:

  • Joule only supports English, which means you need to set your system language to English before using it and give your input in English. You can change system language in SettingsChange Language
  • Joule is only available on the Web. It's not supported in native mobile apps.
  • When interacting with Joule, have a single chat session at a time. If you use the same account to run separate chat sessions simultaneously (for example, in multiple tabs or browsers), you may not get expected responses from Joule.
  • Joule provides one piece, rather than multiple pieces, of information each time. For example, for the request "show my location and cost center", you won't get any requested information.
  • Proxy access isn't supported.

Compensation Insights

Compensation discussions are generally conducted at the end of the performance and compensation cycle by managers. The managers are responsible for discussing merit increases, bonuses and promotions with their direct reports. To prepare for compensation talks, a manager needs a wholistic view of the employee's past compensation data.

With AI-generated insights, managers are provided with:

  • Year-on-year changes for:
    • Base Salary
    • One-Time Payments
    • Position within Existing Range
  • Job Progression
    • Tenure
    • Promotions
    • Job Changes
  • Pay Band Position: Where the compensation falls within the pay range for the role
Select Generate Insights in the Comp Info block to prepare for the compensation discussions.

These insights can identify any general discrepancies, anomalies, or patterns in an employee's compensation and employment history as well as identify any specific discrepancies such as pay equity or equality gaps based on gender or age or other criteria. Managers get insights into expiring long-term incentives, hiring trends, and company policies, which may not be obvious as decision-making factors. The insights can help managers understand how their employees' work aligns to the expectations of the pay bands or corporate goals, which can then help them to make better decisions for their promotion/progression. Managers spend less time on manual data compilation and more time making informed decisions.
