Validating Employee Payroll Data Replication

Objective

After completing this lesson, you will be able to monitor results of data replication to verify success or resolve replication errors.

Data Replication Results

Payroll Data Replication

Data which is entered into Employee Central is replicated to the payroll system. New hire data must be replicated to the payroll system before additional payroll data, such as tax and garnishments, can be entered.

Note

For a new hire, it is recommended that you enable the following in admin center:

  • Country-specific validations for postal address of the home address of an employee
  • National ID
  • Bank account

Caution

You cannot change the data that is part of the replication in the SAP ERP system. The relevant data is mentioned in this section. If data is changed, it will be overwritten during the next replication run.

The replication status for each employee can be monitored via Data Replication Monitor.

Display Options

There is a wide range of options that you can choose from to display exactly the information that you need in the Data Replication Monitor.

The Data Replication Monitor screen shows that an employee is selected, and information is displayed, for example, the employee's name, the replication content type, the status, which is 'successful', and the time of replication.
  • Choose the employee’s name to see the respective employee file.
  • Trigger replication manually by selecting 1 or more employees and choosing Reprocess.
  • Delete entries that you no longer need for monitoring, for example, because they were created during a test phase.

Standard and Extended Views

Note

If you have Admin Alerts 2.0 enabled, you will automatically see data replication alerts there. Additionally, eligible administrators can assign time-data replication errors to themselves or other administrators.

Reviewing Replication Status in the Full Profile

Enhancing Payroll Data Visibility with the Payroll Replication Details Card

As of the 1H 2026 release, payroll administrators can validate employee payroll data replication directly from the Employee Central profile using the Payroll Replication Details Full Profile card.

Access and Availability

The Payroll Replication Details card is available only to administrators and is accessed via the Employee Central People Profile (Full Profile). By navigating to an employee’s profile, administrators can view payroll‑relevant replication information without switching to separate monitoring tools. This integrated access simplifies daily payroll monitoring and supports efficient pre‑payroll validation activities.

Purpose of the Payroll Replication Details Card

The card provides a consolidated overview of the replication status and history of employee master data and time‑related data transferred from SAP SuccessFactors Employee Central to Employee Central Payroll. By reviewing this information directly from the employee profile, administrators can quickly determine whether data replication has completed successfully before payroll processing begins.

Information Displayed on the Card

From the Employee Central profile, the card displays the most recent execution date, time, and status for the following replication processes:

  • Last Employee Master Data Replication
  • Last Employee Absence Data Replication
  • Last Absences to Time Off Replication
  • Last Planned Working Time Replication
  • Last Time Pay Components Replication

For each replication type, the system shows the date and time of the latest replication, enabling administrators to verify data freshness at a glance.

Replication Statuses

Each replication entry can show one of the following statuses:

  • Successful – The data was replicated correctly without errors.
  • Pending – The replication process has started but is not yet complete.
  • Failed – An error occurred during replication that requires administrator investigation.
  • Awaiting Processing – The data is queued and waiting for the next available replication cycle.

These statuses help administrators quickly identify data replication issues that might impact payroll accuracy.

Drill‑Down to Monitoring Tools

From the Payroll Replication Details card on the Employee Central profile, administrators can navigate directly to the Data Replication Monitor using the provided link. This supports detailed analysis, error investigation, and follow‑up actions when replication issues are detected.

Key Benefits for Payroll Administrators

By using the Payroll Replication Details card, payroll administrators can verify that payroll‑relevant employee and time data has replicated correctly, detect issues early in the payroll cycle, and reduce manual checks across multiple tools. This update will help you manage data more efficiently, make informed decisions, and increase productivity.

View Replication Results and Resolve Issues

We recommend that you delete your internet cache occasionally. This will improve the training system performance.

Emily Clark is an administrator for Employee Central Payroll. To view replication results and to resolve issues, she navigates to the Data Replication Monitor. Emily wants to look for rejected employees, which are listed as objects.

By selecting the related message for an employee, a popup window appears, providing more details about the type of error. For Mark Brown ##, where ## is your group number, the Account number is missing in payment info.

Emily enters the missing data and verifies the result.

Note

The distribution of tasks among responsible persons varies significantly across companies and can be flexibly configured in the system using roles and permissions. In this example, the payroll administrator can maintain employee payment information, including bank details, based on the permissions granted to their role.
