Configuring Communication Options
Objective
After completing this lesson, you will be able to enable or disable Plan Communicator features.
Enabling Plan Communicator
Once you have created compensation plans, generated results, and communicated to your payroll team, it is important to keep the lines of communication open between you and your payees.
Several features enable this communication: Document Distribution, Dispute Management, and Dashboards. Each of these features is enabled by default, but they can be enabled or disabled in the Incentive Management Home – Global Settings.
Plan Communicator
Plan Communicator is an easy-to-use tool that allows the compensation administrator to manage two-way communication about compensation plans with payees. It has two modules: Document Distribution and Dispute Management. Both modules include the ability to customize communications and create a basic workflow.
Use Plan Communicator to:
- Create and distribute plan documents.
- Create a document distribution workflow.
- Track the acceptance of plan documents.
- Create and Track Disputes.
Dashboards
Dashboards are a fast and easy way to retrieve the information that matters to payees the most. They are made up of a collection of widgets, arranged on a single screen to provide payees with a comprehensive overview.
Enabling or Disabling Plan Communicator and Dashboards
To enable or disable these features:
- From Incentive Management, select Incentive Management Portal from the application picker in the upper right.
- On the Incentive Management Portal, select Global Settings.
- Enable or disable any of the following settings:
- Enable Dashboards Tab in Portal for Payees
- Enable Documents in Portal
- Enable Disputes in Portal
- Scroll to the bottom of the page and select Save.
Proxies
When designing features to communicate with payees, it’s a good idea to set yourself up to proxy as one or two payees. This enables you to test communications and ensure that visibility to payee compensation data is correct.
Only an administrator can designate a proxy.
To designate yourself as a proxy for a payee, the payee is added as an internal user in the User Administration page.
Setting Plan Communicator Preferences
Two tabs in the System Settings page allow you to configure Plan Communicator settings: Language Support and Communicator Configuration.
Language Support
The Language Supporttab contains a System Multi Language options section, which allows you to select from a list of country and language combinations for use in document distributions. Adding languages to this list allows you to add multiple languages for a single document distribution.
By default, US English is already enabled.
Communicator Configuration
The Communicator Configuration tab includes other options for Plan Communicator, including:
- Enabling DocuSign
- Multi Language Support: This option is only available if at least one language has been added on the Language Support tab.
- Enablement of a legal information block
- Options to hide the comment option, management feedback, and currency
- Currency display: select whether to display the currency symbol (for example $) or the standard currency (for example USD)

Exercise: Designate a Proxy
Business Example:
In this exercise, you will designate yourself as a proxy for a payee. You will then add the payee as an internal user in the User Administration page.
Steps
Allow users to proxy without having to re-enter the password.
Return to the Incentive Management Portal by selecting Return to Administration.
Select the Global Settings card.
In the Authentication Settings area, disable the Require authentication for proxy log-in? switch.
Select Save.
Return to the Incentive Management Portal by selecting Return to Administration.
Add Amy Whitton (User ID PA-1121) as an internal user.
Select User Administration.
Select Add Internal User.
In the User ID field, enter PA-1121.
Select Add.
In the list of users on the left, select Amy Whitton (PA-1121).
Scroll down to the Proxies section.
Select Add.
Enter your own user ID.
Note
Your User ID is your email address. If you don’t remember your User ID, use the Find button to search by your first or last name.
Select Save.
Proxy as Amy Whitton.
From the profile menu in the upper right, select Proxy As.
Select Amy Whitton from the dropdown list.
Select Proxy.
To exit proxy mode, from the Profile menu, select Exit Proxy.
