Navigating through SAP SuccessFactors from a User Perspective

Objectives

After completing this lesson, you will be able to:
  • Navigate through SAP SuccessFactors as a User.
  • Describe the Roles and Permissions of User Access.

Introduction

In this section, you will begin with a tour of the system as a user and perform the key interactions described in the learning life cycle. This tour helps:

  • Provide a visual guide for the concepts described in the introduction
  • Give realistic scenarios for the actions users perform in the system
  • Demonstrate the flow of interactions for users
  • Begin to point out the related areas where you will make decisions about system configuration

The tour and discussion of the user experience build your foundation of knowledge about Learning Management System (LMS) key terms and concepts. For each item described in the learning life cycle, you will see how the user accesses that function.

This sets a meaningful context to understand LMS decisions covered in a later section, which includes details on:

  • Mechanics for getting user entities into the LMS
  • Available fields in a user entity
  • Managing administrator access to user entities

The user can access the application via a web browser or with the SAP SuccessFactors Mobile App.

Resources

The SAP SuccessFactors team provides a set of documents, web-based tutorials, and online assistance to help prepare users to use the system. Your implementation team will make these available.

How Users Access the System

Users begin by accessing the For You Today section of the SAP SuccessFactors HCM Home page. Selecting the View All link will open a window displaying their upcoming assignments.

Selecting a specific Item or Program will take the user directly to the entity in SAP SuccessFactors Learning.

The Learning Assignments page displays all user’s upcoming learning assignments.

Alternately, Users can select the View My Learning icon from the Quick Actions section of the SAP SuccessFactors HCM Home page or use the drop-down menu from Home to select Learning.

The View My Learning Quick Action is highlighted on the HCM Home Page.

This will take them directly into SAP SuccessFactors Learning.

The New Learning Experience Home Page is displayed.

User Access: Define Roles and Permissions

You can configure user roles within SAP SuccessFactors Learning to manage accesses for different user populations. Multiple user roles can be defined to tailor the end user experience for certain populations of your users.

In this PTO environment, all users have the same user role or set of links and menus. Every user who logs in sees the same menus and can access all the options.

For example, you may have contractors who access the system to complete required training; however, you may not want this group to search for additional items and self-assign training.

SAP SuccessFactors New Learning Experience Home Page

This page provides access to the learning library. It displays the Required Learning (or Learning Plan), Invest in Myself,Suggested for Me (Recommendations), and Latest Bookmark sections with their various associated cards.

Overdue training reminders are displayed to managers about their team. Managers can send individual reminders to team members directly from this page.

The Dashboards icon provides access to the Team View, My Classes, and Learning Administration sections.

If managers assign another user (delegate) to act on their behalf, the dashboard menu will display the Act as option. The user can select this option and switch roles temporarily to act as their manager directly from the Learning Home Page.

The Activities drop-down provides access to Curricula, QuickGuides, Learning History, Collections, Accomplishments, Approvals, Orders, Reports, Training Planner, External Learning Requests, Options and Settings, Add to Learning History, and Custom Quick link activities.

Custom pages with banners and customized sections and cards can be created. Each custom page can contain up to 6 sections. These custom pages are accessible from the Activities menu on the Learning Home Page.
