Decisions Checklist

Based on the content in this section, please review the list of implementation decisions your company may need to make before implementation begins and discuss them with your stakeholders, project team, and SAP SuccessFactors implementation consultants. In this way, you will be better prepared to begin the implementation.

  • Identify the item references you will use. Decide values for each applicable reference field. Some of these fields will be displayed to the user.
  • Do you plan to use task-based checklists? If so, will you allow users to choose anyone to observe them doing the task, specify authorized instructors, or will the administrator assign the task list to appropriate observers?
  • What completion statuses would you want to display in a user’s learning history? (e.g., Incomplete, Pass, Attended, Fail, Completed, Waived, Substituted.)
  • Decide which libraries you need to create and what users should have access to each library. (You assign libraries via an assignment profile.)
  • Define a set of categories. Develop guidelines for administrators to associate items with categories and libraries.
  • Decide the layout and contents of your global registration email notification. You can get a sample file from the implementation team if you want to add HTML formatting.
  • Define default checkboxes for sending email notifications to users, managers, instructors, and other contacts. Administrators can edit defaults for each class.
  • Decide which Add Learning History wizard you prefer for adding history records. If you only need one, you can give administrators this permission only. They will not see or have access to the other tool.
  • There are several settings related to the type of attachment and size of attachments that you will allow. What types of files should the system accept? What is the maximum file size? What is the maximum space allotted? When do you want the APM to check for utilization of space allotted for documents?
  • Consider the differences and decide whether exam-type assessments or quiz-type assessments (or a combination of both) would be most useful.
  • Decide which completion status should trigger the course evaluation and/or the follow-up survey.
  • When admins create a curriculum, decisions include:

    • Curricula ID – it is strongly recommended that you define a standardized naming convention
    • Curriculum Type
    • What items are contained within the identified curricula?
    • Whether the items should appear in a suggested order?
    • Whether items are required or optional
    • Should how long the user has to complete each required item be determined by their hire date or assignment date?
    • Once an employee successfully completes each item, whether they must complete the item again in the future and when
    • Should the application ignore completions older than X amount of days?
