Initiating Onboarding from SAP SuccessFactors Recruiting

Objective

After completing this lesson, you will be able to initiate the new hire onboarding process from SAP SuccessFactors Recruiting.

Onboarding Process Initiation

The onboarding process starts with initiating onboarding and ends with the new hire getting converted into an employee (internal user). After onboarding is initiated, the hiring manager collects the new hire information, reviews the new hire data, and adds new hire tasks. Upon completing these tasks, the new hire gains access to the Your Onboarding Checklist page, from which they perform the tasks assigned by the manager by selecting the respective cards displayed in the To-Do section of the home page.

Onboarding processes can be initiated in two ways:

  • Through an Applicant Tracking System (ATS), such as SAP SuccessFactors Recruiting

  • By adding the new hire directly (or manually) into SAP SuccessFactors Onboarding

The Onboarding process flow is displayed with the Initiate Onboarding section highlighted.

Most companies favor integrated systems for managing various processes. As a result, starting the onboarding process from an ATS is more common than manually adding new hires directly into Onboarding.

Automatically Initiating Onboarding in SAP SuccessFactors Recruiting

Enabling automatic initiation for onboarding from recruiting

The onboarding process can be automatically initiated from within SAP SuccessFactors Recruiting.

Administrators can select the Enable Automatic Initiation for Onboarding checkbox on the Onboarding Integration Setup page and configure a specific business rule to automatically initiate the onboarding process. Selecting this option will automatically initiate onboarding for all job requisitions that meet the onboarding initiation eligibility criteria defined.

Depending on your business requirement, you can opt to use a combination of automatic and manual onboarding initiation.

Initiate Onboarding from SAP SuccessFactors Recruiting

In this video, you will learn how an onboarding process for a new hire is initiated from SAP SuccessFactors Recruiting. This process is similar to the process for a third-party ATS.

The steps below provide an outline of the task demonstrated in the Initiating the Onboarding Process from SAP SuccessFactors Recruiting video.

Steps

  1. Navigate to SAP SuccessFactors Recruiting.

  2. On the main page, select Job Requisitions.

  3. Select the number of candidates for a specific job requisition to open the list of candidates. 

  4. Review the different statuses for candidates on the Talent Pipeline

  5. Select the status of the candidate who has been selected for the job.

  6. Select the box next to the selected candidate.

  7. Open the Action list.

  8. Choose Initiate Onboarding from the options.

  9. To confirm the selection, in the pop-up confirmation window, choose Confirm

Result

The new hire's information is passed to SAP SuccessFactors Onboarding and the onboarding process starts.

Note

You can use the Mass Initiate Onboarding API to mass initiate onboarding for new hires and rehires on new employment.
