Assigning Permissions to add New Hires to SAP SuccessFactors Onboarding

Objective

After completing this lesson, you will be able to assign permissions to grant access to add a new hire directly into SAP SuccessFactors Onboarding.

Permission to Add a New Hire to Onboarding

While many organizations automate the start of onboarding through an integration with SAP SuccessFactors Recruiting or an external Applicant Tracking System (ATS), there are scenarios where a user must manually enter a new hire's information. For example, if your organization hires a high-level executive or a seasonal contractor whose details were not processed through the standard recruiting pipeline, an administrator or recruiter needs the authorization to trigger the process manually.

Before you can manually add a new hire to Onboarding, the permission for the tool needs to be granted through role-based permissions. The ability to manually add a new hire to Onboarding is typically granted to someone from Human Resources, such as the recruiter and, sometimes, the Onboarding administrator.

Assign Permission to Add New Hire to Onboarding

The recruiters and the administrator need access to add a new hire directly into Onboarding and initiate the onboarding process. You need to assign them the permission to perform this task.

In this exercise, you will learn how to assign permission to manually add new hires to Onboarding.

Steps

Navigate to Manage Permission Roles using Action Search.
Select Edit action on your Recruiters role.
Choose Next to navigate to the Add Permission step.
Add the permission Initiate Onboarding API Permission in the Manage Onboarding and Offboarding category.
Select Next and Save to update the role.
Return to Manage Permission Roles.
Repeat steps 2 through 5 on the Onboarding Admin role to allow them to add a new hire to onboarding.

Summary

In certain situations, you may need to manually add a new hire to SAP SuccessFactors Onboarding. You can do this in Add New Hire to Onboarding in SAP SuccessFactors Onboarding.
First, though, you must grant the role-based Initiate Onboarding API permission to recruiters and onboarding administrators by navigating to Manage Permission Roles.
