Adding New Hires to SAP SuccessFactors Onboarding

Objective

After completing this lesson, you will be able to add a new hire to SAP SuccessFactors Onboarding to initiate the onboarding process.

Add a New Hire Manually to Onboarding

In certain situations, you may need to manually onboard a new hire. You can do this through Add New Hire to Onboarding in SAP SuccessFactors Onboarding. The following are examples of scenarios where this might be required:

  • Onboarding in companies that don't use a recruiting system

  • The hiring of a high-level executive that, to ensure confidentiality, doesn’t follow the usual recruiting process

  • Employees returning from a sabbatical

The same principle applies when you add a new employee in SAP SuccessFactors Employee Central or add a new user in SAP SuccessFactors HCM Suite without Employee Central. The main difference is that you are initiating the onboarding process because you are adding the new hire directly to the system.

Add a New Hire to Onboarding

The following video outlines how you can manually add a new hire to the system to initiate the onboarding process.

The steps below provide an outline of the tasks demonstrated in the Adding a New Hire to SAP SuccessFactors Onboarding video.

Steps

  1. Search for Add New Hire to Onboarding using Action Search.

  2. Select Add New Hire to Onboarding from the search results. 

  3. Complete the Basic Information required for the new hire. You have the option to add more information using the Provide Additional Data option. 

  4. Select Initiate Onboarding.

Result

The Onboarding process is initiated for the new hire that has been manually added to the system.

Configure Onboarding to Utilize Rule-Based Generation During Manual Initiation

It is recommended that you configure your manual onboarding settings to ensure manual onboarding follows the User ID generation rule used by Recruiting Management and Employee Central.

To enforce the configuration, enable the Respect Rule-Based Generation of User ID During Manual Onboarding switch, which appears in the Manual Onboarding Settings section of the Onboarding General Settings page.

Once this is configured, the Add New Employee ID field is disabled in the Add New Hire to Onboarding tool.

When this configuration is not enabled, the manual onboarding process uses system default User ID generation from Company Logo Settings if the User ID is not manually assigned.

The only fields that the rule in Onboarding can evaluate are First Name, Last Name, Hiring Manager, Company, Event Reason, and Hire Date.

Accessing the New Hire Data from People Profile

After you initiate the Onboarding process, you can access and manage the profiles of the new hires in the People Profile page.

In the latest People Profile page, administrators can now identify and manage new hire profiles using a new hiring status indicator, which displays the Onboarding New Hire indicator until onboarding is complete. Profile views dynamically reflect hiring status, and All Actions buttons and the Edit icons remain hidden for HR and managers until after Manage Pending Hire (MPH) to prevent data conflicts.
