Triggering Onboarding Processes Manually

Objective

After completing this lesson, you will be able to trigger an onboarding process restart manually.

Restart Onboarding Process

When you initiate an onboarding process, new hire data is passed from the recruiting system to SAP SuccessFactors Onboarding. If the value of certain variables in the new hire data changes before the candidate is hired, the onboarding process may need to be restarted because some onboarding tasks can be affected.

One reason we need to capture accurate new hire data in the onboarding process is because of data privacy and security. For example, some companies only provide system access to new employees on their start date so that internal organization information is only accessible when the new hire becomes an employee. So, if the start date of a new hire changes, you will need to restart the onboarding process to change the deadline for onboarding tasks.

You can restart the onboarding process manually or you can configure the system to trigger a restart automatically using business rules.

When the onboarding process for a new hire is restarted, the following occurs:

  • The current onboarding process is cancelled.
  • A new onboarding process is initiated.
  • An event is written in the change log for reporting purposes.
  • An email notification is sent to the assigned onboarding participants.
  • An icon below the new hire’s name on their dashboard shows that the onboarding process has been restarted.

Manual Restart

There are some situations where you may need to manually restart the onboarding process. For example, if there was a mistake or error in the onboarding process that someone cannot go back to and modify, fix, or update, even if they have the required permissions.

You can also manually restart the offboarding process if the termination date changes.

Select Restart Onboarding from the Action menu to manually restart the onboarding process.

Note

You can restart the forms from the Document Flow step without restarting the entire onboarding process.

Permission for Manual Restart

To restart an onboarding process manually, a user selects Restart Onboarding from the Actions menu, which appears in the Onboarding Dashboard, in the new hire's profile list of actions.

Steps

  1. In the instance, navigate to Permission Roles using the Action Search box.

  2. Select a permission role. Typically, the users who are given access to the restart button are recruiters/HR and hiring managers.

  3. Choose Permission.....

  4. Navigate to Administrator Permissions and select the Manage Onboarding or Offboarding category.

  5. Choose Restart Onboarding Permission, then choose Done.

  6. Choose Save Changes.

Result

The user(s) have access to the Restart Onboarding button in the Onboarding Dashboard, in the new hire's profile Action menu.

Summary

  • Manual restart cancels current onboarding, starts a new process, logs the event, and notifies assigned participants.
  • Assign Restart Onboarding permission under Manage Onboarding or Offboarding in Permission Roles to allow users to restart processes.
