Creating Story Reports with SAP SuccessFactors Onboarding Data

Objective

After completing this lesson, you will be able to create Story Reports with SAP SuccessFactors Onboarding data.

Story Reports

The Story Report in Report Center is part of the reporting tools in SAP SuccessFactors Platform. This report is based on the integration of SAP SuccessFactors HCM Suite with SAP Analytics Cloud. It is a presentation-style report that uses charts, visualizations, text, images, and pictograms to describe data. For example, you can create a report that highlights the following:

  • The names of all new hires
  • The status of the new hire in the onboarding process
  • The hiring manager and recruiters involved
  • Onboarding tasks and their due dates

A Story Report mainly involves building a query and using the query to create the report.

After you create a story, you can add and edit pages, sections, and elements, as well as share your story with others for them to use.

Story Reports is the only platform reporting tool in the SAP SuccessFactors HCM Suite that can be used to report on Onboarding.

Role-Based Permissions to Access Onboarding Data in Story Reports

To create Story Reports with Onboarding data, you need to add the Onboarding schema permission to a user. This can be found in the Reports Permission category for Create Story.

Select the Create Story checkbox to add the Onboarding schema permission to a user.

Story Reports

Stories are generally composed of two parts:

  • Queries are your sources of data. They are essentially the different MDF objects in the SAP SuccessFactors HCM Suite that can come from different modules.
  • Pages organize your presentation of widgets. Widgets represent the data you are generating in the report. They can be different types of data representations, such as charts and tables.

To create a Story Report, you would complete the following steps:

  • In the Report Center, use the Query Designer to build your query.
  • Add Widgets to the page of your story. Add additional pages as required.

Create a Story with Onboarding Data

Creating a Story Report with Onboarding data is very similar to how a Story Report is created for every other module in SAP SuccessFactors HCM Suite. The only difference is the data in the report. It is beneficial to know the different MDF objects for Onboarding to identify the data you can generate on a Story Report.

Steps

  1. To open the Report Center, go to Reporting from the main navigation menu.

  2. To create a new report, choose Create.

  3. In the pop-up window, choose Story, then Select.

The Query Designer window opens with a list of Available Data to choose your query from.

  4. Select an table from the Onboarding schema. Do this by clicking and dragging the table from the Available Data to the left-hand pane. The left-hand pane is referred to as a canvas where a query is built.

Drag the Process option from the Available Data to the left-hand pane. Details are provided above.
  5. Select specific pieces of data (fields) from the selected table. You can add more tables from other schemas (such as SAP SuccessFactors Recruiting) depending on the initial schema you choose. In this case, Onboarding is the initial schema and is integrated with Recruiting.

Select specific fields from the selected Process, then select the Finish button.
  6. To save your query (which will become your Datasource), choose Finish and enter a Name for it.

  7. Add widgets like Charts and define each as needed. For example, you can select fields to display in the charts.

Select fields to display in chart.
  8. To save your story, select Save from the File section.

Result

You have successfully created a Story Report that contains Onboarding data.

Reporting on Onboarding with People Intelligence

Onboarding is crucial for integrating new hires and ensuring their success. Understanding the effectiveness of your onboarding program is key to improving employee retention. People Intelligence in SAP SuccessFactors offers tools to analyze onboarding data and gain actionable insights.

Shows a dashboard of onboarding insights

People Intelligence provides reporting specifically for onboarding processes. Onboarding Insights offers pre-built dashboards and reports to monitor key performance indicators (KPIs) and identify areas for improvement.

Onboarding Insights

Onboarding Insights provides a comprehensive view of the organization's onboarding process, enabling HR teams to monitor, improve, and ensure a smooth, efficient onboarding experience.

The dashboard offers a comprehensive overview of employee onboardings, drop-offs, risks, and offboarding metrics, as well as detailed comparison tools by various demographic segments. The visualization enables HR and business leaders to monitor process effectiveness, identify bottlenecks, and benchmark KPIs across organizational groups.

It helps you with:

  • Process Optimization: Identifies bottlenecks and inefficiencies in onboarding and offboarding workflows, enabling targeted improvements and faster processing times.
  • Improved Employee Retention and Experience: Tracks trends in drop-offs, cancellations, and low-tenure terminations, helping HR adapt strategies to increase retention and ensure a smoother employee experience.
  • Data-Driven Decision Making: Provides actionable insights through detailed analysis and comparisons across various demographics and divisions, empowering leaders to make informed, strategic HR decisions.
  • Risk Mitigation and Compliance: Monitors completion of critical onboarding tasks and identifies reasons for drop-offs, ensuring regulatory compliance and reducing operational and reputational risks.

The dashboards provide insights into your onboarding and offboarding processes. Imagine your Onboarding Effectiveness dashboard shows a high early attrition rate for the Sales department. Drilling down, you discover new sales hires report feeling unprepared after their initial training. Armed with this insight, you can revise the sales onboarding program to include more hands-on training and mentorship, directly addressing the root cause of the attrition. This targeted approach maximizes the impact of your onboarding efforts.
