Defining and Enabling the Offboarding Process

Offboarding Process Overview

Offboarding (also referred to as the termination process) allows you to set up a seamless exit process for employees leaving the organization. Termination can be voluntary (such as a resignation), involuntary (a layoff or dismissal), or a result of retirement.

The offboarding process is first initiated in Employee Central, then the following steps are carried out:

  1. In the Manager Data Review step the manager reviews all termination-related information or assigns this responsibility to a designated group, such as HR.
  2. In the Employee Data Review step, additional data is captured from the departing employee.
  3. In the Create Offboarding Tasks step, tasks are assigned to relevant participants to complete.
  4. In the Document Flow step, documents are sent to the offboardee to sign.

The Process Variant Manager tool allows you to customize steps in an Offboarding process. Steps can be removed or rearranged depending on the organization’s requirements.

Once the offboarding process is complete, the information of the offboardee is updated in Employee Central.

Initiate the Offboarding Process

To initiate the offboarding process, you first need to terminate the employee in SAP SuccessFactors Employee Central.

Steps

  1. In the Action Search bar, enter the name of the employee (offboardee).

  2. From the search results, to display a dialog box appears for the employee's details, hover over the employee's name.

  3. Choose Take Action and select Terminate.

  4. Enter the Termination Date, select the Termination Reason, and complete any other applicable details.

  5. Choose Save.

    Select Terminate from the Action menu to initiate the offboarding process. Enter the required fields and select Save.

Result

You have terminated an employee in SAP SuccessFactors Employee Central.

Enable Offboarding

Enabling Offboarding is the same as enabling Onboarding and this is already done by the SAP Provisioning Team before SAP SuccessFactors Onboarding is implemented. This is done even if the customer won’t be using the Offboarding process.

If Offboarding is disabled in Provisioning, complete the following steps.

Steps

  1. Login to Provisioning.

  2. Under List of Companies, select your company.

  3. Choose Company Settings.

  4. Select Offboarding.

  5. Choose Save Feature and enter your Company ID.

  6. To save your settings, choose Confirm.

Result

Offboarding is enabled on the SAP SuccessFactors HCM Suite. Standard objects and business rules are configured automatically on the system, but you still need to provide specific permissions to the administrator, manager, and offboardee roles.

Note

Customers don’t have access to Provisioning. If Offboarding is disabled, customers can raise a support ticket to get it enabled.
