Managing the Rehire Process

Describing the Rehire Process in SAP SuccessFactors Onboarding

Objective

After completing this lesson, you will be able to describe the rehire function in the onboarding process.

The Rehire Process

SAP SuccessFactors Onboarding leverages the Hire/Rehire Configuration within the SAP SuccessFactors HCM Suite to identify inactive employee records that match an incoming new hire's information.. There are currently five Rehire conditions in the Hire/Rehire Configuration. You can enable searches for employees using the following criteria:

  • First name and last name
  • First name and date of birth
  • Last name and date of birth
  • First name, last name, and date of birth
  • National ID

The following record types are eligible to appear as a match on the Profile Match Verification page:

  • Employees with terminated status
  • No-show candidates
  • Canceled onboardee (new employment only)
  • Active employees with future-dated termination (new employment only)

Note

Active employees without a termination date are displayed on the Profile Match Verification page but cannot be rehired.

When any of the enabled Hire/Rehire Configuration conditions are detected during the rehire check, Onboarding will perform the following actions:

  • Trigger the rehire verification process.
  • Assign a task to the Data Review card on the home page.
  • Allow a user or participant to decide if the onboardee should be classed as a new hire or rehire, or if the onboarding process needs to be canceled.

The Profile Match Verification page shows the matching inactive employee records based on the Hire/Rehire Configuration conditions and allows the user to select the next action. On the Profile Match Verification screen, canceled onboarding profiles are flagged with an Onboarding Canceled label.

A welcome email template is available for rehires, which can be configured separately from the standard new hire welcome email to ensure appropriate messaging is sent to returning employees.

Rehire Verification Stages

The rehire check can be triggered in two different stages in the onboarding process:

Two stages of rehire check triggers in the onboarding process. Information about rehire check triggers is provided below.

Pre-Onboarding Rehire Verification

Pre-Onboarding Rehire Verification (formerly known as First rehire check) is triggered when the onboarding process is initiated. It is executed before creating any person, employment, or user records for the new hire. This rehire task is displayed on the Data Review card on the home page.

The initial rehire check uses basic candidate data from Recruiting, such as name, date of birth, and National ID. However, these details may not be unique enough to confirm a match. To improve accuracy and resolve potential duplicates, you can apply additional, more specific parameters to narrow the results and confirm the candidate's rehire status.

Employment records and personal information are retrieved from SAP SuccessFactors Employee Central when onboarding is initiated from SAP SuccessFactors Recruiting or an external ATS.

Onboarding Rehire Verification

The Onboarding Rehire Verification (also known as the second rehire check ) is executed if a potential match doesn’t get identified in the first rehire check. This check is performed after the Personal Data Collection step is completed.

If the new hire is identified as a rehire after the second rehire check, one of the following applies for rehire with new and old employments:

  • Rehire with new employment: The onboarding process as rehire is cancelled and restarted with new employment under the old Person Details.
  • Rehire with old employment: After a rehire coordinator chooses one of the previous employment profiles during the rehire process, the previous employment under the same Person Details is reactivated.

For example, if a candidate's date of birth or National ID was missing during the Recruiting stage, the first check might not find a match. Once the candidate provides their full legal details during the Personal Data Collection step, the system performs a more thorough second check to confirm that no previous record exists.

Note

During this verification, the system grays out the Proceed as New Hire button when it detects a national ID match to prevent errors caused by identical national IDs in the system.

The Rehire Verification Task in Onboarding

An onboarding participant (such as the hiring manager or recruiter) needs to perform the rehire verification task when the system detects a matching inactive employee record. To complete this task, you need to assign specific permissions to an onboarding participant.

Before discussing these permissions, let’s review the difference between the two actions: Rehire on New Employment and Rehire with Old Employment.

Rehire with New Employment

Rehire coordinators can rehire a former employee by initiating a new employment. In this flow, a new employment entity is added to the Old Person entity. The Employee Central personal entities, such as National ID, Person ID, and Employee ID, continue from the previous employment, but other entities, such as User ID and Employment ID, are generated again and differ from the previous employment. The employee profile of the rehired employee includes separate records for the new and previous employments with the company.

For example, a returning employee receives a new User ID (e.g., JDoe2) and a new Employment ID for their current role, but their original Person ID and National ID remain tied to their profile, preserving their historical training records and personal data consistency.

Active employees with future-dated terminations can be rehired with new employment. Ensure that all data collection steps for the rehire, including personal data collection, new hire data review, and the manage pending hires step, are all completed before their termination date.

Rehire with New Employment on Legal Entity Transfer

There are some situations where the organization needs to transfer an existing employee from one legal entity to another within the organization. This transfer can be either within the same country/region or across countries/regions. To make this transfer, rehire coordinators can terminate the employee's employment, then rehire them with a new employment.

To use Rehire with New Employment for legal entity transfers, you must carry out the following actions:

  • Assign the Rehire Inactive Employee with New Employment (by ‘match’ in New Hire) permission to the user who will perform the rehire verification task.
  • In SAP SuccessFactors Employee Central, set a future termination date.
  • In SAP SuccessFactors Employee Central, set the rehire start date for the day after the termination date.

Before the employee has been rehired, they will have two employee profiles. They can switch between these two profiles using a Context Switcher. The employee must use this Context Switcher to complete the new hire tasks on the future (inactive) employee profile.

Two employee profiles are highlighted on the Home page. The employee can switch between these two profiles using a Context Switcher.

Note

  • Rehire with legal entity transfer is currently not supported when onboarding is initiated manually.
  • A separate welcome message email template is available for legal entity transfer in Email Services - (ONB) Legal Entity Transfer User Welcome Message Template.
  • Rehire with New Employment for legal entity transfer supports External Applicant Tracking System (ATS) integration. More details can be found on SAP Help Portal – Initiating Legal Entity Transfer Using an External Applicant System.

Rehire with Old Employment

Rehire coordinators can rehire a former employee using the employee’s previous employment records. Rehiring former employees with their previous employment information is possible if onboarding is initiated either manually through SAP SuccessFactors Recruiting or through an external ATS. Using this function, you will also be able to process rehires using details from their previous employment.

This method is often used in industries with high-frequency seasonal rehiring (e.g., retail or agriculture) where the organization prefers to reactivate the exact same employment record to maintain continuous seniority or specific contract terms without creating a new employment entity.

Rehire with Old Employment does not currently support legal entity transfer.

Note

The Rehire with Old Employment functionality may be suitable for specific business scenarios. However, as a best practice, SAP recommends using the Rehire with New Employment functionality wherever possible.

Multiple Onboarding Processes for New Hire and Internal Hire

The screenshot shows choosing between two onboarding processes

During the onboarding process for a new hire, organizational changes may trigger the start of an internal hiring process at the same time. In this case, tasks related to both onboarding processes will be shown in the For You Today section on the Home Page for the new hire.

When there is an ongoing onboarding process, the internal hiring process will display tasks labeled as Internal Transfer. This label distinguishes these tasks from the onboarding tasks for new hires, making it easier for users to identify and manage specific internal hire tasks, thereby enhancing efficiency and clarity.

Summary

  • The system automatically identifies potential rehires by matching new hire data with existing employee records.
  • Verify any matches to confirm if the person is a new hire or a rehire.
  • Choose to rehire the person with new employment or by using their old employment records.
