Offboarding – Employee Termination Process

Offboarding allows you to set up a seamless exit process for employees leaving the company. This can also be referred to as the termination process in a company. Termination can be voluntary (a resignation), involuntary (a layoff or dismissal), or a result of retirement. Offboarding gathers all termination-related information and triggers time-sensitive activities (tasks), such as:

  • Conducting meetings with the Offboardee
  • Creating and tracking knowledge transfer tasks by the Offboardee to existing employees
  • Tracking the company assets possessed by the Offboardee
  • Notifying peers about the Offboardee's exit
  • Activities related to Offboarding paperwork (Example: Review of information by manager and the Offboardee)

The Offboarding process can be implemented as a standalone product or without the Onboarding piece of the SAP SuccessFactors Onboarding solution.

Offboarding Experience

Offboarding Dashboard

  • Similar to Onboarding, a separate dashboard of tasks is available for any participant in the Offboarding process.
  • A Manager Activities card under the For You Today section of the Home page is also enabled and shown to an Offboarding participant so they can access the Offboarding tasks through a popup window.

Offboardee Data Review

  • Since Offboarding is based from the Onboarding process, the initial step in the Offboarding process is a Manager Data Review. This first step can be skipped and assigned to specific responsible groups, not just the direct manager.
  • The Offboardee can also conduct a data review in the Offboarding process if needed. This is called the Employee Data Review.

Offboarding Configuration

When configuring Offboarding, you can think of it as a separate product because it can be implemented as a standalone piece of the Onboarding solution. Although we suggest you consider it a separate product, most features are shared with Onboarding. It is best to have the same features enabled in Provisioning required for Onboarding and Offboarding.

The Offboarding process can be customized depending on an organization's requirements (just like Onboarding). Some information in Onboarding that can be shared with Offboarding to customize the Offboarding process are the programs (Offboarding programs), tasks, and email templates for notifications.

What you have learned so far in this product orientation for Onboarding mostly applies to Offboarding as well.

Business Rules

Business Rules are an important feature to configure for Offboarding, as there could be different Offboarding programs that can be triggered for different sets of employees when they are terminated in the system. Different termination reasons can also be conditions for these different Offboarding programs.
