Restarting the Onboarding Process for a Candidate

Restart Onboarding and Offboarding Processes

The Onboarding process for a candidate can be restarted if there is a change in new hire data before the candidate gets hired. The process can be manually restarted, or you can configure the system to trigger an automatic restart.

Manual Restart

You can manually restart the Onboarding process if incorrect data is set or an unhandled error occurs, and you need to overcome this error. You can also manually restart the Offboarding process if the Termination date changes.

Automatic Restart

When you initiate the Onboarding process, you pass new hire data from your recruiting system to Onboarding.

If the value of certain variables in the new hire data changes before the candidate is hired, the Onboarding process can be automatically restarted to accommodate the implications on the system behavior. A business rule will need to be configured to identify when an automatic restart will occur.

Important Behaviors with Restart Feature

Currently, you can only configure a trigger event (Automatic Restart using business rules) to restart the Onboarding process whenever the value changes for any of the following variables:

  • Start Date (targetDate in the Process object)
  • Hiring Manager (manager in the Process object)

System behavior when an Onboarding restart is triggered for a new hire:

  • The current Onboarding process is canceled.
  • A new Onboarding process is initiated.
  • An event is written in the change log for reporting purposes.
  • An email notification is sent to the assigned Onboarding participants.
  • A restart icon is displayed under the name of a new hire in the Onboarding Dashboard indicating a restart event has been triggered.

After an Onboarding restart is triggered, the system can be configured to either retain information captured during the Onboarding processes or be updated with information from SAP SuccessFactors Recruiting or an Applicant Tracking System. The Applicant Tracking System is also commonly used to update new hire or candidate records, such as the start date, should changes be required.
