Explaining Table Reports

Overview

SAP SuccessFactors Table Reports provide a flexible, intuitive platform for users to easily create custom list reports and share them across the organization.

Table Reports can be created using data from the following SAP SuccessFactors’ modules/features:

  • Performance
  • Goals/Objectives
  • Compensation
  • Variable Pay
  • Succession & Development
  • Recruiting
  • Employee Central
  • Employee Profile
  • Calibration
  • Platform

The modules you may report on depend on your current configuration and contract.

Table Reports Permissions

Before Report Creators can create, or Report Consumers can run, a Table Report, an administrator must grant them permission to do so. The Create Report permission is separate from the Run Report permission.

Additionally, report permissions may be granted by Report Domain. The report domain is similar to the module. For example, you may allow a user to view and create Goal reports but only allow that same user to view Succession reports or not allow access to Succession reports at all. If a user has permission to create a report, they are automatically able to view/run the reports that they create.

You can share a report with users who did not create it so they can access it. They must still have permission to run reports for the domain for which the report was created.

Report Structure

The first decision you need to make when creating a table report is its data structure. There are three possible data structures:

  • Single Domain
  • Multi Domain
  • Cross Domain

Single Domain allows you to query data from one Reporting Domain and is the default Report type option.

Multi Domain Reports and Cross Domain Reports allow you to query data from two or more Reporting Domains.

  • Multi Domain Reports do not join data together, and the report results from each selected Reporting Domain will appear on separate tabs in the output.
  • Cross Domain Reports join data from multiple Reporting Domains in the query. This information is displayed in one output list. You may add the same domain more than once to allow multiple joins.

Reporting Domains

A Reporting Domain is similar to the module in SAP SuccessFactors. However, some report domains are specific, allowing you to report on certain aspects of a module, such as Compensation Eligibility. The domains available to you may depend on your configuration and your permissions. Each user must be permissioned to create for all or certain Reporting domains.

When you select a domain, you indicate the high-level data in the system you would like to report. For example, to run a report on a certain year’s Goals, you start by selecting the Goal Management reporting domain.

Report Scope of User Data

In Table Report creation, part of the process is selecting the people whose data you want to appear in your result list. This only applies to those reports for which people are available. This is also referred to as People Scope.

  • A scope of user data may be based on your relationship to other users as defined in the User Data File; for example, a manager/employee relationship.
  • A scope of user data may be based on permissions to see data outside your direct reporting relationships. (Detailed Reporting permission / Target Population).

Report Data Sets

Data Sets are Form Templates. For example, if you run a Goal Management report, the Data Sets you can select from are your active Goal Plan Templates. The Data Sets are active Performance Form Templates for a Performance Management Report. Some of the Report domains that use Data Sets include:

  • Goal Management
  • Development Goal
  • Performance Management
  • Form Status
  • 360 Multi-Rater Subject
  • Compensation Eligibility
  • Compensation Planning
  • Variable Pay Bonus Detail
  • Variable Pay Bonus Payout

Only active templates are available for selection as a data set. Therefore, it is recommended that you keep your form and goal templates active for as long as you wish to report on them.

Report Filtering

Table Reports provide multiple options for filtering. The two main choices are Filter By My Selection and Filter By Rule. Each of these options can be customized to meet the needs of the report creator.

Filter By My Selection enables the report creator to select their criteria from the list of existing data in the field. Filter By Rule enables more flexibility when setting up your criteria.

Each of the above options allows the report creator to select User Prompted. If the check box User Prompted is selected, the report viewer will be prompted to enter criteria (either by selection or rule) when the report is generated.

Table Report Results

Each column in a Table Report is a field from the selected Report domain (i.e., If the Report Domain is Goal, the columns available for selection are fields pertaining to the Goal module). The Report Builder displays its output as a list. The list contains the columns you choose during the report setup.

The results of a Table Report are presented in list format and may be exported or downloaded for use in various other applications. The resulting data may be exported or downloaded to file formats for external reporting usage, including CSV, PDF, Excel, and PowerPoint.

The information presented in the results of a Table Report may be used as-is or further analyzed using a third-party reporting tool.

Reports Data Map

To assist you and other users in your organization in selecting the correct fields, we recommend creating a Data Map. The most difficult aspect of selecting columns is knowing which columns in the list contain the data on which you would like to report. Each SAP SuccessFactors implementation is unique. Depending on your configuration, your selected columns may be tailored to the data your organization tracks.

To create a data map:

  • Create a report that contains ALL of the available fields for selection.
  • Review the results.
  • Create a document (possibly an Excel file) that lists each column name and the data it contains, if any. Also, be sure to specify which fields are not relevant to your organization.
