Configuring SAP SuccessFactors Continuous Performance Management

CPM includes a General Configuration section with a Validate button that allows you to validate your configuration and download a report, if necessary. Validated items include Prerequisite Features,OData API dependencies, Metadata Framework Object Definition, Role-Based Permission Configuration, and Initial Configurations.

This feature makes the selected view the default landing page for all Continuous Performance Management users. Activity View (default) or Achievements View can be selected as the designated landing page, and this option will impact all users.

Users must have permissions to both Activities and Achievements to access either view.

Activities View – Activity Status Label

Using the CPM Administrative Console in the Activities View allows you to create, delete, and customize settings for various Activity Status Labels. New or existing labels can be modified in the following ways:

• Create New Activity Status.
• Delete an Activity Status.
• Re-Order Activity Status.
• Localize Activity Status labels (adding translations).
• Modify Activity Status colors, selecting a preferred color using a built-in palette, adding HEX or RGBA color code.
• Set which Activity Status Label is going to be the default when users create activities (as an example, you can set the Medium Activity Status to be the default when creating a new activity, which can be changed as needed).
• Set which Activity Status Label prompts a user to create an Achievement (generally, a completed activity will prompt an Achievement creation).
• Set which Activity Status or Statuses causes activities to clear from the meeting queue and be saved to the meeting just captured (generally Completed and Cancelled activities are cleared).

As an administrator, you can set the default tab view for the Activities page, allowing users to land directly on this tab without manual switching.

On the Continuous Performance Management Configuration page, a new setting called Default Tab for Activities View is available. You can choose between View by Status, which is the default option, and View by Goal.

If you select View by Goal, the Activities page opens to the View by Performance Goal tab, or to the View by Development Goal tab if performance goals are not enabled in your instance. If your instance has neither performance goals nor development goals enabled, the Activities page only has the View by Status tab.

Using Continuous Performance Management (CPM) Feature Configuration, several features can be enabled or disabled, including:

• Enable "Discussion Topic": This feature allows employees and managers to keep track of the topics they want to discuss. It creates a "Discussion Topics" section within the "Meeting" menu to add topics to be discussed in addition to reviewing current Activities. Users will need view/edit access granted in Role-Based Permission to view and add discussion topics in the meetings.
• Enable Meeting Notes: This feature allows private notes to be taken during the 1:1 meeting that are only visible to the owner. Notes will be captured and saved in the Meeting History.
• Enable Continuous Feedback: This feature will enable Continuous Feedback in the main navigation menu, where you can display all Feedback Received, Feedback Given, and Requests Sent. Users will need access granted in Role-Based Permission to use all the Continuous Feedback options available
  • Enable Activity-Feedback Linking: This feature allows employees and managers to request feedback on activities and to link feedback messages to activities.
  • Disable Deleting Feedback: This option prevents users from deleting feedback they have received.
  • Enable Continuous Feedback Outlook Integration: To create an Outlook add-in for users to directly provide Continuous Feedback, enable this option. Then, choose Save Configuration to activate the download file. After downloading the file, follow the instructions in the Using Continuous Performance Management guide in the SAP Help Portal to create the add-in for your users.
• Enable Multiple Role Support: This feature, also called Active Channels, expands Continuous Performance Management functionality to be used by roles other than the manager and their direct reports. A user can invite another user to an Active Channel and create activities and discussion topics. To enable this feature, you must configure the respective target permissions to determine who a user can invite to an Active Channel. Within the list, channels can fall into up to six categories: Manager, Matrix Managers, Direct Reports, Matrix Reports, Other Channels, and Hidden Channels. This allows users to easily locate channels based on different job relationships
  • Enable matrix managers and matrix reports for Channels by default: To reduce manual effort, you may enable the automatic creation of channels between matrix managers and matrix reports. By enabling it, each pair of matrix managers and matrix reports will automatically have a 1:1 channel created.
  • On the Continuous Performance page, these channels will be grouped into two new categories: Matrix Managers and Matrix Reports. The categories only exist when the option is enabled and a user has any matrix relationship. If they already have a channel, no additional ones will be created. When the Enable matrix managers and matrix report for Channels by default feature is enabled, users can delete the channels they own (not involving their direct reports and matrix reports).
• Enable Attachments on Activities: This feature allows adding attachments on activities for all users with activity edit permissions. Anyone with access to view that activity can view and download the attachment.
• Hide the meeting histories of previous managers from the new manager: This option enables the meeting histories between a direct report and their previous managers to be hidden from the new manager. The new manager is shown only their meeting histories with their current direct reports, while direct reports are shown all meeting histories with their current and previous managers.

• Automatically Hide Prior Feedback Requested or Given by Former Manager from the New Manager: This feature allows feedback given or requested by the previous manager for an employee to be automatically hidden from the new manager.

• Enable Cross-Channel Activity Sharing: Allows channel participants to share their activities across multiple channels to enhance collaboration.

• Enable Managers to View All Feedback for Direct Reports: Allows managers to view all feedback that their direct reports received, including those provided and requested by former managers. Direct reports cannot hide feedback from managers or delete them, even if the Disable Deleting Feedback setting is off.
• Enable User-Controlled Goal Visibility in Feedback Requests: Allows users who request feedback on their own activities to choose whether recipients can view only goals they have permission to access or all goals that are linked to the activity in the request. By enabling this setting, you are deciding that your organization trusts its employees to manage their own goal confidentiality when requesting feedback.
• Include Inactive User Data in Story Reports: When enabled, Continuous Performance Management data involving inactive users will appear in Story reports.

Some of these features need to have RBP configured to allow managers and employees to use them. For instance, view and edit permissions must be granted by role to Achievements, Activities, and Discussion Topics, and activated in the Feature Configuration section of the CPM Admin page.

Notifications can be customized by navigating to E-Mail Notification Templates using Action Search.

• Activity Update Notification: A user receives a notification when someone updates one of that user’s activities.

• Continuous Feedback Received Notification: A user receives unsolicited Continuous Feedback. The email identifies the sender of the feedback. In cases where feedback is addressed to multiple users, the other users receiving it will be identified. The email also contains a link to the CPM Feedback tab, where this feedback can be viewed. The Continuous Feedback Received Notification can be enabled and customized in Email Notification Template Settings.
• Continuous Feedback Responded Request Notification: A user who has previously requested feedback receives a response to that feedback request. The response email contains a link to the CPM Feedback tab where this feedback can be viewed. The Continuous Feedback Responded Request Notification can be enabled and customized in Email Notification Template Settings.
• Continuous Feedback Request Notification: A user receives a request to give feedback about someone. The email contains a link to the To-Do action on the Task Center (To-Do panel). From this location, all pending feedback requests can be viewed and answered. Persons giving feedback (Requestees) do not need access to CPM. They need only be identified in the target permission group for the person requesting the feedback. This is controlled within Role-Based Permissions.
• Multiple Roles 1:1 Meeting Invitation: When using multiple roles functionality, you can send email notifications to employees when other employees invite them to a 1:1 meeting channel. Sending an email helps employees accept channel invitations immediately. To send this email notification, enable it on the email templates configuration page and then configure it as an Intelligent Services event.
• Multiple Roles 1:1 Meeting Invitation Accepted: You can send email notifications to employees when their 1:1 meeting channel, using multiple roles functionality, has been accepted. Sending an email helps employees use new channels immediately. To send this email notification, enable it on the email templates configuration page and configure it as an Intelligent Services event.
• Delivery Status of Multiple Roles 1:1 Meeting Invitations: This notification is used to provide updates on the delivery status of each invitation. The inviters receive this follow-up email if the results of the mass delivery can't be immediately displayed in a pop-up message or if any delivery fails. This notification is enabled by default and cannot be disabled, but you can further modify the email content to suit your needs in Email Notification Template Settings.
• Channel Deletion Notification to Owners: You can notify channel owners when the administrator deletes a channel for them.
• Channel Deletion or Move Notification to Participants: You can notify channel participants that a channel is deleted or moved to Hidden Channels because it becomes ownerless after the owner leaves it or the administrator removes the owner from it.
• Channel Deletion Notification to Administrators: Informs administrators of each channel's deletion result. A deletion job will run in Provisioning when more than 50 channels need to be deleted at once. If an administrator chooses to delete 50 or fewer, the result is displayed immediately in a message; otherwise, the system won't send the email.

• As part of configuring Continuous Performance Management (CPM), the Activity View (default) or Achievements View can be selected as the designated landing page, and this option will impact all users.
