Conducting the Kickoff Meeting and Configuration Workshops

The customer and consultant work together to design the career site, beginning with the project kickoff meeting and configuration workshops, where the configuration workbook is completed.

  1. Conduct the kickoff meeting: Engage early in the process with a kickoff meeting to avoid late-stage changes.
  2. Conduct workshops: Discuss the basic site design, global elements, images, brand, languages, and components with the customer. 
  3. Decide on the host and domain: Decide on the site’s subdomain and hosting solution and whether the career site will be hosted or integrated. 
  4. Follow leading practices: Design the site following accessibility guidelines, SEO, and other leading practices. 
  5. Choose components: Organize content by using the appropriate Career Site Builder pages and components. 
  6. Confirm job requisition requirements: Confirm that the required fields are configured on the job requisition to fully support the candidate experience, job distribution features, and reporting. 
  7. Discuss a marketing strategy for job distribution: Conduct a job delivery intake meeting to discuss the customer’s job marketing strategy. 
  8. Discuss an internal applicant job strategy: Summarize the benefits of using the Career Site Builder for internal applicants. 

Project Kickoff Meeting Preparation

Preparing for the project kickoff is a crucial step in beginning an implementation project with a customer. In this video, follow consultants Mia and Carlos as they discuss the process in preparing for a project kickoff. 

To prepare for the kickoff call, consultants are responsible for creating a kickoff meeting presentation.

  • Consultants present this presentation to the customer team during the kickoff meeting.

  • Customize the presentation before the meeting:

    • Insert the customer’s name and logo where appropriate.

    • Insert the category pages from the Readiness Checklist.

    • Update the action items.

    • Insert the Project Team contact information.

    • Update the Candidate Experience section.

  • Optional: Add information returned on the Readiness Checklist:

    • Customer’s goals

    • Brands

    • Languages

Initiate the Project Kickoff Meeting

To help you initiate the project kickoff meeting, proceed as follows:

Steps

  1. Formally kick off the project in a meeting with the Customer Project Team:

    • Required: Customer Project Sponsor and Project Manager
    • Recommended: Customer Marketing/Communications/Marketing/Web Design or equivalent
    • Optional: Customer ATS Administrator and Technical contact (IT/Webmaster)
  2. Use the Kickoff slides to structure the meeting:

    • Access the Kickoff slides, along with other Recruiting implementation resources, on the SAP PartnerEdge community.
    • Introduce the implementation methodology.
    • Discuss the goals for the career site.
    • Discuss the design options for the Career Site Builder (CSB) site.
  3. Provide examples of live CSB sites to provide the customer with ideas.

  4. Review the assets provided by the customer and introduce the workbook.

  5. Capture all feedback in the workbook and supplementary documentation as appropriate.

  6. Set up any required follow-up meetings to complete the workbook.

Customization of the Project Plan

To customize a project plan for a customer, download the CSB Project Plan from SAP PartnerEdge Recruiting implementation resources. Ensure that you and your customer have Microsoft Project because it is required.

Recruiting Configuration Workbooks

Configuration workbooks are used to capture customer configuration requirements for all components of SAP SuccessFactors Recruiting. It’s a representation of the system configurations. There are five configuration workbooks for SAP SuccessFactors Recruiting. You will use the last three workbooks listed to implement Recruiting Marketing.

  • Recruiting Management

  • Recruiting Posting

  • Recruiting Marketing/Career Site Builder

  • Candidate Relationship Management

  • Advanced Analytics

The workbooks are updated each quarter, so be sure to download a new version from SAP PartnerEdge when you begin a new project.

General Workbook Instructions

Follow these guidelines for creating a workbook:

  • Be diligent and document every customer decision through the project lifecycle.
  • A goal is for customers to own the workbooks as much as possible. We recommend going through the workbook with the customer at the start of the implementation and complete the first tabs. For example, in the Recruiting Marketing workbook, work together on tabs for Site Settings, Global Elements, and Homepage. Then allow the customer to fill out some tabs on their own, for example, to enter their social links.
  • When the implementation is complete, the customer owns and maintains the workbook.
  • The blue tabs at the start of the workbook are informational.
  • Anything that is grayed out doesn’t need to be populated.
  • If desired, use the white space on the page to add screen caps of the configuration, for example, for custom headers and data capture forms.
  • Does your customer have more than one requisition template that needs to be mapped, talent pool status set, or other element? You can duplicate the workbook tab for each, or it may be easier to add additional columns instead.
  • Also notice the Component Options tab, which can be duplicated.
  • The workbook doubles as the localization workbook. See the unit on localization for additional details.

Iterations in the Workbooks

Follow these guidelines for documenting iterations in the workbook:

  • Document the original decisions for iteration 1.
  • If changes are made during subsequent iterations, enter an X in the IT2 or IT3 column, and highlight the cells that were updated.
  • Optionally, add a comment. If there are multiple changes during one iteration, use comments.
  • A tab is not included to get sign-off for each iteration, as most consultants use email for this.

Design Goals for Career Site Builder

The primary goals for a career site include:

  • Make it easy for candidates to find and apply for jobs.
  • If the candidate doesn't begin an application, make it easy to "join the talent community" (create an account) so they will begin receiving job alerts.
  • Showcase the customer’s brand. What makes working for the company attractive to candidates?
