Managing Email Campaigns

Objective

After completing this lesson, you will be able to manage email campaigns.

Create an Email Campaign

To create an email campaign, proceed as follows:

Steps

  1. Navigate to RecruitingMarketing.

  2. Choose New Email Campaign.

  3. Enter basic information about the email, including the name, description, locale, brand, email subject, and from and to information.

  4. Select the email layout and email campaign content template that is typically created earlier in the process.

  5. Override the content from the template, if necessary.

  6. Save.

    Note

    A separate campaign must be created for different languages, and so on.
    To create a new campaign, on the Marketing tab, choose the New Email Campaign button.

Result

An email campaign has been created.

Fields to Populate for an Email Campaign

Selected fields to populate for an email campaign including the following:

  • Email Campaign Code: Automatically generated from the Campaign Name. Must be URL- compliant and can be overwritten.
  • From Display Name: How you would like the From information to be presented on the email.
  • Reply- To Display Name: How you would like the Reply To information to be presented on the email.
  • Reply-To Email Address: Actual email address that potential candidates reply to.
  • To: See the next section.
  • Email Layout: Select an email layout created in Career Site Builder.
  • Content Template: Select an email campaign content template created in Admin Center. This content can be edited, if necessary.

Create an Email Campaign

This video demonstrates how to create an email campaign.

Business Example

Continue working with the use case: Engineering students who will be graduating in the future. In this exercise, create the email campaign for students in the Chicago area.

Steps

  1. Proxy as a recruiter, such as Paula Price.

  2. Navigate to RecruitingMarketing.

  3. Choose New Email Campaign and make the following selections:

    • Email Campaign Name: Engineering Students-Chicago-Internships
    • Campaign Description: Invitation to learn about internships for Engineering students in the Chicago area
    • Locale: English US
    • Brand: default
    • Email Campaign Code: Engineering_Students-Chicago-Internships (Note that the space in the Email Campaign Name was replaced with an underscore character.)
    • From Display Name: Best Run Staffing
    • Reply-To Display Name: Paula Price
    • Reply-To Email Address: Enter your own email address.
    • To: [To be completed in the exercise, Add Recipients to an Email Campaign.]
    • Email Layout: Best Run. Click Preview Layout to view the email layout that will be used for this email campaign.
    • Content Template: Internship Opportunities for Students - post Career Fair
    • Email Subject Line: Best Run Engineering Internship Opportunities in Chicago!
  4. In the Content section, replace the placeholders within <>, but do NOT replace the email tokens within [[]]. If you copy and paste, choose Remove Formatting.

    • <Brand>: Best Run
    • <Area of Study>: Engineering
    • <City>: Chicago
    • <date and time>: Friday, November 16
    • <location>: our headquarters: 430 N Michigan Ave, Chicago, IL 60611

  5. Save.

  6. Choose Review Email.

  7. Confirm that the first two lines of the email look like this:

    Dear [[CANDIDATE_FIRST_NAME]] [[CANDIDATE_LAST_NAME]],

    Thank you for participating in the Best Run Career Fair for Engineering Students in the Chicago Area!

Addition of Recipients to an Email Campaign

Up to 2 million candidates can be added to an email campaign. They are processed in jobs of 250,000 each. Recipients are not added directly from the email campaign page, but can be added from several other areas of SAP SuccessFactors Recruiting.

Add a Talent Pool as Recipients

Typically, an entire talent pool is not added to an email campaign. To do so, proceed as follows:

Steps

  1. Navigate to RecruitingCandidatesTalent Pools.

  2. Select the talent pool, click the ellipsis button, and select Add to Email Campaign.

  3. In the Add to Email Campaign dialog box, begin typing the name of the email campaign and select it when it appears.

  4. Choose Submit.

    To add Recipients in a Talent Pool to an Email Campaign, on the Talent pool tab, select the talent pool name and choose the elipsis button (three dots) and select Add to Email Campaign.

Result

A talent pool has been added as recipients to an email campaign.

Select Members From a Talent Pool as Recipients

You don’t have to add an entire talent pool. You can select individual members in the pool.

For example, to send an email campaign to all statuses of a particular talent pool except those in the status of Not Actively Seeking, proceed as follows:

Steps

  1. From the Talent Pool Members page, select a status, and then select All Candidates.

  2. Choose ActionsAdd to Email Campaign.

  3. Repeat for the other desired statuses.

    To add Selected Members from a Talent Pool to an Email Campaign, select the checkbox next to the candidate's name, choose Actions and then choose Add to Email Campaign.

Result

Selected individual members in the pool have been chosen as recipients.

Select Candidates to Add as Recipients

To select candidates to add to an email campaign, proceed as follows:

Steps

  1. Navigate to RecruitingCandidatesKeyword and Item Search.

  2. Search for candidates. Note that to search on a field you created using Candidate Profile Extension, select the field from the Profile Extension dropdown list.

  3. Choose Search.

  4. Select the desired candidates, and from the Actions option,select Add to Email Campaign.

  5. Select the name of the email campaign, and choose Submit.

  6. To confirm that the correct candidates were added, navigate to RecruitingMarketing and open the email campaign.

  7. Scroll down to the To option and notice the number of Manually Added Recipients and Talent Pools.

    To add Recipients to an Email Campaign from a Candidate Search, search for candidates. Select the desired candidates, and from the Actions option, select Add to Email Campaign. Select the name of the email campaign, and choose Submit.

    Note

    Note that you can also filter by whether the candidate has opted-in to receive email campaigns.

Result

Candidates have been selected as recipients for an email campaign.

Add Recipients to an Email Campaign

This video demonstrates how to add recipients to an email campaign.

Business Example

Add candidates to an email campaign in a variety of ways. (Note that our specific use case is for Engineering students in Chicago who are graduating in the future, but we will not restrict ourselves to those parameters for this exercise.) Remember that candidates who are added multiple times to the email campaign will receive only one email.

Steps

  1. Proxy as Paula Price.

  2. To add just selected members of a talent pool, navigate to RecruitingCandidatesTalent Pools, choose to open the Web Developers pool.

    1. Choose the Warm status (or any status that contains candidates).
    2. Select the box before the candidates in that status.
    3. From the Actions dropdown list, select Add to Email Campaign.
    4. Select the email, Engineering Students-Chicago-Internships, and choose Submit. ChooseOK.
  3. To add candidates who attended the career fair and will graduate later, navigate to RecruitingCandidatesKeyword and Item Search.

    1. From the Profile Extension dropdown list, select Year you will graduate.
    2. Select the year after this one.
    3. From the Profile Extension dropdown list, select Area of concentration (Major).
    4. Enter Engineering.
    5. Click Search.
    6. Select the candidates, and from the Actions option, select Add to Email Campaign.
    7. From the dropdown list, select the name of the Email Campaign, Engineering Students-Chicago-Internships.
    8. Choose Submit and then OK.
  4. To confirm that the correct candidates were added, navigate to RecruitingMarketing and open the email campaign that you created.

    1. Scroll down to the To option and notice the number of Manually Added Recipients and Talent Pools.
    2. Select the link to view the candidates that were added to the email.

Summary

  • Create an email campaign by navigating to Recruiting → Marketing → New Email Campaign, entering core details (name/description, locale, brand, subject, From/Reply-To), selecting an Email Layout (CSB) and Content Template (Admin Center), optionally editing the content, and saving (separate campaigns are needed for different languages).
  • Campaigns can include up to 2 million recipients, processed in batches of 250,000, and recipients are added from other areas (not directly on the campaign page).
  • Add recipients via Talent Pools (entire pool or selected members/statuses) or Keyword & Item Search results, then verify counts in the campaign under To (Manually Added Recipients and Talent Pools).
