Preparing for the Customer Implementation

Objective

After completing this lesson, you will be able to prepare the customer implementation files and system access.

Customer Sharing Site Setup

Rather than sending files in email, setting up a file share solution is highly recommended for the implementation to support the exchange of documentation and large image files.

Job Delivery Intake Documents for the Customer

The implementation consultant is responsible for managing the enablement of job distribution directly with the customer.

Send the Job Delivery Documents to the Customer

To send the job delivery documentation to the customer, perform the following steps:

Steps

  1. Send the customer the following files, located on SAP PartnerEdge:

    • Source Intake Form tab (part of the configuration workbook)
    • Recruiting Marketing Job Distribution – XML Feed Sources and Job Board Distribution
    • Feed Source Evaluation Doc
    • XML Feed Authorization Form for Indeed
  2. Direct the customer to complete the Job Distribution Sources tab in the configuration workbook to map out all of the current sources that the customer is using as part of their job distribution and online sourcing strategy.

  3. After the customer returns the completed workbook, conduct the job delivery meeting.

  4. This is discussed in more detail in another section of the course.

Readiness Checklist (Intake Form)

Before the consultant begins implementing Career Site Builder, we recommend that the customer provides the following:

  • Completed Readiness Checklist: This is where the customer documents their goals for the new site regarding branding, user experience, and recruiting strategies that they would like to emphasize (such as diversity, campus recruiting, work/life balance, and so on). They will also begin documenting the content pages and category pages that they would like on their new career site.

  • Web Style Guide: A document that outlines how to display the company's brand online, including color palette, font, use of logo, appropriate images, and so on. Also, a minimum of 15 to 20 employment brand graphics should be included.

The consultant should share the following documents with the customer:

  • Recruiting Marketing Implementation Overview

  • Recruiting Marketing Readiness Checklist

Before sharing, enter the following information near the top of the checklist:

  • CUSTOMER NAME

  • PLEASE RETURN BY (Allow five business days from the current date.)

It can take a customer several weeks to gather the necessary information and assets. Estimate approximately 10 business days on your project plan.

Completion of the Readiness Checklist may require a call with the customer to walk through their key hiring areas (both high-volume and hard-to-fill positions) over the next 12 to 18 months.

When completing the Readiness Checklist, focus on the following:

  • Up to 10 functional areas (marketing, finance, sales, and so on)

  • Specific positions within those functions that are most critical

  • Primary work locations for those functional areas and titles

Project Team Orientation (PTO)

Recommend to your customer that they view and download the SAP SuccessFactors Recruiting: Candidate Experience Project Team Orientation (PTO) course (HR835) to be prepared for the decisions that they will need to make during the implementation.

Implementation Tools

The implementation tools include customer-facing tools as well as other tools and applications.

The following tools and applications are used in the implementation:

  • SAP SuccessFactors Human Capital Management (HCM) Instance: Some of configurations are performed in Admin Center, such as mapping fields for Real Time Job Sync. In addition, the Career Site Builder tool is accessed via Admin Center.

  • Provisioning: Back-end setup system for SAP SuccessFactors HCM. Some SAP SuccessFactors Recruiting integration and other tasks are completed here.

  • Stage Command Center: This is the back-end setup system for Career Site Builder, similar to Provisioning, that controls all customer test instances.

  • Production Command Center: This is the back-end setup system that controls all customer live production instances.

  • SAP SuccessFactors HCM Cloud Operations Portal: You use this system to gain access to your customer's Recruiting Command Center environments.

  • SAP Support Portal: Website to request support for SAP SuccessFactors HCM suite integrations.

Customer Provisioning Account Access

To gain access to the customer's SAP SuccessFactors instances, the consultant must complete the Customer Instance Access Request (CAR) form.

Before you submit the form, you must satisfy the following prerequisites:

  • Written authorization from the customer (an email template is provided on the HCM Cloud Operations Portal)
  • Associate certifications for THR83: SAP SuccessFactors Recruiting: Recruiter Experience Academy and THR84: SAP SuccessFactors Recruiting: Candidate Experience Academy

Access the Customer's Provisioning Account

Steps

  1. Access the Customer Instance Access Request (CAR) form using the following link, using your S-User ID (https://HCMcloudops.successfactors.com/Implementation/IRequests).

  2. Read the instructions provided in BixX Provisioning AccountRequestsCustomer Instance Access RequestDetails

    In the BizX Provisioning Account Requests form, choose Customer Instance Access Request – Details.
  3. Open the CAR form on the HCM Cloud Operations Portal.

  4. Complete the required information on the form.

  5. Attach proof of your THR83 and THR84 certifications.

  6. Attach written customer approval.

  7. Submit the request.

Customer Command Center Instances Access

To gain access as a site manager on your customer’s Career Site Builder instances, the consultant must complete the Recruiting Marketing Site Manager Assignment Request form.

Before you submit the form, you must satisfy the following prerequisites:

  • Written authorization from the customer (an email template is provided on the HCM Cloud Operations Portal)
  • CustomerID, site ID, and datacenter location and environment (refer to the RMK instance customer handover email. If required, submit a support ticket to request this information: https://support.sap.com/)
  • Associate certifications for THR83: SAP SuccessFactors Recruiting: Recruiter Experience Academy and THR84: SAP SuccessFactors Recruiting: Candidate Experience Academy

Access the Customer's Command Center Instance

Steps

  1. Access the RMK Site Manager form information by using your S-User ID (https://HCMcloudops.successfactors.com/Implementation/IRequests).

  2. Request written authorization from the customer by using the email template available in RMK RequestsRMK Site Manager AssignmentsDetails.

    To request written authorization from the customer by using the e-mail template available in RMK Requests, choose RMK Site Manager Assignments – Details.
  3. Open the RMK Site Manager Request form on the HCM Cloud Operations Portal.

  4. Complete the required information on the form:

    • Populate the Customer ID, Site ID, and Datacenter Location & Environment fields. Refer to the Recruiting Marketing instance handover email. If required, submit a support ticket to request this information: https://support.sap.com/.
    • Include the information for the stage environment under Site ID 1, and enter information for the production environment under Site ID 2.
  5. Attach proof of your THR83 and THR84 certifications.

  6. Attach written customer approval.

  7. Submit the request.

    You will receive an email confirmation. A Site Manager account will be provided within five business days.
