Sending Email Campaigns and Reporting

Objective

After completing this lesson, you will be able to send email campaigns and reporting.

Send Email Campaigns

To send an email campaign, proceed as follows:

Steps

  1. Navigate to RecruitingMarketing.

  2. Choose the name of the email campaign.

  3. Scroll to the bottom and choose Review Email.

  4. Choose Send Email.

    You are returned to the Email Campaigns page.

  5. Choose the name of the email campaign to view the results.

    Note

    Note that you also have the option to send a test email.
    • You are prompted to enter the email address.
    • Note that, from stage instances, test emails are only delivered to @sap.com email addresses. Test emails are sent to all email addresses from Production.
    To send a Test Email , select the Send Test button.

Result

An email campaign has been sent.

Send Email Campaigns at a Future Date/Time

Customers have the ability to schedule a future date and time to send an email campaign.

The scheduled time must be at least one hour in the future.

Steps

  1. After choosing Send Email, select Schedule Email.

  2. A time one hour in the future is displayed, in your own time zone. Either accept that or choose the calendar icon to select a different date and/or time.

  3. After selecting the Date and Time, choose Schedule Email.

  4. From the Email Confirmation, choose Schedule.

  5. You will receive an email confirmation when the email is sent.

    To send Email Campaigns at a Future Date/Time, in the Send Email dialog box, select the Send at a Specific Date Time radio button.

Result

An email campaign has been scheduled to be sent at a future date and time.

Email Campaign Results

After sending an email, either a confirmation displays, or an error message describes the issue with sending the email.

  • An email campaign with no recipients is not sent. If the email has no body text, a warning message displays. There is a delay in viewing the results; return to the page for updates.
  • If the recipients include talent pools with more than 30 members, the status of the campaign is changed to In Progress.
  • When the emails have been sent, an email is sent to the sender.
  • You can view the status of the job in the job log in Provisioning.

Email Campaign Details

The details of an email campaign are as follows:

  • Views – Number of recipients who viewed the email
  • Clicks – Number of recipients who clicked on the link in the email
  • Unsubscribed – Number of recipients who clicked on Unsubscribe
  • Undeliverable – Number of recipients who could not receive the email as their email addresses were not valid
  • Not Sent – Number of recipients who were not sent the email either because of missing consent or refused consent
On the Email Campaign tag, view the Email Campaign Results. Results are accompanied by different color progress bars (green, yellow, and red).

Send the email campaign that you created earlier.

Task 1: Send an Email Campaign and View Results

Steps

  1. Proxy as Paula Price.

  2. Navigate to RecruitingMarketing.

  3. Choose the name of the email campaign created earlier: Engineering Students-Chicago-Internships.

    Note that when the list of email campaigns gets long, you can find the unsent ones by filtering on Status=Draft.

  4. Scroll to the bottom and click Review Email.

  5. Choose Send Test. If you have an SAP email address, enter it and click Send. (Remember that in Stage instances, test emails are only delivered to @sap.com email addresses.)

  6. Choose Send Email.

  7. From the Send Email screen, choose Send at a Specific Date Time. Notice that a time one hour in the future is displayed. You can either choose Schedule Email, or choose Send Immediately and select Send Email.

Task 2: View Results

Steps

  1. From the RecruitingMarketingEmail Campaigns page, ensure that the Status column contains Sent.

  2. Choose the name of the email campaign to view the results.

Management of Email Campaigns

Note the following points on the management of email campaigns:

  • Both draft and sent email campaigns are listed.
  • Filter to find the campaign you want to work with.
  • Use the gear icon to select and order columns.
  • Use the 3-dot button to delete an email campaign that has not been sent.

Leading Practice: Candidates Maintain an Active Status in SAP SuccessFactors Recruiting

Our global customers must adhere to employment laws around the world, creating considerations for how data is maintained in the recruiting system.

For example, a customer’s legal department may determine that candidates in Germany must visit their account in SAP SuccessFactors Recruiting at least once per year or their information will be anonymized. For candidates who apply to jobs in other countries of the world, the deadline is two years.

Organizations use email campaigns to encourage their candidates to sign into their candidate profile periodically to check that it is up-to-date. This keeps the candidate in an active status in the Recruiting solution. No changes to the profile are required.

Talent Pool and Email Campaign Reporting

Talent pool and email campaign information are reportable via Ad Hoc Reports:

  • Details of a talent pool

  • Candidates in a talent pool

  • Details of an email campaign

  • Candidates in an email campaign

  • List of talent pools with details including Name, Description, Sharing, Owner, and Status.

The reports are available in Recruiting V2 reports, not Recruiting V2 Secured reports. Ensure that users who generate the report have permission to do so: Admin CenterManage Permissions RolesPermissionsReports PermissionCreate Report: Recruiting V2. Users who run the report must have the permission to do so: Admin CenterManage Permissions RolesPermissionsReports PermissionRun Report: Recruiting V2.

Talent Pool Report Example

In the figure below the report shown displays the names and candidate IDs of each talent pool member, associated with the status they are in. The report is filtered to contain only the Web Developers talent pool. The results are sorted by status.

Summary

  • Email campaigns are sent directly from the campaign record, where users can review the message, send it, or issue a test email; test emails are restricted in stage but unrestricted in production.
  • Campaigns can be scheduled for a future send time, which must be set at least one hour in advance, and a confirmation email is sent once delivery occurs.
  • After sending, campaign results may take time to populate, and campaigns will not send without recipients; warnings appear when the body is empty, and larger pools may show an "In Progress" status that can be monitored through job logs.
  • Campaign reporting provides visibility into views, clicks, unsubscribes, undeliverable messages, and unsent messages, and users can filter, configure columns, and delete campaigns that have not yet been sent.
  • Talent pool and campaign data can be reported through Ad Hoc Reports, including pool details, pool membership, campaign details, campaign recipients, and lists of talent pools with key attributes.
