Winston Chat for Career Site Builder

Winston Chat is SmartRecruiters' advanced candidate-facing conversational assistant designed to enhance the recruitment process with AI-powered capabilities. As part of our AI-driven platform, Winston Chat transforms traditional hiring practices into a streamlined, efficient, and user-friendly experience.

SmartRecruiters Winston for SAP SuccessFactors brings conversational, AI-assisted experiences to SAP SuccessFactors Recruiting, helping you guide and support candidates visiting your career site. You can use Winston Chat as an overlay to your existing career site for SAP SuccessFactors Recruiting.

The integration includes:

Ability to sync job requisition data from SAP SuccessFactors Recruiting to SmartRecruiters, making it available to Winston Chat.
Ability to embed Winston Chat on your careers site using Career Site Builder.

This integration enables you to adopt Winston Chat, even when you use SAP SuccessFactors Recruiting as your applicant tracking system.

Winston Chat offers key functionalities tailored to the needs of both candidates and recruiters:

Job Search and Application Support - Candidates can interact with Winston Chat to search for job opportunities, submit applications, and receive guidance throughout the application process. Winston Chat uses advanced Large Language Models (LLMs) to understand user intent and provide accurate and relevant responses. It embraces human-like empathy to facilitate job discovery and candidate engagement.
Interview Scheduling - Winston Chat integrates with SmartRecruiters' advanced scheduling capabilities to fully automate the application to interview scheduling journey for candidates. This functionality helps reduce administrative burdens on hiring teams and ensures candidates can easily book interviews at convenient times.
Automation of Recruitment Tasks - By automating repetitive tasks and responses to questions candidates ask during the hiring process, Winston Chat allows recruiters to focus on connecting with top talent. This includes initial candidate screening through customizable screening and job-specific screening questions and prompts designed to qualify candidates early in the hiring process.

Configuration Requirements

Integration requires a separate license for SmartRecruiters Winston for SAP SuccessFactors. For more information, contact your Account Executive.
Identity authentication and user synchronization must be set up with SAP Cloud Identity Services.
API-based communication between systems requires a set up using a technical user and OAuth 2.0 configurations.
Job data sync is configured within the admin tool Set Up Integration with SmartRecruiters Winston Chat.

Integration of Winston Chat with SAP SuccessFactors Recruiting

Winston Chat for SAP SuccessFactors Recruiting requires an in-depth integration between your recruiting environment and SmartRecruiters. To use Winston on the career site, you will first need to establish the integration with SmartRecruiters. To use the interview scheduling capability in Winston Chat, you will also need to configure the necessary calendar integration so candidates can self-schedule their interviews in Winston.

First, you will need to establish the core integration and deploy the chatbot to your career site.

Enable the Feature: An administrator must enable the SmartRecruiters Winston Chat feature in SuccessFactors Provisioning.
Create an Integration User: Create a dedicated user account (e.g., WINSTON_FLEX_INTEGRATION) in SuccessFactors. You must also create a specific permission group and role within Role-Based Permissions, granting this user the necessary OData API and Recruiting permissions.
Establish Authentication (SuccessFactors to SmartRecruiters): In SuccessFactors, create an OAuth 2.0 application bound to your integration user and upload the provided public certificate. Within your SmartRecruiters instance, initiate the integration to generate your OAuth Client ID and Secret. Finally, within your SAP SuccessFactors environment, access the SuccessFactors Security Center to set up the OAuth configuration and REST Destination Settings using the credentials generated in SmartRecruiters.
Map and Sync Data: In SuccessFactors Admin Center, map your SmartRecruiters fields (like Job Title, Function, and Industry) and allowed values to their corresponding SuccessFactors fields. Once mapped, initiate the data sync to push job requisition data to SmartRecruiters.
Configure the Chatbot: Customize your chatbot's branding, tone, and conversational flows in SmartRecruiters.

Additional: Interview Scheduling Configuration

Once Winston is enabled and integrated with SAP SuccessFactors Recruiting, you can establish the integration required for interview scheduling to automate candidate self-scheduling. This cannot be completed until the initial integration is successful.

Integrate Corporate Calendars: Within SmartRecruiters, configure the calendar integration for either Google Calendar or Microsoft Office 365 to allow the system to read interviewer availability.
Schedule User Synchronization: In the SuccessFactors Scheduled Job Manager, create a recurring daily job request for "Synchronize Users to SmartRecruiters Winston". This ensures that all employees, including new hires, are synced as potential interviewers.

Enable Winston Chat for Career Site Builder

Once the integration of Winston Chat for SAP SuccessFactors is complete, you can enable the chatbot for your career site.

Steps

In Career Site Builder, go to Settings→Data Privacy & Security Settings→Custom Allowed Domains and check if the Content Security Policy setting is turned on. If so, add the following domains to the allowlist.

- *.winstonchat.smartrecruiters.com

Go to Settings→Site Configuration→SmartRecruiters.
Set the Enable SmartRecruiters Winston Chat setting to Yes.
Insert the Winston embed code snippet from SmartRecruiters into the text box.
To retrieve the Winston embed code, navigate to SmartRecruiters.
Save.
Important Considerations
- Winston Chat isn't available on internal career sites accessed within SAP SuccessFactors HCM. It's only available on the external career site.
- If your organization has multiple brands, Winston Chat may give responses that refer to any job on your career site, for any brand. It can't restrict its responses to a specific brand.
- Winston Chat configuration isn't included in the Import & Export tool in Career Site Builder. You have to configure each of your systems (such as staging and production).
