Deleting and Restoring Job Requisitions

Objectives

  • Delete job requisitions.
  • Restore job requisitions.

Job Requisition Deletion

Users with the appropriate permissions can delete pre-approved and approved job requisitions. These deleted requisitions can also be restored once deleted.

The functionality has to be enabled in the back end of the system. Additional settings also need to be enabled in Admin CenterForm Template SettingsUncheck Disable delete button.

Permissions have to be granted to users so that they are able to delete job requisitions by using Manage Permissions RolesRecruiting PermissionsDelete Requisitions.

If the customer does not use role-based permissions, then permissions needs to be granted by using Recruiting PermissionsDelete Job Requisition.

Mass Delete Job Requisition Tool for Administrator

To delete the job requisition, proceed as follows:

  • Navigate to the Job Requisition detail page.
  • In the button toolbar, choose Delete to delete the requisition.

If the job being deleted has applications attached to it, users are presented with a warning when they attempt to delete the requisition. Emails are not sent to forwarded candidates; only actual applicants are emailed.

Customers can choose to configure a generic email and send to all candidates, including those who have been dispositioned from the job requisition, or they may choose not to email candidates automatically and use the multi-select status set feature to select only those candidates they want to notify.

If there are no candidates associated with the requisition, the user is given a brief warning to confirm the deletion of the job requisition.

How to Restore Job Requisitions?

Using the advanced job requisition search, users can search for deleted requisitions by requisition ID, job title, the user who deleted it, or the deletion date. The user can select the appropriate requisition and choose Restore in the upper left of the search results. Once the job is restored, the user can view a success message.

Restoring Job Requisitions - Permissions

Appropriate permissions have to be granted to user for Job Requisition Restore:

  • If customers use Role Based Permissions: Manage Permission RolesManage RecruitingRestore Deleted Job Requisitions.
  • If customers use legacy permissions: Manage Recruiting AdministrationRestore Deleted Job Requisitions.

Restoring deleted job requisitions reinstates all active To Dos, including form routing approvals, offer approvals, and overdue interview assessments. The email from Admin CenterSystem Email Notifications or Recruiting Email Notifications that has already been sent for these tasks is triggered again to alert the user.

If the interview is in the past, the Outstanding Interview Assessment email is triggered at a particular time depending on where the server is located, giving the user the chance to update the interview date to the present and send a current notification.

There is no automatic Restore email alert for candidates. If it is necessary to alert candidates that you have restored a requisition, you can send emails to candidates manually.

Delete and Restore Job Requisitions

In this exercise, you will:

  • Delete a requisition
  • Restore a deleted requisition

Task 1: Delete the job requisition

Steps

  1. Log in as administrator (or as a user who has permissions to delete the job requisition) and navigate to Admin CenterForm Template AdministrationForm Templates.

  2. Navigate to the Job Requisition detail page.

  3. In the button toolbar, choose the Delete button to delete requisition.

    Note

    If no permissions are granted for Job Requisition Delete, the Originator can still delete pre-approved requisitions.

Task 2: Restore Deleted Job Requisition

Steps

  1. Log in as administrator (or as a user who has permissions to delete the job requisition) and navigate to Admin CenterRestore Deleted Job Requisition.

  2. Search for the specific job requisition that you have deleted.

  3. Once you find it in the list of deleted job requisition, choose Restore.
