Integrating LinkedIn Recruiter with SAP SuccessFactors Recruiting

Objective

After completing this lesson, you will be able to enable LinkedIn Recruiter System Connect (RSC) to synchronize candidate, application, and job requisition data.

Set Up and Enablement of LinkedIn RSC

The integration of LinkedIn Recruiter System Connect (RSC) with SAP SuccessFactors Recruiting streamlines the recruitment process by enabling seamless data sharing and synchronization between the two platforms. This includes key recruiting data such as candidates, applications, and job requisitions. By connecting these systems, organizations can minimize manual tasks, reduce the need for switching between tools, ensure data consistency, accelerate decision-making, and enhance recruiter productivity. 

The Recruiter System Connect plug-in, located in the Security Center of SAP SuccessFactors, allows administrators to activate LinkedIn RSC and select the appropriate contract. This initial setup ensures that the integration is securely enabled and aligned with organizational agreements.

The typical set-up workflow for LinkedIn RSC integration will follows these steps in Security Center:

  1. Create and sign-in to a customer LinkedIn account.
  2. Select a relevant contract for RSC.
  3. Enable RSC from the Recruiter System Connect plug-in.

LinkedIn RSC is enabled once the data synchronization between LinkedIn and SAP SuccessFactors Recruiting has been initiated and completed successfully.

Data synchronization involves exchange of the following data: Job Requisition, Job Applications and Candidate data.

  • SAP SuccessFactors Recruiting to LinkedIn: Job Requisitions, Candidates and Applications (pre-configured fields and not available in the UI)
  • LinkedIn to SAP SuccessFactors Recruiting: Candidate data only.

Required Role-Based Permissions

The following role-based permissions must be assigned to admins who are responsible for configuring the integration for LinkedIn Recruiter:

Enable the LinkedIn Recruiter Integration

Steps

  1. Navigate to Admin CenterSecurity CenterLinkedIn Account Setup.

  2. Select Enable Customer LinkedIn Account.

  3. Select Create Customer LinkedIn Account.

    The Recruiter System Connect plugin will appear with an Inactive status.

  4. Select Enable.

    The status will change to Pending Contract, and a Select Contract button will appear.

  5. Choose Select Contract and select Sign in to sign in to LinkedIn using your credentials.

  6. Select the appropriate contract and choose Continue.

  7. Select Choose Integrations and enable the desired integrations.

  8. Select Save.

  9. Select Close.

    The status in the RSC plugin will change to Pending Contract Selection and a Review Sync Configuration link will become available.

  10. Select Review Sync Configuration to access the LinkedIn Recruiter System Connect Sync Configuration page.

    • By default, you will land on the Data Transfer to LinkedIn tab.

Data Synchronization Configuration in the LinkedIn Recruiter System Connect Configuration Page

The LinkedIn Recruiter System Connect Sync Configuration page provides a centralized interface for managing the integration. It includes configurable general settings, default field mappings for candidates and job requisitions, and allows administrators to customize these mappings to suit specific business needs.

Please note that application field mappings are configured by default and cannot be edited.

The following settings are managed within the LinkedIn Recruiter System Connect Sync Configuration page:

  • General Settings: Verify candidate type, permissions, and privacy reference settings in the Data Transfer to LinkedIn tab. These settings cannot be changed after a data sync has been initiated, so ensure they are correct before proceeding.
  • Field Mapping: Review the default field mappings for Job Requisition and Candidate tabs in the Data Transfer to LinkedIn tab. Customize these mappings as needed to align with your business requirements. To modify a field mapping, select Edit, select the desired field from the value picker, and choose Save.
  • One-Click Export: In the Data Transfer from LinkedIn tab, modify the LinkedIn Field IDs for One-Click Export as needed.
  • Initiate Sync: In the Data Sync and Monitoring tab, choose Initiate Sync from the SAP SuccessFactors Recruiting to LinkedIn Sync section. This triggers a full historical sync of the last two years of data. Note that this can only be used once every 24 hours. A delta sync runs automatically every 30 minutes for routine updates.

Enable LinkedIn Recruiter System Connect Sync Configuration Settings

Steps

  1. In the General Settings section, verify the candidate type, permissions and privacy reference settings and make changes based on your requirements.

    Caution

    These settings cannot be changed once a data sync has been initiated. Ensure that you have verified these settings before you proceed.
  2. In the Field Mapping section, verify the default field mapping values for both Job Requisition and Candidate tabs to suit your business requirements. The Job Requisition andCandidate fields are preconfigured with default mappings. You can customize these mappings to meet your business needs or proceed to start the data sync using the default mappings.

  3. To modify an existing SAP SuccessFactors Recruiting Field ID in the Job Requisition or the Candidate tab, use the following steps:

    1. Select Edit.

    2. In the SAP SuccessFactors Recruiting Field ID column, identify the field you want to modify and choose the value picker icon.

    3. Identify the fields that you require and choose Select.

    4. Choose Save to save the changes.

  4. Navigate to the Data Transfer from LinkedIn tab.

  5. To modify an existing LinkedIn Field ID in the One-Click Export section, use the following steps:

    1. Select Edit

    2. In the LinkedIn Field ID column, identify the field you want to modify and choose the value picker icon.

    3. Identify the fields that you require and choose Select.

    4. Choose Save to save the changes.

  6. Navigate to the Data Sync and Monitoring tab.

  7. Choose Initiate Sync from theSAP SuccessFactors Recruiting to LinkedIn Sync section.

    Caution

    This button triggers a full historical sync of the last two years of data. It can only be used once every 24 hours to prevent system overload. Once triggered, the button will remain disabled until the 24-hour period has passed. Use Initiate Sync only to perform a full sync. A delta sync runs automatically every 30 minutes to process newly added or corrected records, so a full sync is not required for routine updates.

Candidate Management using LinkedIn Recruiter

Forwarding Candidates to Recruiting

With LinkedIn RSC, recruiters can forward candidates from LinkedIn to job requisitions using One-Click Export. Candidates exported in this manner will have the "Forwarded" status displayed in the Applicant Workbench. If a candidate's email ID is unavailable, the export will be unsuccessful.

Candidate Matching

When exporting candidate data from LinkedIn, the system uses Person URN and email address to ensure accurate and up-to-date records.

  • Person URN Match, No Email Match: No update occurs.
  • Person URN and Email Match: The existing candidate's details are updated.
  • No Person URN, Email Match: If no other URN is linked to that email, the new URN is added, and the candidate's details are updated. If a different URN is already associated with that email, no update occurs.
  • No Person URN, No Email Match: A new candidate profile is created.
