Describing Agency Portal for Recruiting Management

Objective

Agency Portal

The Agency Portal allows organizations to streamline the process of managing Agencies and their submittals for job postings. Once agency access is set up, recruiters can post Job Requisitions to Agencies through the Job Postings tab.

All candidates submitted by an Agency will appear under the Forwarded stage in the Talent Pipeline. Any agency candidate must be invited to apply and complete the application before moving forward in the hiring process.

The Invite to Apply e-mail trigger must be enabled, and an e-mail template must be created to invite candidates to apply for the position.

Configuring the Agency Portal

You can enable and manage agency access in Admin CenterSet Up Agency Access.

Here, agencies and agency users can be added to grant access to the Agency Portal.

Agency Portal – Login

Once agency users are added via Set Up Agency Access for the respective agencies, an e-mail will be sent to the users with the link to the Agency Portal and credentials such as:

  • Company ID
  • Agency ID (created by Admin in Set Up Agency Access)
  • User Email

Agency Portal users must reset their password upon logging in for the first time through the Forgot Password? option.

Agency Portal – Agency Access

In the Agency Portal, agency users can find jobs posted to their agency, manage candidates, and submit them to jobs.

Agency Portal – Candidate Submission

When submitting or creating a new agency candidate, agency users will be asked to complete the primary fields required for a Candidate Profile and upload a Resume.

If Candidate Data Privacy options are enabled for the system, an agency user will also be asked to select the appropriate Candidate Profile Visibility option.

The configured Agency Agreement text will also appear on the submission form.
