Email Types and Templates

Email templates are used to help streamline the notification process related to recruiting. You can customize each email template as you see fit from Admin CenterManage Recruiting Email Templates.

There are several Recruiting email types:

  • Automated notifications based on a requisition: These emails are triggered by a requisition moving through the approval process.
  • Automated emails based on changes to the applicant status: For example, if a candidate is disqualified, the system may email the candidate.
  • Ad Hoc emails: These emails are manually sent by those involved in the recruiting process. Examples include interview requests, phone screen notifications, and other candidate correspondence.
  • Offer Letters: After the deemed approver has approved an offer, an email is sent to the candidate.

Email Notification Templates

System Email Notification Templates automates the process of composing email messages sent to users such as candidates, hiring managers, and recruiters. Email notification templates reduce the likelihood of mistakes and ensure a consistent message is conveyed to all applicants.

Email notifications are automatically sent to employees every time a specified event or change occurs, such as when a form becomes available or is overdue. You can specify which notifications employees receive. For example, you can send a welcome message to all new employees.

Email notifications consist of the email subject, notification text, and, optionally, signature text. The signature can be added at the bottom of every email and typically includes contact or company information, but it can be any message you want.

It is also possible to add an attachment.

SAP SuccessFactors provides the text for all email notifications. You can modify the text of many, but not all, email notifications. For example, you can modify late notices' content, but not system progress notifications.

Recruiting Email Templates

There are various ways to manage email templates in the system; one is by System Email Notification Settings and the other is in Recruiting Email Templates, which are initiated by the user, not automated by the system. These are optional ad hoc email templates. You can create as many email templates as possible, such as a 'Thanks for applying' template.

There are various types of recruiting-related emails to help you manage recruiting-related communication:

  • Ad hoc emails to candidates
  • Candidate status emails
  • Email triggers

These templates are used for the offer letter feature.

You can disable templates you don't want to use. Disabling the templates removes them from your active list of templates and prevents you from using outdated templates. When you disable a template, it is not deleted, so it is a simple task to go into a disabled template and enable it to be used again.

Recruiting Email Templates Types

Recruiting Email templates connected with Status: Any existing recruiting email template can be connected with a specific candidate status set. For instance, a candidate can be informed that the company has received the candidate’s application, or a hiring manager can be notified that the applicant has been moved to the shortlist status. Most emails go out immediately, except for disqualification emails, which can be delayed for a selected period of time.

Ad Hoc emails: Ad hoc emails provide on-the-fly sending capability for recruiting team members. The subject and body of the email can be based on a pre-configured template built in Admin CenterManage Recruiting Email Templates. Text can be designed upon creation.

Recruiting Email Triggers: Recruiting email triggers notify specified recipients when recruiting actions take place in the system, such as when:

  • All approvers have approved an offer.
  • An application has been updated by a candidate (useful for multi-stage candidates).
  • An applicant has been submitted to a new requisition by an agency.

Offer Letter Template: The Offer Letter feature allows a recruiting user to select a pre-built template, update the contents, and generate a letter containing offer details and language for use in negotiating and finalizing offer terms with a candidate.
